HE needs to inform EP who will wait for him on airport, number of that person and address of accommodation

EP needs to send information about his arrival date to the HE at least 48h before starting the trip

Every intern will receive an assistance in departure by having at least one AIESEC member that will:1) Take EP to the final departure destination 2) Give to EP detailed instruction how to get to

the final departure destination – if it isn’t in the city of LC

EP buddy will check the EP’s safety status at least once per week until EP departs from HE country with the visa status provided by the HE, even after internship has ended. If the EP decides to stay in HE country longer with his/her own coordination of the visa or residential status, AIESEC is no longer responsible for his/her safety status.

Plan for work needs to be delivered to EP before the start date of realization:1. Related to AIESEC activities2. Related to OP

Detailed plan for work related to OP includes schedule of working hours and days, detailed explanation of his responsibilities and topics EP needs to cover day by day so EP can come prepared.

If JD is going to be changed, EP must be informed, and must agree with new JD and conditions.

Minimum duration of GCDP is 6 weeks.

Maximum duration of GCDP is 8 weeks.

Minimum working hours are 25 hours per week.

If working hours are not the same like on EXPA, EP should be informed about that and agree with new conditions

EP will have intro at the beginning of work to discus with his/her mentor/buddy about the tasks for that day, and summarizing the daily work at the end of the day.

Each EP will go to the workplace with responsible person from AIESEC on his first day of work.

Expectations setting meeting with AIESEC and OP taker.

This is to ensure smooth cooperation between all parts involved.

Individual responsibilities and goals needs to be set on the first meeting with EP.

EP should get a weekly feedback report from OP taker and EP buddy.

Responsible person from AIESEC should enable EP spaces to overcome gaps based on feedbacks and evaluations.

EP has to be informed about type of accommodation and other conditions at least 10 days prior to arrival.

Accommodation needs to be maximum 1hour ride from a place of work.

EP has to be informed about total monthly costs for the accommodation from responsible person from AIESEC.

The responsible person from AIESEC needs to send Reception booklet & plan to EP with basic living costs.

The OP form specifies if any financial or non-financial compensation (meals, etc.) would be provided during the internship.

Home entity needs to provide information about AIESEC: its basic history, 2020, Inner and Outer Journey, LDM, impact and role of exchange in it

Home entity should provide XPP knowledge to EP and should give them information about all steps, processes and AIESEC support. It is very important to set clear expectations and to explain to EP everything that can expect from both home and host entity.

Home committee should provide to EP information regarding the country of their internship: culture, political situation, living standard, security, home and host contacts. Also, home committee should check all necessary documents that EP needs for internship.

Home committee should give EP all necessary tips that will help EP during internship: - how to communicate effectively, - who to contact in certain situations, - make EPs checklist

EP LEAD: PA meetings, IPS

EP should be integrated in LC activities as much as possible, such as:1. LCM2. Team Bonding/Team Building3. Other LC Activities (for example GC

promotion)

Host committee should provide to EP at least on Internal education which they can use on internship and after internship

Host committee should provide to EP an External education delivered by Alumni, Companies, Faculty and other stakeholders

Home committee should provide to EP at least two educations that can help EP during matching process: - education about writing CV - education about interviews

On PA meetings EP managers should focus on coaching as a way of EPs personal development

OPS: Home committee should focus on activities that are closely related to LDM: - recap on leadership development through Global

Citizen;- -explaining culture shock and how to deal with

difficult situations,;- coaching and increasing EP self-awareness and self-

discovering;- personal goal setting process;- explaining EPs role (I am Serbian ambassador).

Go through why they are important and why we want todeliver them together.

Go through every element of Exchange standards, explain itso you can be on same. Make agreement how you willdeliver it.

Explain Exchange standards tool, what activities you needto take over in order to fulfill Exchange standards.

Make agreement how will be final responsible person forthis process, how is going to fill tool, etc

Agree about expectations, channel of communication,potentional problems solving…

Wrap up whole meeting and make final agreements.

Write down everything and send meeting output on mail.
