Registration

Onsite / Spot registration facilities is available.

Only registered visitors, delegates and exhibitors with valid name badges will have an access to the event halls during the opening hours.

The badges will be available at ENERASIA registration counters (at PDPU reception) from 23rd September, 2014 at PDPU reception.

Wi-fi Internet Access at Venue

FREE Wi-fi facility will be made available for all exhibition participants in the exhibition hall and seminar participants in Seminar Halls.

Standard Booth Shell

The standard shell scheme size is 3m (L) x 3m (W) x 2.5m (H). All standard booth cells shall be designed and erected by the organizer's official exhibition contractor. Facilities of standard booth will also be provided by the official exhibition contractor. The organizer reserves the right to make changes on the facilities provided at any time before the commencement of the exhibition.

A fascia board with the exhibiting organization's name will be provided. Exact wording of the name of the organization should be mentioned in exhibition contract form. Exhibitors are normally not allowed to make any alterations to the structure of the booths or remove any integral parts from the booths. Exhibitors requiring special assistance to relocate or remove standard facilities should submit their request to the official exhibition contractor (Praveg Communications Pvt. Ltd.)

Important Points to be followed

No tapes, nails or fixtures of any kind are allowed to be affixed to the partitions, floor or ceiling. Exhibitors are liable for any damage caused to their booth fixtures and fitting at the exhibition.

No freestanding fitment may exceed 2.5 meters in height or extend beyond the boundaries of the booth cell. This includes exhibits, names or logos of the organizations and advertising materials.

All exhibits and stand materials shall be removed immediately after the closing of the exhibition according to the arrangements and within the time limits specified by the organizer. Any exhibits or stand materials left behind at the exhibition venue shall be deemed abandoned. Exhibitors are responsible for the expense of the disposed items.

Special Design Exhibition Booth

To achieve uniformity in display and appearance of the entire exhibition and to ensure proper presentation of all exhibits, Exhibitors are advised to strictly follow the guidelines for stand construction specified by the Organizer.

a) All exhibitors under the bare space category have to submit their stall design and drawing (floor plan & elevation) in 3D view (three dimensional view), plan & elevation depicting position of exhibits, furniture, fittings, fixtures, brandings, office cubicles with complete dimensions in meters, in duplicate, to the organizers for approval by 31st August, 2014.

b) Stalls should be constructed according to the designs approved by the organizer. Organizer reserves the right to demand modifications/alterations to the stand. In case actual display arrangement of a stand is not in conformity to the approved layout plan or guidelines, organizer shall remove such installations from the stands at the cost and risk of the Exhibitor. Further, any part of the exhibit/stand which appears unsightly to the organizer must be covered by the exhibitor failing which organizer will have the same covered at exhibitor's cost & risk. Decision of the organizer in this regard will be final and binding.

c) Exhibitors are advised not to use any vacant space around their stands for storage or otherwise. This could be hazardous and could restrict the movement of service personnel. Organizer reserves the right to remove such material at the risk & cost of the Exhibitor.

d) No suspended displays/structures are permitted from the ceiling of the exhibition halls. Exhibitors shall advise their advertising/construction/electrical and all other agencies about the guidelines for stand construction and ensure compliance. Organizer shall not correspond with any of the agencies engaged by the Exhibitor.

e) Exhibitors should not take support of any permanent structures in Exhibition Hall for display.

f) Grouting/drilling of holes in the floor or walls and welding on columns, walls, doors, floor and truss are not permitted.

g) It is strictly prohibited to use inflammable material for construction & decoration inside the exhibition hall.

h) The stands should be complete in every respect by 9 pm on 25th September, 2014.

Power Requirements

Power charges will be additional for all bare space participants.

It is compulsory for all the exhibitors who have opted for bare space participation to inform their power requirements to the organizer by 31st August, 2014.

It is advised to install stabilizers to protect sensitive equipments/instruments at the time of voltage fluctuations

The additional power will be charged on KW and the charge for 1 KW will be Rs. 3000/- + applicable Service Tax. For international exhibitors it would be USD 100 + applicable service tax (Please refer Form 101 on page 15)

Overall Height

I. The maximum height of any structure/display should not exceed 4.0 meters.

II. The height of the partition or divider should not exceed 4.0 meters. Both sides of the partition should be properly finished or painted, particularly the partition on the side of their neighbouring stand.

