Reading of the Annual Report 2013-2014 – - Rosemary Varty

• Thanked fellow Directors on the BOM and their sub-committees • Regulations have been amended to allow all committees (other than the Board) to be

elected earlier in the year to allow them to plan well before the Pennant season. • Welcomed the appointment of Troy Stafford as club coach. • Congratulated and thanked John Storey for his work in setting up the new Web page. • Congratulated and thanked all involved in the renovations to the club house. • Acknowledged the contribution of the Focus Group. • Green 3 is in the process of being replaced.

• Commended George Heinink for his superb effort in increasing sponsors and revenue. • Thanked Mark Morgan for creating and running the very successful Corporate Cup. • Thanked both the Tournament and social committees plus helpers for the success of the

Tournaments run during the year. He singled out Karen Morgan for her efforts in running the Queen’s Birthday event almost single handedly.

• Brian has resigned after many years in the job. He wished his successor, Greg Ingham and the club all the best for the future.

• He thanked all who have helped him, particularly Alan Lamb and his bean counters. George Heinink the sponsor representative and Bob Richardson (Bar manager) and his team of assistants.

• He also thanked our accountants (The Field Group) and Auditor (Gary McClusky). • He stated that our financial situation is sound and it is his opinion and the Board that subscriptions

and green fees do not need to be raised for the next year.

There will also be a Round Robin hosted at Lilydale vs Mitcham, Kew Heights & Fitzroy. Phil Cogan talked about the proposed Coterie Group, explaining the purpose and aims. Board of Management Reports President’s Report – 2015/2016

GROWTH AND CONSOLIDATION. Our year has been positive with many areas of growth. We have, in line with Bowls Victoria and Eastern Ranges grown significantly the newer social aspect of lawn bowls, which appeals to a younger demographic who perhaps cannot commit to a full pennant season, but who are readily enjoying the sport with their friends and families. In this past season we have seen well over a thousand visitors to our club, new people exposed, perhaps for the first time, to our sport. Our dollars from participation in Barefoot Bowls have increased by 72% on last year’s figures. Likewise Corporate Cup was up 57%, BBQ and catering for social bowls was up 66%. Our raffles earned us an additional 46%. So the interest is there. The challenge for us is their conversion to full membership with a view to participation in competitive lawn bowls thus strengthening our teams, the club, and the sport of lawn bowls. Growth. Our teams this year, under the guidance and expertise of our enthusiastic Coach Troy Stafford and some skill and depth of knowledge from our Selectors, had 3 sides gain promotion to higher Divisions. We had several sides in finals in both Tuesday and Saturday pennant and well done to all of those bowlers. (Karen has covered off those results in her report). Our task is now to build on that for the coming season and to that end the Board have voted positively to take on Josh Sanders in an Assistant Coach and Bowls Development Coordinator role to enhance and expand on our coaching program, which will complement the plans the BOM and Troy have for the future of the club and ensure all divisions receive the attention they require for improvement and success. Growth. The strength of our club, I believe, is in the support we receive from our members who volunteer and participate in the running of our events and activities and management of the club. Ours is one of the few clubs in the Metro area, which has been going for over 100 years. We owe that longevity to the families who have, over many years, enthusiastically and steadfastly committed their time and effort to our continuance. Many of those families are still members - the Proctors, Walshes, Ellises, Conleys, Schulers, Sales, Burkes, Petersons, Ivanovics, Kenyons, Hudsons, La Morticellas, Pettits and Goltzes - and many, many more - to our current relatively newer memberships where we enjoy the support of the Sanders, O’Regans, Lamonts, Lerpinieres , Morgans, Dobbys and even newer the Morrisons, Sages, Roses, and Inghams - and the common denominator is that these are families - grandparents, husbands and wives, children and grandchildren, who have inherited the love of the sport and the pursuit of excellence on the green and a happy social atmosphere around the clubhouse. That is not to take away from the independent contributions of many members who fit into our “family”; it serves to provide a greater connectedness than many other sports. We are fortunate at Lilydale to have these enduring friendships of like-minded people who bowl together for the club. Growth and Consolidation. With a large portion of our available funds directed in the past year to the establishment of our new third green, security and CCTV, the replacement of vandalized outdoor furniture, the enclosure for the rubbish bins, a telephone answering service and other maintenance around the clubhouse, we have chosen to mark time for a period with a view in the coming year/s to explore the options, with the assistance of grants, to replace the top green, to put lighting on the second green, to improve the toilet facilities downstairs, to install shade, to develop a designated area for smokers, and a BBQ area. All exciting projects we will consider and evaluate, and, with the assistance this year of a grant from the government we

