Overview

This document is intended to be a desk aid that describes the process that individuals (job seekers) use to find and apply for state agency job orders.

Background

Individuals – Search for State Jobs

Note: Throughout this document, the term “Individual” is used to represent a job seeker. In the new WorkInTexas.com, job seekers are referred to nearly exclusively as individuals. You will see this terminology in menus and in verbiage on screens.

In WorkInTexas.com, anyone can search for and find open and available state agency job orders without logging into the system. However, guest users are limited in what they can do once they find an open state job order. To apply, guest users must log into WorkInTexas.com, create or review an existing State of Texas Application, and then follow the steps to apply for the job.

The process used for guest users to find state agency job openings is described below.

Step 1: Select Find a Job

Guest users can find state job orders by selecting the Find a Job link on the WorkInTexas.com home page in the Job Seekers section of the page.

Step 2: Select Advanced Search

The Find a Job link will display the Job Search page, which provides several ways to search for jobs in WorkInTexas.com.

To search for all state jobs, the individual selects the Advanced Job Search tab, which provides three filters the individual uses to refine their search criteria.

Filter 1: Area Selection

The Area Selection filter is likely to be set by default to a narrow geographic area based on where the individual’s IP address is located. If the individual

wants to find all state jobs, the area selection filter should be set to search a larger geographical area.

Filter 2: Job Source Criteria

The Job Source Criteria selection allows individuals to find both internal job orders posted by employers that have accounts in WorkInTexas.com (these are listed as preferred jobs) and job orders that have been spidered into the WorkInTexas.com from external websites such as the National Labor Exchange (USNLX), Monster, Indeed, and so on. To refine the search criteria, individuals should limit source options to Preferred Employer.

Filter 3: Preferred Employer Criteria – Employer Type

To limit search results to State job orders, individuals scroll down to the Preferred Employer Criteria section and select these two filters:

• State Government • State Universities

There is a search button at the bottom of each search criteria section. Click a search button anywhere on the page to execute the search.

Figure 5 below shows an example of the search results for state agency job orders. The fields in the result set include:

• Date Last Modified • Job Title (this is a link to open the job order) • Employer • Location • Salary (if available) • Source (example: preferred employer, private job board, etc.)

Guest Users – Search for State Agency Jobs

The process described above returns all job orders that are open and available for any state agency or state university in a specified geographic area. The process described below explains the process for an individual to find a job with a specific state agency or state university.

Step 1: Select Find a Job

Refer to Step 1 on pages 2-3 above.

Step 2: Select Employer Search

For purposes of this training document, we will use a fictitious state agency, the Texas Department of Jewelry. To find open job orders for a specific state agency, individuals will select the Job Search by Employer tab, which displays several filters that individuals can uses to refine their search criteria.

Filter 1: Area Selection

Refer to the discussion of the Area Selection filter on pages 3-4 above.

Filter 2: Job Source Criteria

To refine the search criteria for finding job orders posted by a specific state agency, individuals should unselect all source options except Preferred Employer.

Filter 3: Search for Employers by Keyword – Employer Common Business Name

To return job orders for a specific state agency, individuals will search by agency name. First, expand the Search for employers by keyword section of the Employer tab and click the Show Keyword Search Options link.

Uncheck the Name Posted on Job checkbox and check the Common Business Name checkbox. These changes to the search criteria ensure the executed search finds job orders for the state agency by employer name instead of by job order titles.

In the keyword textbox, type in the full state agency name. Partial state agency names will also return matches; however, the keyword search option should be changed to Contains instead of Begins with for partial employer name searches. For example: If Insurance is entered instead of Department

of Insurance, the Contains option will return better results. Click any search link on the page to execute the search.

Searches executed using the Employer tab will return a list of employers instead of a list of job orders. The Job Openings column displays the number of open and available job orders for each employer shown in the search results. To view the job orders associated with a specific employer, click the number link to the right of the employer name in the Job Openings column on the search results page.

Figure 9 illustrates the page that displays when the guest user clicks the number of job openings.

How to Apply for a State Job Order

Step 1: Select Job Order from Search Results

Once the desired search is executed, all job orders that meet the search criteria will be displayed. If no results are displayed, guest users can modify the search criteria and rerun the search.

If the desired search results display, the guest user can view each job order by clicking the Job Title link in the Job Title column.

Step 2: Apply for a State Job Order using a State of Texas Application

Guest users will see a summary of the job order with three action buttons at the top of the page: How to apply, a heart (like this job), and More Like This. To apply for the job order, individuals must select the How to apply button at the top of the job order review page.

Step 3: Select Existing or Create New State of Texas Application

When a guest user clicks the How to apply button for a specific job order, a warning message will display. The message states:

Since you have not signed on with WorkInTexas.com, you will not be able to view how to apply to this job order. Would you like to sign on at this time?