III. Display panels, branding towers, name boards, sample holders, photographs and other display material are permitted in the stand, subject to a maximum height of 4.0 meters.

IV. Spotlight, focus light etc. are permitted provided these are fitted along with the stand structure within the maximum height of 4.0 meters.

V. Exhibitors having natural wall(s) along with their stall boundary or pillar within stands may cover the same properly without causing damage to the walls, pillars, floors or any structure of the Exhibition Hall(s), not exceeding the maximum permissible height of 4.0 meters. However, electric panels on the walls or duct doors in the pillars, if any, should be kept accessible for the organizer, for maintenance.

Floor Covering

Carpeting of the stands is compulsory for all Exhibitors.

Gluing/pasting of carpets on the floor may be done only by using easily removable bi-adhesive tape that leaves no marks on the floor.

Guidelines for building of Mezzanine Floor

Mezzanine floors are permitted only for exhibitors who have applied for space of 100 square meters or more.

The area of the mezzanine floor cannot exceed 25% of the allotted stand area.

The mezzanine floor design & drawings must be certified by a chartered structural engineer/consultant for structural stability. Copy of the certificate must be attached with the stand layout.

The responsibility of the safety of structure shall lie solely on the exhibitor.

The mezzanine floor can be used only as a visitor hospitality lounge. Exhibits/display, offices/cabins with closed walls & ceilings will not be permitted on the mezzanine floor.

Mezzanine Design

Offices/cabins with closed walls & ceiling are strictly prohibited on the mezzanine floor. The mezzanine must be an open area only with safety railings on open sides.

Branding will be allowed on the mezzanine railings, not exceeding a maximum height of 1.2 meters.

The mezzanine floor should be constructed by keeping a minimum distance of 3 mtrs inside the stall boundary.

Maximum Height

The height of the mezzanine floor itself should be 1.2 meters only.

The maximum permissible height below the mezzanine floor is 4.0 meters.

The maximum permissible height of the stand covered with mezzanine floor cannot exceed 5.2 meters (i.e. 4.0 meters + 1.2 meter).

Height of the stand in all other areas not covered by mezzanine floor cannot exceed 4.0 meters.

Exhibition Regulations & Guidelines

Eligibility to Exhibit

The interested Exhibitor should apply by submitting the “Exhibition Booking Form” duly filled, signed and stamped to M/s Praveg Communications Pvt. Ltd. along with enclosures required.

There is no legal right of participation in the exhibition and organizer in their sole discretion may deny participation to any applicant without assigning any reason thereof. The advance amount paid with the Application will be refunded if the application is rejected by the Organizer.

The organizer reserves the right to evaluate the appropriateness of the promotional materials/products of the exhibitors for promotion to the delegates of ENERASIA 2014 Global Energy Summit & Exhibition.

Stall Allotment

Allotment will be on 'first come, first served' basis, subject to receipt of full payment. All payments should be paid by Account Payee Cheque/DD payable to ENERASIA, Ahmedabad.

Cancellations

In case the Exhibitor fails to meet payment schedule on time, organizer reserves the right to cancel the participation of that Exhibitor and in that case the amount paid by the Exhibitor will stand forfeited.

Sharing of Booths

Exhibitors are not permitted to share with others any booth space allotted to them without prior written consent from the organizer.

Sub-letting

Exhibitors shall not sub-let any part of the stand allotted to them without the written consent from the organizer.

Obstruction of Gangways and Open Spaces

The emergency exits must not be obstructed at any time. Nothing should impede the free flow of delegates in the aisles. Neither furniture nor equipment/display items should be kept in the aisle space.

Products/Exhibits must be placed at least 1 meter away from the boundary of open sides of the stand. No part of any Exhibit should project out of the stand boundaries.

Use of loud speakers, musical instruments etc. in the stalls is prohibited. Video films on the Company or exhibited products may, however, be screened within the stall provided the sound level is kept low to avoid disturbance to others. Information headphones are allowed provided these are set up inside the stand at least 1 meter away from aisles. Exhibitors should not take support of any permanent structure in exhibition hall for decoration.

Sale of Exhibits

No retail or cash sales are allowed during the Exhibition. However, negotiations for sale may be conducted. Removal of any exhibit during the Exhibition is also not permitted.

