AHA-MK Great War MK Resource Pack This document provides guidance for the use of the relevant forms and policies that form the appendices of this document. 1. Records and Deposits – Any deposits that are made to the project (artefacts, letters, photographs, aural histories) need to be formally deposited using the form at Appendix 1A, and full details of the deposit need to be recorded in the Record Card at Appendix 1B. This project does not intend to collect large numbers of physical artefacts, we hope to digitise as much as possible. Any deposits made to the project will be passed on to Living Archive for storage. For further information please contact: Mel Jeavons @ Living Archive Personal Releases – Advice on photography and filming in public places is included at Appendix 1C and a personal release form is included at Appendix 1D for use when filming. Individuals need to provide written or verbal agreement to being filmed. Groups will be warned of filming verbally and via posters and given the option to leave the vicinity if they wish to avoid being captured on film. Safeguarding Children Policy - All Arts organisations working with children, young people and vulnerable adults must ensure that: The welfare of the child/vulnerable adult is paramount; All children, whatever their age, culture, disability, gender, language, racial origin religious beliefs and/or sexual identity have the right to protection from abuse; All suspicions and allegations of abuse will be taken seriously and responded to swiftly and appropriately; All staff (paid/unpaid) working in the arts have a responsibility to report concerns to their line manager. The GWMK Safeguarding policy can be found at Appendix 2A. 3. Risk Assessments – All GWMK events will need risk assessments completed on paper. A risk assessment is an important step in protecting your workers, volunteers and audiences, as well as complying with the law. Skills and Training – the Great War MK project has a budget for volunteer training. Please discuss requirements with the Project Manager.

5. Shared Marketing – marketing guidelines, including use of project and funder logos are attached at Appendix 5A

6. Evaluation – to evaluate this project and feed back to Heritage Lottery Fund, all project partners need to collect numbers (audiences and volunteers), post codes and email addresses as well as getting a short survey completed to gauge the quality visitor experience. You will be asked to provide visitor numbers after each event. We are printing A5 evaluation cards for use at events. Please find a sign-in template attached at Appendix 6A.