have been able to purchase new tilt and roll away tables on castors. Some new chairs would be a welcome and refreshing upgrade to the interior of the clubhouse, given we have achieved so much with recent refurbishment. Growth and Consolidation. We have encountered our fair share of attrition through sickness and otherwise and our committees have shouldered a huge burden to continue running tournaments and club events with fewer numbers than is desirable. I would like to thank the Bowls Committee under Lyn Morgan’s enthusiastic leadership, Rod Nicholson, Chair and spearhead of the Tournament Committee and the Catering group headed by Judy Schuler and assisted by Elaine and others, for their support, commitment and dedication in fulfilling, almost single handed in some cases, our expectations around well managed events. I would implore you to step up and join these very competent groups of people to ensure we maintain our standards and continue to strive to deliver an excellent outcome for our members and visitors alike. My thanks also to Greg, Hilary, Johnny, Judi, Kurt, Karen, Judy, John Burke (and Rod) on the Board of Management, to Troy Stafford and the Saturday and Midweek selectors, to Ian Conley and John Newbound and assistants for their green-keeping, gardening and maintenance; to Cay Sanders, Nicole Morrison and Lee Newing who have undertaken management of the bar and cellar, and to the members who volunteer their time to serve behind the bar and manage hall hire and functions; to George Heinink for his support gaining the club much valued sponsorship; to John Storey and Glen Morrison and Nick Sage for their expertise in all things technical, and the website TV loop and Facebook; to Sue Ingham our new office assistant; to the umpires and measurers and club coaches and to the volunteers who assist with Barefoot Bowls and Corporate Cup, Saturday Winter bowls and Monday Triples summer and winter, also Indoor Carpet Bowls. Our club motto is “Looking Towards the Future”. So as we move into the new season, let us make our mantra - “Growth and Consolidation” - to ensure our ongoing and continued success not only at club level, but in the larger bowls community at Regional and State level, and in our local community as well, making Lilydale Bowling Club a successful club for bowlers of all ages and abilities for the future. Treasurer’s Report 2015-2016

The club has finished the year in a sound financial position with a strong balance sheet and a good cash operating surplus. Before I provide an analysis and comment on the different aspects of our financial performance I would like to acknowledge the work of our previous and longstanding treasurer Brian Fritsch. Brian’s accuracy, thoroughness and processes as well as his mentoring of myself has meant that my transition into the role was made very easy. Thanks to Brian, Hilary and Lynne for covering for me while I was on vacation. I would also like to thank all members who have been involved in the handling and supervision of our receipts and payment of expenses. Whether it be serving behind the bar, accounting for income, supervising areas, generating income or anything else that results in a financial transaction, the way you have adhered to the processes has made my role easier. BALANCE SHEET The balance sheet remains strong with a large surplus, a small amount of short term debt, no long term debt and assets that are of good quality and well maintained. The main balance sheet movements relate to the 3rd green refurbishment which has seen an increase in the value of our greens and the reduction in cash reserves which were required for payment. Despite the investment in the 3rd green we still have sufficient cash reserves to meet any normal operating cost that may be incurred. The attached Statement of Cash Flows shows our starting cash position, the sources and application of our cash and finishing cash position. OPERATING PERFORMANCE (000’s) Our operating cash surplus of $97 (-$8) can be considered a satisfactory performance albeit it has reduced. The performance of our revenue sources has varied which highlights the need for us to continue to closely monitor them, be alert to changing trends and accept the challenges of change. The performance of those areas which warrant commentary are summarised below:- Revenue Bar Sales $213 (-$27) Gross Profit $99 (-$20) Net Profit $93 (-19) The reduced result represents the largest variance of all areas and cannot be attributed to any one factor. Less patrons, drink driving regulations, cancelled events and a reduced profit margin have all contributed. To address the downturn thoughts are being given to how we can increase patronage and there has been a recent increase in drink prices after a long period when the half yearly cost increases were absorbed. Membership Income $29 (-$5) The spreadsheet below details our membership numbers and income (actual) over the past 3 seasons with the movement in the last year.