Stall Possession

In order to receive stall possession, the exhibitors must have previously fulfilled the following conditions:

Stall Dismantling

It is compulsory to complete the exhibits and decoration work before 9.00 pm on 25th September, 2014.

Stands may be dismantled only after official closure of the exhibition. The deadline to complete Dismantling and restoration of the flooring is on 29th September, 2014 by 11.00 am. Thereafter, organizer shall be at liberty to remove and store goods until claimed by the Exhibitor. All costs of removal, storage and their risk of theft, loss or damage shall be borne by the Exhibitor.

Gate Passes for Removal of Goods

There is no entry pass procedure during installation period for entering the venue. However for taking out the exhibition material and exhibits after closure of the exhibition, participants would need to obtain a standard final exit pass from the organizer. Exhibitors must settle all dues to organizer and/ various official contractors before the closing of the exhibition.

Damages to the Exhibition Ground

Cost of damages / losses caused to the prefabricated stands and accessories or to the exhibition halls, fixtures and fittings of the hall due to lapses on the Exhibitors' part would be borne by the Exhibitors themselves. Organizer would have the full authority to decide the cost of damages and the payment is to be made by the Exhibitors before leaving the exhibition premises.

Photography

The organizer reserves the right to photograph any exhibit for their use.

Conservancy

Organizer will arrange for general conservancy of the aisles within the exhibition halls, public places etc. Exhibitors are responsible for the cleanliness of their stands for which they may hire conservancy staff at their own cost from the approved agencies only. Refuse generated from the stands could be placed in bins kept for the purpose which will be suitably disposed of by the organizer's conservancy staff.

Exhibition Catalogue

While compiling the exhibition catalogue, Exhibitor's name will be entered in the catalogue, free of charge. The catalogue will be compiled on the basis of information provided by exhibitors in the application forms. Exhibitors will be entitled to a free copy of the exhibition catalogue

Deliveries and Storage

The organizer will not provide additional storage area other than the booth space booked by the exhibitor.

Policy for Cigarette Smoking & Tobacco Chewing

ENERASIA 2014 Global Energy Summit & Exhibition is a non-smoking conference and exhibition. The organizer would like to thank all exhibitors for refraining from smoking in the convention and exhibition venue, including meeting rooms, exhibition area, poster areas, restrooms, restaurants, cafes and at the main entrance / exits of the venue at all times. Smoking is also not permitted in the exhibition hall during booth construction and dismantling.

Smoking Zone

The organizer will arrange for a separate smoking zone where smoking will be permitted.

Additional Requirements

The organizer will appoint an official contractor to cater the exhibitors' additional requirements like furniture, floral displays, LCD etc.

The exhibitors' who may wish to avail these services may directly approach the official contractor.

All the additional requirements will be charged separately and has to be directly paid to the official contractor at the time of hire.

A list of additional materials available on site with their hiring rates are enclosed in Form 101 on page 15 of exhibitors’ manual.

Catering

The organizer has appointed an official F&B Partner for catering the F&B requirements during the ENERASIA 2014 Global Energy Summit & Exhibition within the venue.

Outside food and beverage will not allowed for consumption at the venue.

Security

Whilst general security services in charge of the surveillance of the common areas of the exhibition will be provided by the venue during the exhibition, the organizer is not to be held responsible for losses and damages to the property of the exhibitor. It is the responsibility of the exhibitors to ensure the safeguarding of their goods, promotional materials, equipment, displays, products and devices placed at their booths at all times.

Octroi Clearance

Presently there is no Octroi applicable on goods entering in Gandhinagar. However the exhibitors will have to stay prepared for any Octroi issues prevailing at the time of exhibition as any goods entering Gandhinagar, which is owned by respective Exhibitors & with the purpose of display is liable for payment of Octroi, if applicable at the time. Organizer might try to obtain permission from authorities for bringing in exhibits / consignments for the exhibition in Gandhinagar (if applicable & possible) & exemption might be requested.

Insurance

Against all ascertainable risks from transportation to display and removal should be done by the Exhibitors at their cost. Participants will insure their exhibits against loss, damage, theft, fire or any risk whatsoever. They will also ensure third party insurance cover for the total duration. Praveg Communications Pvt. Ltd. will make general security arrangements. However, participants will be responsible for the exhibits and the stall. This would, however, not cover insurance of individual stalls, exhibits or any other material in the stands. Exhibitors are advised to insure their exhibits and other material separately. Third party insurance against accident, insurance of Exhibitor's personnel, handling damage insurance etc. will be the responsibility of the Exhibitors.

