General Information The Thornhill Club takes pride in making your event a complete success. Whether it is a small business
meeting, large corporate function, your child’s first birthday or a lavish wedding reception, you will
experience the same attention to details. Our professional staff are always at your service.
Menu Selection
The Thornhill Club’s creative catering staff will assist you in designing your own menu should the attached not suit
your personal needs. Your menu choice is appreciated at least two (2) weeks prior to your event. A guaranteed
number of guests is required at least 72 hours (3 days) prior to your function date. When no guarantee is given, the
estimated number of guests at the time of booking will be taken as a guarantee for service and billing purposes.
Menu Prices
Prices are current and guaranteed from the date the deposit is received for four (4) months. All prices quoted for
food and beverages are subject to 13% HST and an 18% F&B Surcharge. Menu prices are subject to change based
on seasonal availability of ingredients.
Food & Beverage Services
Ontario Laws do not permit any food or beverages to be brought into a licensed venue.
Bar Services and entertainment must end by 1:00am in order to clear the room by 1:30am.
The Thornhill Club cannot serve liquor to any guests under the age of 19 and reserves the right to refuse service to
any guest we believe to be intoxicated.
S.O.C.A.N. & RE:Sound
The Thornhill Club is required by Canadian and International law to collect fees on behalf of SOCAN and
RE:Sound when music is played at functions. SOCAN pays royalties when copyrighted music is played.
SOCAN Fee (with dancing) is $59.17 SOCAN Fee (without dancing) is $29.95 RE:Sound Fee (with dancing) is $26.63
RE:Sound Fee (without dancing) is $13.30 Fees are subject to HST
Audio-Visual Services
A complete line of modern audio and visual equipment and services are available. Our Catering Department will be
more than happy to arrange the equipment best suited to your needs. Fees vary according to the type of equipment and are subject to HST
Decoration, Flowers and Entertainment
Your catering representative would be happy to assist in the arrangement of entertainment services, décor,
wedding cakes, and specialty linens.

Dress Code The Thornhill Club is a traditional golf, curling, tennis and social club. Our dress codes reflect and maintain the
standards desired by the membership. Members and guests are required to conform to the dress code regulations of
the Club. These regulations have been instituted to maintain the standards of good taste and decorum expected of
the membership. Members have the responsibility to inform their guests about the dress code requirements.
Smart casual and appropriate sports attire is expected in the Sunflake Grill, the Hawthorne Dining Room and all
Club Lounges. Men must refrain from wearing head gear unless in the curling rink. All attire must be neat and
clean. It may not contain any holes, tears, rips or be faded to the point of being tattered and must fit appropriately
(not baggy). Additional examples of unacceptable attire include: halter tops, tank tops & attire with predominant
commercial design.
Cellphones, Gaming & Personal Devices
Cellphones and other personal devices should at no time affect the enjoyment of Members and guests at The
Thornhill Club. We request that cellphones and other personal devices be turned to the vibrate mode while visiting
the Club. Exceptions are private functions where cellphones may be used inside the function room.
Members are responsible for ensuring that their guests adhere to this policy.
Damages
The Thornhill Club reserves the right to inspect and control all private functions. Liability for damages to the
premises will be charged accordingly. The main contact or convener for any function is held responsible for any
personal property or equipment brought into the Club.
Payment & Billing
A deposit is required to secure the date and venue for your function, equivalent to the cost of the room rental.
Deposits are non-refundable if venue is not re-booked. For all non-member functions, unless pre-arranged with our
Catering Department, 100% of the final estimated value is due 72 hours (3 days) prior to the event. A detailed
billing invoice will be sent to you following the event. Payments are due within 30 days of receipt. Interest will be
accrued at 2%.
Method of Payment
Payments can be made via certified cheque, money order, cash or by credit card (Visa & MasterCard are accepted)
Cancellation Policy In the event of a cancellation 30 days or more prior to the event date, the deposit is non-refundable. In the event
of a cancellation 14 days or less prior to the event date, 50% of the total estimated contract value will be required as
payment for the loss of the room revenue, labour expenses, and food and beverage expenses.

Catering Guidelines
To ensure the best service, we advise clients to adapt to the following
guidelines when booking with the catering department.
Thornhill Club will serve members and guests in a responsible, friendly and professional manner. Servers
and management are required to implement the Club’s standards and the laws governing the service of
alcohol through the AGCO.
We reserve the right to refuse service to any person who we believe has reached a level of
intoxication.
Your final menu selection is appreciated, and should be finalized, at least 14 days prior to your event. If you
select two entrée choices, the price will be that of the higher entrée. In addition, you are to provide the place
card or colour code denoting their menu selection.
In the event that any of the guests have food allergies, you must inform us of the names of such persons and
the nature of their allergies in order for us to take the necessary precautions when preparing their food as
cross-contamination is possible.
Final guest count must be finalized at least 72 hours in advance of your event. You will be charged either
the guarantee number of guests or the actual number of guests whichever is greater. If no guarantee is given,
you will be charged the greater of the estimated number of guests from the event contracts actual number of
guests.
Menu items are subject to change without notice. We will guarantee the prices four (4) months in advance
of your event.
Room rentals and/or set-up fees are applicable to all function rooms and will vary depending on the room,
number of guests and set-up requirements. Please see your catering representative to determine the fee
applicable to your event.
There are room rental minimums applicable for each banquet space. Your catering representative
will determine the minimum revenue per person that is applicable.
Exception: Sponsored Private Events – The Thornhill Club Members can sponsor functions and
are not required to be in attendance. Copies of the Club’s sponsorship form and policies are
available in the Food & Beverage Office. Sponsored functions are billed to the sponsoring
member’s account. For functions not accompanied with a full-course meal and host bar, room
rental charges will apply.
