  • Introduction to AI Service ToolsGoal of the systemService Tools provides a user interface for browsing and managing clinical data, data mappings, user authorization, system configuration, and maintaining data quality.

    AudienceThis manual is intended for customers and administrators who manage information and access across the AI Bridge platform and applications.

    Where to find the systemThe system is entirely web-based and located as a launch-able link from the AI portal page.

    Browser compatibilityThe system relies on HTML5, CSS3, JavaScript and other web standards. Each web browser may implement part or all of these standards. To ensure you have the best experience please use one of the following browsers versions. The system currently supports the Chrome (>=42.x), Safari (>=8.x), Firefox (>=37.x) and Internet Explorer (>=9). The system has also been tested and validated for use on tablet computers.

    Document versionThis document is version 20170804 and covers software versions of AI Service Tools up to version v2.1.1.

  • Logging In The system displays patient health information and requires a user to login to the system via the main portal page, typically with their enterprise login ID. The system does not directly manage user names and passwords but delegates to the hospital central enterprise directory system. All page views are logged in the auditing system based on the authorized user ID.

  • Data Manager: WarehouseThe Warehouse view provides a search interface to browse and edit data by selecting a tabs from the left navbar. Tabs are grouped by data model, allowing search and filter functionality for each view.

    • Patient: Patient and visit information• Finance: Transaction and insurance information (hidden by default,

    visible for systems with finance data integration)• Radiology: Radiology workflow and specifics (e.g. reports, modalities

    and exams) • Core: Customer-specific configuration data that can be created,

    edited, merged and deleted (e.g. procedure mappings, employee configuration, etc.)

    • Reference: Static data that is not customer specific and is only updated in new releases of AI Bridge (e.g. CPT codes)

    Other than reference data, all data objects are created dynamically when messages are received and processed by AI Bridge. Most core data is mapped at installation time, but ongoing mapping changes are maintained via governance worklists. These mappings are required because messaging often does not contain the level of detail needed for application functionality (e.g. associating CPT codes with procedures, etc.).

  • Search FieldsAI ID: an internal database ID, generally only useful to support, app developers, and system integratorsAI PM ID: same as the AI ID, but special for the Patient view because patients and MRNs are separate tables in the database, but there is a single view in the browser so both IDs must be searchablePatient MRN: Patients can have multiple MRNs, this searches for any MRNs associated with a patient Local MRN: The facility-local MRN that is associated with the with an exam. There is only local MRN per exam but a patient could potentially have many MRNs External System: most information that populates a system comes from different data sources or "external systems” - this search field allows you to restrict search results by data source (helpful when you have overlapping identifiers from different systems)Wildcard Searches: You can use an asterisk (*) as a wildcard, e.g. searching for VH* returns results that start with VH

    Click on the AI ID value to launch details view, each tab has additional data about the object being viewed.

  • Message History

    All objects have a Messages tab with history of messages that create and updates values.

    Message History Changes Details can be expanded to see a before/after view of the changes, click details to view the full image of selected message history.

    Breadcrumbs and LinksClicking on a value jumps to details for the object, the breadcrumb trail accumulates on the left navbar as you browse different objects.

  • Data Manager: Messaging History SearchHistory Search allows you find data sent into the platform and see how it was processed. You can filter by different exchanges, message processing statuses, and date ranges, as well as routing keys and sources. Additionally, you can order results to get a chronological presentation. When you click a message, you will get the details like in the Warehouse browser view.

    Exact Message

    The Exact Message search on the Messaging tab lets you search for specific messages by ID. Once you submit the Message Log ID and click “Show Message” the message will populate to the right of the search box, like in the History Search (above).

  • Governance Governance presents various worklists to help you maintain data quality. While there are many data mappings to configure in the system, these worklists are targeted at primary application functionality and making it easy to identify missing information, ranked by impact. Clicking the Governance navbar link opens menu to select which worklist to review.

    Worklist Overview• Resources: resources (scanner names) that are missing a modality

    type (e.g. UMEDCT1 —> CT )• Exam Statuses: exam statuses that aren’t linked to a universal event

    type (e.g. Epic C-status —> complete)• Procedure to HCPCS: procedures that don’t have a CPT code

    mapped, so they have 0 RVU (e.g. Chest X-Ray —> 71010)• Procedure to Specialty: procedures that don’t have a radiology

    subspecialty (e.g. ABDWO —> Abdominal)• Employees to Clinical Roles: employees without clinical roles that

    have signed a radiology report (e.g. Dr. Smith —> attending, radiologist)

    • Employees to Specialty: employees without a specialty that have signed a radiology report (e.g. Dr. Smith —>Abdominal)

    • Technologist: employees without clinical roles that have been set as a technologist for a radiology exam (e.g. John Smith —> technologist)

    • Insurance Groupings: Insurance plans that haven’t been assigned to an plan grouping (e.g. Railroad Medicare —> Medicare, only applies to customers using finance data model)

  • Empty Worklists

    If a Governance worklist is empty and shows no results found, the data quality for that worklist is good.

    Populated Worklists

    A worklist will be ranked by impact and provide in-line edit functionality in the worklist to make the appropriate mappings. If the an item on the worklist is not necessary for mapping, it can be added to the whitelist so it can be removed from the worklist.

    Just like the Data Manager and Data Browser view, click the Edit button then the AI ID to edit an item on the worklist.

    Update a ValueChange the appropriate mapping (adding a CPT code in this example), then click the update button.

  • LogsApplication Usage

    Application logs gives timestamped information about who has been accessing each application.

    HIPAA Audit

    HIPAA logs provides timestamped logs of PHI access on platform applications. You can search by employee, rad exam (accession number), patient (MRN) or application and the results can be exported.

    Service ToolsView logs of changes made in the service tools, e.g. employee merges.

  • How-To: Manage AccessLogins to Bridge use existing customer single sign-on systems, e.g. Activity Directory, so username and password rules are consistent and customer-managed. Access to applications is determined by Bridge application settings: each application grants access based on employee-clinical role mappings.

    Each application has one or more access levels that are configurable by members of the it-staff and ai-staff clinical roles on an admin or site configuration page in the app. Employee logins and clinical role mappings are managed via Service Tools. Similar to configuring application access, access to Service Tools itself is only allowed by the it-staff and ai-staff clinical roles.

    Employee Identifiers

    The configuration Variables tab in the Data Manager browser shows the type of identifiers that are mapped to the SSO system (e.g. AI- Virtual Hospital: UID)

    The Employees tab shows what identifiers and clinical roles an employee has mapped.

  • Add login identifier

    Edit an employee to add a login identifier (defaults will match Configuration Variables), then click Create.

    Add Clinical Role(s)

    Edit an employee to add a clinical role as needed for the application access, then click Update.

  • How-to: Merge Employee RecordsYou may encounter duplicate employee records, typically the same person with one identifier per record. There are various causes for these overlapping records, but the resolution is always the same: to merge the duplicate employee records down into a single record.

    Merges are not reversible, so be very careful when initiating and confirming that you are making the desired change: when in doubt, open a support ticket for technical assistance. After a merge, you may need to edit attributes like name and clinical role mappings

    The following steps are taken when an Employee Merge needs to happen:

    1. From the Employee tab click the Merge button.2. Click the consuming employee Person ID value (e.g. 1) then the

    consumed value (e.g. 631781)

    3. Click the Merge button to confirm

    4. The system will return a successful message and return to the worklist when closed