TOTAL 257 30868 264 33668 255 -9 28828 -4840   While the total number of members over the 3 years has shown a small variance, the reduced number of full and social members have declined and we have relied on first year bowlers to boost the numbers. This along with the policy to make membership free for first year bowlers has contributed to the decrease in revenue. The loss of members is traditional and will continue, so in a changing environment without policy and strategy to attract new members our club is at risk of contracting. During last season the reducing numbers were noted and one of the initiatives to address this was the introduction of free membership for bowlers in their first year with the club. This year that policy was used and with a more aggressive approach to recruitment increased the number of FYBs to 41 (+25). The success of the strategies cannot be measured over a short period of time however we are beginning to see benefits. I estimate that there will be a minimum of 22 the new members (including those that transferred in) who will become full members in 2016/7. We will be canvassing the remaining new members. It should also be noted that of this seasons 8 of the new members have undertaken roles within the club to assist with our operations . Barefoot Bowls /Corporate Bowls Net Income $6.4 (+$4.1). Excellent result and reflects a greater focus on returns and the initiates taken. The important areas of Sponsorship/Advertising in Handbook and Hall & Green Hire have performed to the same high levels and is the result of the respective efforts of George Heinink and Sue Ingham.

The other expenditure items have either reduced or have performed within expectations, Looking forward the initial period needs to be one of consolidation but beyond that we will be well placed to undertake large infrastructure works to assist with the improvement and growth of the club. Administration & CCO’s Report 2015 – 2016 This has been a busy and successful year for the club. We have been able to attract a lot of new First Year Bowler members and I hope that the majority of them will remain at the club for many years. The new green has proven to be a very good investment for the club. I thank my fellow board members for their work and friendship during the past year. At the beginning of 2016, Sue Ingham took on the responsibility of Office Assistant, handling Hall hire and Barefoot Bowls bookings, uniforms, email monitoring and much, much more. Her assistance has been invaluable & I would like to thank her for all her help. Aside from my administration role, I feel there are three other club members who deserve special mention for their contributions over the past few years. They are Elaine Mottola for her work in the kitchen, Wilma Peterson for her early morning local radio spot and Anna Shanahan for her work with OuterEast Rangers. Hilary Dobby Administration Officer/CCO Director 1 Report 2015 – 2016 - Kurt Brinschwitz Kurt is currently working overseas and so has been unable to submit a report.

Director 2 Report 2015 -2016 A successful year for the club tournament wise, with most events well supported with some full and others near full. One disappointment was a cancelled event due to being too soon after Easter and clashes with the Aus Open qualifying and a couple of big money events in the Metro area. Still it is a learning curve and we feel the club is heading in the right direction catering for bowlers of all levels. Unfortunately we struggled to get any continuity in both the Tournament and Bowls committees due to ill health and unavailability of some committee members. Looking to the future we are introducing an Arm Bowlers event and are currently researching changing a couple of the standard events to something a little more interesting with perhaps Medley and novelty days. Thanks to everyone who put their nose to the grindstone and made these events a huge success. Rod Nicholson

Director 3 Report 2015 – 2016 The Bowls Committee had a year very much affected by the ill health of our members and the resignation of other members, but that did not hold back the few energetic members who remained on our committee. Opening Day for the season was trialled in a new format. In spring-like weather play began after the official opening, in a rotating format which once players mastered the idea, became most enjoyable. Club Championships were immediately advertised and on the most part were well supported. Try Bowls Day was far more popular after great publicity through mail outs to local sporting clubs, local paper publicity and publicity through electronic media. We received almost 20 new applications for membership and many happy families enjoyed a great day.

