1. INTRODUCTION This document will help you configure the settings and provide guidance to use the key features of Acumatica-Magento Connector.

3. ACUMATICA ERP 6.X CONFIGURATION Below are the configurations that need to be done on the Acumatica instance 3.1 Configuring Processing Centers
Navigation: Finance Cash Management Configuration Processing Centers 1. Enter Processing center ID 2. Enter Name 3. Select the Cash Account 4. Check “Active” checkbox 5. Select the Payment plug-in type 6. Under settings tab, enter the credentials received after creating account on any of the Payment
Method providers
3.2 Configuring Payment Methods (Cash/Check) Navigation: Finance Cash Management Configuration Payment Methods 1. Enter Payment Method ID 2. Check the “Active” checkbox 3. Select the means of payment 4. Enter description of the payment method 5. Check “Use in AP” and “Use in AR” checkboxes 6. Select the appropriate cash accounts under allowed “Cash Accounts” Tab

3.3 Configuring Boxes Navigation: Distribution Sales Orders Configuration Boxes
For configuring Boxes, enter the details for the fields marked with arrows and then click on “save”.
3.4 Configuring Carriers Navigation: Distribution Sales Orders Configuration Carriers 1. Enter Carrier ID 2. Enter Description 3. Select the Payment plug-in type 4. Select the UOM 5. Under the Plug-in Parameters enter the details in the fields shown with arrow.

3.5 Configuring Ship via Codes Navigation: Distribution Sales Orders Configuration Ship via Codes 1. Enter Ship via 2. Enter Description 3. Check “External plug-in” checkbox 4. Under “Details” tab select the Calendar, Carrier, Service method, Tax category, Freight Sales
Account, Freight Sales sub account, select Freight Expense Account and add Freight Expense sub account.
5. Under packages tab add the Packages required / applicable for the selected Ship Via Codes 6. Click on “Save”

4. CREATION OF PRODUCT ATTRIBUTES Navigation: Configuration Common Settings Attributes 1. Click “plus” button and add Attribute ID 2. Add description. While doing so, ensure the Attribute ID and Description being should be the same. 3. Select control type. 4. In the below grid, click on “plus” and add Value ID, description (Both should be the same) 5. Click on “save”

5. CREATION OF ITEM CLASSES Navigation: Distribution Inventory Configuration Item Classes 1. Click on Add button and Add Class ID. 2. Enter Description of the Class 3. Under General settings tab check “stock item” Checkbox 4. You may select the tax category or you can keep it empty. If tax category is mapped to product class the
same tax will be applicable to all the products falling under the item class.
5. Go to Attributes tab 6. Under this tab, map the Attributes and check the Required box (Optional) 7. Click on “Save”

6. CREATION OF ITEM SALES CATEGORY Navigation: Distribution Inventory Configuration Item Sales Categories 1. Select the company 2. Click on plus button to add new category under default category. 3. Provide Description of the category. If you want to change the Parent Category then click on the selector
and choose the required one from the list. Under Category Members Table, you can map the products by clicking on plus button.
4. Click on “Ecommerce Tab”
5. Click on Product Sort By dropdown and select the value from the list to sort the category. 6. Click on Sync Status dropdown and select the value “Active” or “Inactive” to include or exclude the category
during the Category Sync 7. Select the checkbox to include in the Navigation Menu if the Category should be displayed in the
navigation menu on Magento frontend. 8. Click on “Save” to save the configurations.

7. CREATION OF STOCK ITEM Navigation: Distribution Inventory Work Area Stock Items 1. Enter Inventory ID 2. Select the item status as “Active” 3. Specify the description of the product 4. Under General settings select the item class for the product
5. Under Price/Cost tab provide the Default price
6. Under Ecommerce Tab, check “Active” checkbox and select Visibility as “Catalog, Search” (this option is to make the product visible on the frontend in specific listing)
7. Under Attributes tab to Add the attributes, Category/Categories and images of the product 8. Click on “Save”

8. CREATION OF NON-STOCK ITEMS Navigation: Distribution Inventory Work Area Item Classes This is same as “Stock Item” creation. However, please uncheck “Stock Item” checkbox in Item classes under general settings tab.
Once the above configuration is done, we can create the Non Stock items by navigating to “Non stock items” in Work Area.

9. ADDING INVENTORY – RECEIPTS Navigation: Distribution Inventory Work Area Receipts
1. Uncheck the “Hold” checkbox 2. Under transaction details, click on plus and add the details – Branch, Inventory ID, Warehouse, Location
and Quantity 3. Click on Release option to release the inventory of respective item.

5. Under the Grouped Products tab add the simple products which are to be grouped.

14. LICENSE
14.1 License Detail Navigation: Acumatica Configuration Acumatica License License Details
License Key: Enter the received license key, and click on apply button. Once the license is applied successfully, License details will be displayed.
14.2 Add Domain Request Navigation: Acumatica Configuration Acumatica License Add Domain Request
To Change the License Request or Export the License Request, please follow the below steps Domain Name: Data will be fetched from store configuration IP Address: Data will be fetched from server MAC ID: Data will be fetched from server Email Recipient: Data will be fetched from server
1. License Type: Choose a license type from the dropdown 2. Check the Terms & Conditions checkbox. 3. Upon Clicking on the “Send License Request”, System will send license request with the details
provided via an email notification. 4. Upon Clicking on the “Export License Request”, System exports license request fields into a “txt” file
in an encrypted format and same file can be used for requesting the license.

