Project OverviewAccomplice – Your First ResourceAccomplice wishes to be recognised as the first place that individuals, teams and organisations go for support in realising their goals and ambitions. It provides practical planning tips, tools, templates, training and consultancy support.

The following goals are set for stage two of Accomplice’s online marketing website:1. Significantly increase facilities for on-line (as opposed to paper/electronic returns) functionality to enable

swifter, easier, more accurate communication with clients over a range of different Accomplice products. Benefits must also include:

a. ease administration burden b. reduction in errors due to decreased requirement to transfer of datac. increased commissioning due to greater number of virtual options/resources on view to clients and

wider market placed. reduced travel time and costs of the consultante. speedier consultant responses to clients in a range of facilitation, coaching and development activities.

Items to be made available online would include:f. Completion and submission of a range of surveys, developed over time, with both open and closed

questions (some password protected by client) and download results into formatted spreadsheet to produce analysis e.g. online submission of:i. Pre- and post-event/training questionnaires by clients ii. Applications for development programmes, resources iii. Applications for associate recognition

g. Completion of Tools (specific password protection by client)e.g. Team Audit tool and direct download into excel spreadsheet to produce analysis chart

h. Ability to access (yet prevent download / copy copyright materials) text of Accomplice Manuals and submit Accomplice development exercises to the tutor for review e.g. career:accomplice 100 page manual

2. Propose improvements (and provide samples) to existing web appearance and facilities to enable swift access to information points for clients and ease of web-marketing– specifically

a. Front page Improvements e.g. CIPD / TIN b. News and events page* c. *Creation of Development (or ‘Resources’ Zone) to house Product-specific

i. Tasters to draw individuals to use the product – exercises, extracts and links to relevant case studies on other pages (but also past case studies)ii. Short training programme outlines and booking formsiii. Pre-and post- event materials (password protected) and delegate pre-and post- event questionnaires iv. Development manuals, toolkits and exercises (designed currently in word and dropped into excel analysis sheet) etc. for online completion and return by clients

d. Creation of ‘client zone’ or some such to house downloads (see current downloads on ‘news and events’ page) to support client work and also evidence Accomplice products; some will be generally available and others require specific password protection e.g.

i. Pre- and post-event surveys for specific client events and past assignments ii. Client feedback forms (i.e. evaluation of how things went) iii. Photo-downloads and report downloads of events

3. Produce photo-gallery of 50 different and approved quality images (in current web style) to support updating of website pages over two years. These must reflect all ages, races, gender etc. and the full spectrum of Accomplice activity. Include shots of Accomplice at work – some with clients

4. Deliver restyle of Web – incorporating (2) and (3) above and ensuring (1) continues 5. Propose and take actions to increase web-marketing function in line with the above. To include (as a minimum) updating metatext and – avoiding transfer to a new domain name -

increasing Google search appearances and page ranking, working with IACL the current provider.6. Ensure Managing Consultant is kept briefed, is engaged and familiar with as well as trained in modernisation of site (Front Page package) so that she is able to

a. update each section on an occasional basis b. create and upload new questionnaires as well as download (and analysis) c. make minor additions and alterations to the site e.g. upload new photos (biographies) – including series of photos from events etc d. download and manipulate contacts though the web

Development ProjectThemeIn order to meet the goals set, the current design will remain and the content and back-end functionality will be the focus of the development project.

Content Management SystemA content management system (CMS) is recommended for managing uploads, images and overall site content with the power to update, create and alter all pages (meeting goals 6a & 6b). The CMS will ease the administration burden (1a) and reduce errors by altering only one file at a time and offering a spell-check on all text editing (1b). This will enable reduced costs in time and mistakes (1d) and a speedier response (1c). The content management system will also have the power to post news items or events in order to personalise the website and ensure the user feels that the site is ‘up-to-date’. An additional option to the CMS is the potential for ‘passworded’ pages (1f & 1g) which could be used to create ‘client zones’ (2d) or ‘resource zones’ (2c) for the download of specific Accomplice products. Using the CMS will ensure appearance in Google not only for searches on ‘Accomplice’ or ‘Nicky Spencer’ but also for the desired key words according to the current marketing strategy through a stronger power over Search Engine Optimisation on meta text and alt text (images).Training will be required to make updates but the software is very user friendly and has a great capacity for future development. These development projects could include virtual coaching, shop, blog, and rotation of quotes on the homepage (7). Development Project continued.Additional ProjectsThe development of a gallery of 50+ images (3) to be rotated on the website will be undertaken with advice from Accomplice and fulfilled over time. Potentially these may be photographs taken exclusively for Accomplice or from a variety of stock sources.Sections of the site will be available for user interaction however action will be taken to prevent download in specific areas (1h). This will be developed once the new pages are installed according to individual needs.