Australia Day was well supported and our national day was celebrated in style. Mornington Civic was most successful with bowlers providing their own transport and coming home without the trophy but with a promise that we would get it back next year. Please save March 25th 2017 for our challenge to get the trophy back. Anzac Day was well patronised. Thanks to those who donated prizes for our raffle. We once again raised over $600.00 to forward to Legacy to help them to continue their great work with the families of servicemen and women. We were not so successful in trying to arrange a fun gala day in early April so have decided to have A Chicken and Champagne Day on Oaks Day in October. We hope to get lots of club support for this. We also had little success in arranging Tuesday Canadian Pairs on Tuesdays after Easter. We think the early Easter and the time between the end of pennant and the date we chose to begin were the cause of this so we will advertise to start straight after midweek pennant in 2017 Closing Day was our final responsibility and all club championships awards were successfully presented by our sponsors before a large audience of members. We also welcomed new life members ......club members who have contributed so much to our bowling club. Sincere thanks to Eileen Goltz for umpiring every week for home teams for Tuesday pennant games, even though she no longer plays pennant. We have two new umpires in training....Judy Schuler and Cay Sanders and hope next season for them to complete their training and provide greater depth in our umpire team. 2015-16 Bowls Coaching summary

The 2015-16 season saw a variety of coaching techniques utilised. This commenced with a series of four coaching sessions over the winter, one per month. These sessions were extremely well supported by members. The four topics covered included Leads, Seconds, Thirds and Skips. Many participants commented on how much they gained from their participation. The sessions include an initial talk on the topic, followed by a series of drills catered specifically to the topic. At the commencement of the season drills were set up on a Tuesday afternoon for Saturday pennant and a Monday afternoon for Tuesday pennant. Unfortunately these did not last as they were not particularly well attended by members. A few “Mix It Up” sessions were conducted where less experienced bowlers got to play with and against our more experienced players. Participation in these sessions was quite pleasing and it would be great to have more people involved next season. Many new bowlers took up the game throughout the season. They received a number of coaching sessions and then were able to participate in pennant. It would great to see many of these new bowlers playing pennant throughout the season. Director 4 Report 2015 – 2016 Pennant What a difference 12 months make, after the disappointing season of 2014/15, Season 2015/16 saw us with completely different results. A factor in this could be that we appointed Troy Stafford as our coach. He ran four off season development squad coaching sessions focusing on all four positions, these were well attended by many members. He will continue to run these sessions again, each with a different topic, please make sure you check our notice board and Facebook page for the dates so you too can take advantage of these sessions, they are open to all our bowling members. During our Pennant season he is available to all members who would like some coaching tips or drills. Your skill level will only improve if you attend these sessions, our training drills will be set up on training evenings. In June, Bowls Victoria ask us how many sides we will enter for the following season. Midweek Committee considered to enter 6 sides as to not disappoint people who really wanted to play, as it happened the Committee decided to go with only 5 sides and by the time pennant started they were short of players. The Committee would like to thank the players that filled in, often at very short notice. At this stage they feel they may only enter 3 or 4 sides, so if you wish to bowl midweek please notify them as soon as possible so no player will be disappointed if they can’t get a game. Midweek results were much the same as last year, with 2 sides making finals and no relegations. It was great to see the second side reach the final against Monbulk, but unfortunately didn’t progress any further. The Committee received complaints about doing duty, selectors are careful for each team to do their share, however with only 12 players a side, you may be called on a little more than a Saturday as they have 16 players. I would like to thank Norma Edwards (Chairperson),Joy Strik, Lorraine Burgi, Bev Irvine and Frank Sayles for their efforts as Selectors, and in getting 5 sides into Midweek Pennant. Saturdays were very successful with 3 teams being promoted and none being relegated, so glad to see the continued improvement in our 3rd side finishing on top and being promoted to Division 3. Great to see the second side back to Division 2 who finished 4th and managed a fantastic win at Doncaster against Doncaster, to go down by only 4 shots at Burwood District against Boronia in the Final. Our 4th side finished 3rd and also had a win to be promoted to Division 4. Our Saturday Pennant can only be stronger with a Division 1, 2, 3, 4, 6 & 7 in our coming season. Our 6th side must be very proud, with mostly new bowlers, all doing well and learning all about the etiquette of Pennant. Thank you to all members who commit to Pennant, our club is only stronger with you all. I would also like to thank Stephen O’Regan (Chairperson) Ian Conley(Cowboy) Colin Petersen, Rodney Nicholson, Glen Morrison and Troy Stafford for their efforts as Selectors and in getting our 6 sides into Saturday Pennant. Please support our Selectors, it is a thankless job. If your game needs improvement, (which everybody’s does as nobody has the perfect game) don’t forget to seek out our coach Troy Stafford or attend our drills and skills evenings. Thank you to Audrey and Harry Hudson for your continued support in our Melba and Hudson awards, won this year by Mario La Morticella and Hilary Dobby.