Force Majeure

If the exhibition is abandoned, cancelled or suspended in whole or in part by reasons of war, fire, natural calamity, national emergency, election, labour dispute, riots, strike, the non-availability of ground or any other cause not within the control of the organizer, the organizer reserves the right to change the opening dates and duration or even cancellation of the entire exhibition. In case of such condition the organizer may at his entire discretion, repay the rental paid by the Exhibitor or part thereof after deduction of the proportionate costs already incurred by the organizer and shall be under no liability in respect to any actions, claims or losses.

The organizer is not liable in any form for any loss or damage to Exhibitor's property at the exhibitions site or injury to their personnel and visitors. Exhibitors agree to refrain from making any claim on the organizer and indemnify claims if any by third party arising out of Exhibitor's conduct. All disputes will be subject to Ahmedabad jurisdiction.

Change of Venue, Dates and Timing

The organizer reserves the right to change the venue, dates, duration or timings of an exhibition, if the circumstances so demand and the exhibitors are bound to accept the decision of the organizers, so long as the exhibitors are informed about the changes either by individual communication or by a press advertisement.

No refund shall be allowed, if an exhibitor withdraws from participation on account of the changes.

Changes in Floor Plan, Location & Dimensions of Stand

The organizer also reserves the right to make changes in the floor plan, location and dimensions of any stand allotted to an exhibitor or entry/ exit points etc. at any time before the erection of stands, if such changes are necessary in the opinion of the organizers.

Breach of Peace

The organizer reserves the right to close any exhibitor's stand temporarily or permanently. If the exhibitor Commits breach of peace in any way or causes disturbance in the normal functioning of the exhibition. In such an event, the organizers stand indemnified by the concerned exhibitor against any claim of any kind whatsoever.

Binding Terms of Contract

The submission of the Application and Contract Form duly signed by an exhibitor, shall be deemed as confirmation of participation in the exhibition, and acceptance of all rules and regulations printed at the back of the Application and Contract Form and in this Exhibitors' Manual as well as any amendments or additions from time to time, notified to exhibitors through circular letters. These are binding on all parties concerned.

Claims Deadline

All claims arising out of settlement of accounts and participation in this exhibition must be submitted in writing to the organizer within sixty days from the close of the exhibition, after which the claims shall not be tenable.

Settlement of Legal Disputes

The competent court and place for settlement of all disputes in connection with these Rules & Regulation for Exhibitors is Ahmedabad court jurisdiction, India.

Right of Lieu

The organizer reserves the right to refuse Exit Gate Pass to any exhibitor if he has not settled all his dues, and to retain his exhibits or other goods as security, till debts are discharged.

Counterfeit and Prohibited Goods

The Exhibitor shall not exhibit at the Exhibition any counterfeit goods or any goods which infringe any third party's intellectual property rights (“Infringing Goods”) or any goods which are prohibited or restricted by local laws or regulations where the event takes place (“Prohibited Goods”).

The exhibitor takes full responsibility to ensure they comply with the organizers rules set out in the above clause.

The organizers shall have the right, without recourse, to physically remove any goods which seem to be Infringing Goods or Prohibited Goods, or to cancel the Exhibitor's right of participation and/or to close down the Exhibitor's exhibition stand. In such cases the Exhibitor shall have no financial or any other claim against the organizers.

The Exhibitor agrees to indemnify and hold harmless the organizers on demand against all claims, liabilities, losses, suits, proceedings, damages, judgments, expenses, costs (including legal fees) and charges of any kind howsoever incurred by or on behalf of or made against the organizers arising out of the Exhibition of any infringing Goods or Prohibited Goods by the Exhibitor, or acts by third parties as a consequent there of. The Participation fee paid would also be forfeited.

Arrive Comfortably With Our Shuttle Bus

The organizers will arrange “Shuttle Bus Service” from the preferred hotels to the event venue from 26th - 28th September, 2014 (during event days).

This arrangement is only done to facilitate the exhibitors, delegates and visitors attending the ENERASIA 2014 Global Energy Summit and Exhibition and will be on complimentary basis.

The busses will depart every 30 minutes to the event venue.

A one-way trip takes approx. 45 minutes.