15. COMMON CONFIGURATION 15.1 Acumatica connection
Navigation: Acumatica Configuration Common Configuration Acumatica Connection Enter details in the following fields: 1. Server URL: Provide Acumatica Server URL 2. Username: Acumatica Admin Username 3. Password: Password of the user 4. Confirm Password: Password of the user 5. Company Name: Name of your company that is used in Acumatica 6. Click on Test Connection

When “Enable Log Cleaning” is set to ‘Yes’, system will ask whether Connector Sync log data needs to be deleted or stored in the Archive folder. You have the option of setting the duration by selecting “Archive” and the number of days. For e.g. if the value is set to 30days, the log data will be deleted after 30days. There is also an option to configure the Archive data path.
If send log report is set to ‘Yes’, then the below fields will be enabled Error Email Recipient: Provide the Email Address of the recipient. If user wants to add multiple
email address then those should be comma separated Email Template: Select the default Template

16. TIME SETTING
Navigation: Acumatica Configuration Common Configuration Time Setting If there is a time difference between the 2 servers, then we have to sync the server timings. To achieve this, we can either select Automatically Sync Magento Server Time with Acumatica Server’s time or sync manually by clicking on “Verify” button.

This is the main screen where all the sync configurations can be managed.
17.1 Warehouse Details Navigation: Sync Configuration Warehouse Details On warehouse details screen, user can select the “Default Warehouse” and fetch the updated warehouse details from Acumatica by clicking on “Update Warehouse Data”. After selecting the warehouse, click on “Save Config” button.

Action: Sync now: This can be selected to perform the complete sync of a particular entity in which records after the last sync cycle till current time. Sync Status: It will redirect to Sync Logs page and by default it will show the entity for which “Sync Status” is clicked

17.3 Category Sync Navigation: Magento Admin Panel Acumatica Configuration Acumatica Sync Configuration Enable Category Sync to display it on Manual sync page and Enable Individual Sync to have an ability to perform category sync on each details page. Click “Save Config” to save the changes made to configuration.

Individual Sync If you want to sync the individual category, navigate to the respective category details page and perform the sync by clicking on “Sync Now”.

Sync Direction: Sync direction for each entity can be configured as follows. Refer “SYNC DIRECTIONS” section for more details on the direction type
By default, Auto Cron will be ‘NO’. If, Auto Cron is set to ‘Yes’ then, Categories will sync automatically based on the setting. Click Save Config to save the changes made.

Enable Product Sync to display it on Manual Sync page By default, Individual Sync and Auto Cron are disabled. This can be changed / configured as per the
need. If Indexing after sync is set to ‘yes’, indexing job will be performed after the Product sync is
completed. Click on Save Config to save changes made to configuration

Individual Sync To sync the individual product, navigate to the respective product details page and perform the sync by clicking on “Sync Now”.

Enable Order Sync to display it on Manual Sync page and enable Individual Sync to display it on
Order detail page By default Individual Sync and Auto Cron will be disabled and can be configured based on the need. Order Type: Mention the Order Type to be considered for Sync while syncing to Acumatica. Real Time Sync: If enabled, after successfully placing an order, sync will execute and create an
order in Acumatica. If Real time sync is not enabled, system will wait for the cron (if configured) to execute the sync or admin can use individual sync option to sync a specific order.
Default Sales Account: The data will be fetched from Acumatica Instance and user can also click on “Update Sales Account Data” to fetch the latest data from Acumatica.
Default Payment Method: Select the default payment method from the dropdown list. To update the payment method data click on “Update Payment Method Data”
Cash Account: Add the cash account number as configured in Acumatica Retry Failed Orders: When Retry Failed Orders is set to ‘Yes’, Order Sync considers the failed orders
for configured number of times. By default number of Retries value is set to ‘3’ if enabled. For e.g. If Order ‘123456’ is failed to sync to Acumatica, and the number of retries value is set to ‘4’
then during Order sync, system will try to sync this order for 4 times and the 5th time system will skip this order to sync if the order still fails to sync.
Order Statuses: Select the Order status that needs to be considered while syncing the orders to Acumatica.

Note: If Acumatica Attributes are not displayed in the drop down then click on Update Schema. This has to be done for every change/addition in the Acumatica for the respective entity. Recommended Settings: Once the Update schema is completed, we can use the recommended settings option to automatically map the Acumatica attributes with the Magento attributes which are mandatory for Sync.

Bi-Directional (Last Update Wins) During this sync process, system will update the changes in both Magento and Acumatica. In case of any conflict, system will consider the “Last Update” whether it is from Magento or Acumatica. When the same record is updated in both the systems, Acumatica-Magento Connector will consider the Last updated record and update the same Bi-Directional (Magento Wins) During this sync process, system will update the changes in both Magento and Acumatica. In case of any conflict, system will consider the “Magento Changes” When the same record is modified in both the systems then Acumatica-Magento Connector will update the data of the Magento record irrespective of the Last update.