Greens: At the beginning of Pennant we normally get BV to rate our greens, we had no representative from Eastern Ranges Bowls Region to do this, however Green # 1 was given an A last year, I am sure our other 2 greens would have been given A’s also. Green # 3 was replaced during the off season with a Tiger Turf woven carpet, the same as Green # 2, this was a little late due to circumstances beyond our control and we saw the first couple of games not played on this green. When replacing Green # 3 they took the opportunity to widen the ditches, we also had Tiger Turf out to repair our plinths on Green # 2 to help stop bowls from rebounding. Our greens have been running nicely. Green # 2 runs about 16 seconds and Green # 3 runs about 15 seconds, and Green # 1 varies. Thanks to Cowboy and his team, John Newbound, Margaret Conley, Colin Peterson, Ron James, Harry Coppola, Luke and Greg Ingham and Ray Lawn who have all helped through the year. They repaired the water pump, thanks John who had to rewire it; replaced brushes on the ride on cleaner; new lights were replaced on Green #1 another thanks to John Newbound. It is an ongoing effort to keep our greens running, please remember that no dumping of bowls on Green #2 & # 3 are permitted, we need to protect our Greens. To Cowboy and your team of helpers, I would like to thank you for all your time and effort you put into our greens to keep them up to the best standard possible. Hopefully we will allow our greens open to Eastern Ranges matches next season, this can then only promote our Club. Website: Our website has gone through some changes over the last couple of years, with a new look, and easy to navigate. Thank you must go to John Storey who has spent many hours working to see our site evolve, he has also spent time training members to use the site, thank you to Nick Sage who has now taking over from John. Looking forward to see ongoing updates.

Director 5 Report 2015 – 2016 The catering Team have had a busy year with:- Preparation of Rolls for Pennant and Sale. Opening Day, Australia Day & Anzac Day. Presentation Day this year was combined with a Special General meeting and lunch provided to the members. Queen’s birthday Triples was again another great day with members assisting in the Catering. We have had two very successful tournaments, one in February, and the other Queens Birthday Triples. Thank you to all who assisted in ensuring these days were successful. During this financial year Eileen Lerpiniere retired from her duties within the club, these included Buyer, Caterer and also looking after clearances. A Small Presentation was made to her at the Christmas Break up and we thank her for all the Work she did and also for being on hand to assist the new Caterer/Buyer. I would also like to thank Gerard Credlin for all his work with catering. A big thank you to all who assisted during the year, whether it be Saturday morning preparing Rolls for Pennant or assisting when required for functions. Judy Schuler OuterEast Rangers (formerly Reclink) – 2015 – 2016 It is with regret that I have to announce that Marilyn Hage passed away on May 28th 2016. She was a tireless advocate for the disadvantaged and will be greatly missed. Graham Wood (from Healesville) and I, with the help of Craig Hunt Sharman will continue the work Marilyn had been doing with the group at Lilydale. The group will continue to have great support and coaching from Sylvester Liem who will come back from Mornington once a month to coach, as well as Grant de Nijs. We greatly appreciate all the support we get. OuterEast Rangers is now in its fourth year as an activity organised by OuterEast volunteers. This is a volunteer group providing activities for those in the community experiencing disadvantage or social isolation. So far this year, we have only managed to play 2 challenges due to extreme weather and Marilyn’s illness. We look forward to playing future challenges throughout the coming year. Anna Shanahan Bar Report from March 2016 – June 2016 Since I have only taken over the Bar duties since March 2016 I do not have a lot to report. I have found many people willing to help and also others willing to learn what needs to be done when working behind the bar, which in turn will help share the load. We have extra members with their RSA's and once the weather starts to improve and the season gets up and running again I hope to utilise all of them over the coming season.    We have started stocking large chips and Lolly bags which seem to have been accepted as a positive move.

I am happy to be given suggestions to improve the Bar takings as I believe one of our problems would have been due to the changing of the Saturday pennant from 25 to 21 ends. I would love to see a reason for people to stay back at the club - both our members and those from other clubs. One way to encourage this I feel would be to introduce small items for selling after the game eg: dim sims, wedges, party pies etc. I hope that we can stay as strong as we are at the moment and move forward successfully into the 2016/2017 season.