The second section of the development involves implementing surveys into the website that will be used in the training and events that Accomplice provide.

It is recommended that SNAP Pronet is purchased as a long term investment for use not only with surveys but also for event registration purposes.It may be desirable to initially launch the surveys with a tester tool, in this case Survey Monkey is recommended as the most flexible and cost effective option.Please Note: some more expensive packages may allow for extra features.*costed on each survey feature

Website Mapping

A new simplified site structure is recommended, as above, in order to focus on the user experience and therefore promote increased commissioning (1c) and swift access for users (2). Navigation is recommended to follow the 7 ± 2 rule; research suggests that readers have difficulty remembering more than 9 options in a menu, the current navigation has 11 items (further reading: http://www.ahfx.net/weblog.php?article=21). However, structure will be customisable through the content management system and additional pages can be created with ease (4). Time LineOn acceptance of this proposal the following timeline will be put into place. The timeline assumes that domain registration and hosting arrangements are in place therefore they are not included.

Site content will be transferred from the existing site on implementation. If changes to the content for the pages is required prior to implementation this will be required during the week ending March 28, 2008.

Terms and Conditions

The timeline for the completed implementation of the Accomplice site is dependent on feedback received from the company therefore deadlines may be delayed if information is not supplied within the allowed time.

On acceptance of this proposal a 25% deposit is payable on the week assigned for feedback (week ending March 28, 2008) and the balance is payable within 14 days of project completion.

Payments can be made via cheque payable to Christina Fowler or by automatic bank transfer using the following details – A/N 88426583 S/C 08-92-87.

Non payment will result in a block on users accessing the content management system and all work will be removed from the site until the balance is paid.

The content management system will allow for a trained administrator to make any alterations to the site content quickly and easily including the addition of pages, however if website maintenance is required, the following prices are applicable:

Appendix AA brief break down of the content management system is as follows:• Dashboard - this gives you a run down of your latest comments and most recent posts. Along with some quick links to managing your

site.• Write - This is where you write new Posts and Pages

– Write Post - write brand new news items - on the right you can select what category to put the news item in, whether to disable comments, plus some other options. Below is an upload form where you can add downloads for your users (just make sure you type a title!) or the images that you use in your posts: this will also create thumbnails for you. You can also browse images or documents you've previously uploaded to add into that entry.

– Write Page - create a brand new page - on the right you can select whether comments are allowed (probably not), what the page parent is (e.g. Home >> About >> Ethos, plus a few other options. Upload form is available again.

• Manage - here you can manage your whole site set up– Posts - Edit or delete your existing news items.– Pages - Edit or delete your existing pages.– Uploads - manage the things you've uploaded and delete things you don't need any more to save space.– Categories - edit the names of your categories (News, Events, etc.) – Files, Import and Export - you won't need these.

• Comments - Manage your comments (if required), you can edit anyones comments and report spam, including blocking IP addresses of people who spam or make abusive comments.

• Blogroll - this is your list of links including affiliates, etc. you can put these in their own categories and every time you add a new link it will automatically appear on your links page.

Appendix A• Presentation - here is where you can alter your design/theme. The theme that we've developed will be installed and so will the

default wordpress theme.– Themes - your choice of installed themes, just click to change it.– Widgets - here you can change your sidebar. You can drag and drop the boxes where you like and save them however

you please. Some widgets have extra options when you see the icon in the corner.– Theme editor – not required.

• Plug-ins - these are your additional extras that you can download, I'm planning on installing a few to get you started (e.g. an Events Calendar) but you can search the hundreds of plugins that are available at http://wordpress.org/extend/plugins/

– Plug-ins - activate, deactivate and delete the installed plugins.– Plug-in editor - you won't need this.

• Users - Here you can add other users to your site and set their levels of control, if you want to have other contributors to the news then you can give them a username and password in order to log in and add to the site.

– Your profile - edit how your name in comments and posts appear on the site (e.g. admin or Nicky, etc.)• Options - lots of little options that you might be interested in.

– General - Title, subtitle of site, etc.– Writing - default posts category, default link category, you can even add posts by email instead of logging in etc.– Reading - This is from a site visitor perspective, e.g. how many posts to show on the news page and in your RSS feed.– Discussion - defaults for allowing comments, emailing you when  comments are and rules for making comments (if

required).– Privacy - this is your visibility in search engines.– Permalinks - this is how your posts and pages look in the address bar, I'll set this to use the titles of the posts/pages

instead of numbers, you probably won't need to edit this.• Miscellaneous - this is the options for where uploads go, not required.