If the guest user clicks OK, he or she will be required log into WorkInTexas.com with an existing login or register to create a new account. However, the job order will not appear again after the individual has logged in. The same search will have to be executed again in order to find the job order the individual wants to apply for.

If the individual was logged into WorkInTexas.com when the How to Apply button was selected and the individual doesn’t meet all job requirements, the individual will see the following warning:

It appears that you do not meet some of the requirements for this job. If you wish to continue with the application process, click Ok. If you wish to abandon the application process, click Cancel. You may review the specific job requirements and how your background compares by clicking the How I Match Up link on this page.

WorkInTexas.com doesn’t prevent the individual from applying for the position; however, the individual is informed by the warning notice.

Figures 14 and 15 illustrate what the individual sees when the How I Match Up link is selected. These pages show the individual how his or her skills and other qualifications do not meet the requirements of the job order.

Step 4: Answer Screening Questions (if Required)

For the logged on individual, the application process begins with Applicant Screening Questions, if the employer attached a set of application questions to the job order. The Applicant Screening Questions page also displays the Job Order Number, Company (Employer), and Job Title. The individual must answer all questions and click Next to continue.

Step 5: Application Methods

The next step in the application process displays the specified methods of application as specified by the job order. Application methods are dependent upon the methods specified by the employer contact when the job order was created. The two most common application methods for state agency jobs are:

• Apply via State of Texas Application • Apply on Company Website

For purposes of this desk aid, only the steps to Apply via State of Texas Application will be presented.

When an individual selects the Apply via State of Texas Application button, a dropdown list displays with all State of Texas Application templates the individual has saved. The dropdown list also displays all previous State of Texas Applications submitted for state job orders. The individual can select one of the State of Texas Applications in the dropdown list, if available, or

create a new State of Texas Application to apply for this job order by following the steps in the State of Texas Application wizard.

To create a new State of Texas Application, an individual selects the Create a New State of Texas Application link below the selection dropdown box.

For individuals that have existing State of Texas Applications and who want to use one of those State of Texas Applications to apply for a state job order, selecting one of the applications in the dropdown box will prompt WorkInTexas.com to refresh the page and display the selected State of Texas Applications review before continuing with the submission process. Individuals may edit the State of Texas Application before submitting it for the selected job order.

To update the State of Texas Application, the individual selects the Edit link under the State of Texas Application review box. To continue without editing the State of Texas Application, the individual selects the Continue link to move to the next step in the application process.

Step 6: Additional State of Texas Application Questions

Once the individual has selected or created a State of Texas Application, the application process includes the following steps. The next page displays several read only fields and one question to be answered by the individual:

relationships: (individual completes this field if applicable)

Once the job order information has been reviewed and answered, if applicable, click Next to continue with the application.

The next page displays the standard questions asked on all State of Texas Applications. All questions are shown below:

Step 7: Certify a State of Texas Application

After the individual has selected and reviewed their State of Texas Application and answered the additional questions, the individual must certify the State of Texas Application for completeness and accuracy. The standard certification statement associated with the State of Texas Application is provided along with the following two checkboxes:

• Please check the box to acknowledge that you have read and understand the above statements.

• Please check the box to acknowledge that you will be providing your contact information to the employer posting this job in addition to any other information you may have specified in your application.

The individual must check both boxes and click Next to continue.

Step 8: Submit Equal Employment Opportunity Data

The Equal Employment Opportunity (EEO) data page gives the individual an opportunity to provide EEO data that is part of the State of Texas

Application. An informational message appears at the top of the page that reads as follows:

The information requested is optional and is being collected for the purpose of reporting to Federal and Equal Employment Opportunity Agencies and will not be considered as part of the application for employment. It will be separated from the application.

The individual is asked to review the information that he or she provided during registration, as follows:

• Date of Birth (read only) • Gender (read only) • Ethnic Origin (read only)

The individual must decide whether he or she wants to include personal EEO data along with the State of Texas Application. The individual must then select Yes or No, as appropriate, before clicking Save to continue:

Step 9: Preview Completed State of Texas Application

The final step before submitting a State of Texas Application is to preview the completed State of Texas Application with all additional questions and responses. To preview the State of Texas Application that will be submitted for this job order, the individual selects the View Application button.

Figure 26 below shows a partial example of the individual’s preview of their completed State of Texas Application. The preview is provided in a scrollable popup window. When the individual has completed a preview of the State of Texas Application, the popup window must be closed to continue.

Step 10: Submit State of Texas Application for a State Job Order

The next step is to submit the State of Texas Application for the state agency’s job order. The individual must select the Submit Application button.

Step 11: Confirmation of Successful Submission Page

After selecting the Submit Application button, WorkInTexas.com provides a confirmation that the State of Texas Application was successfully submitted.
