CECA executive teamPEGGY JARVIE | EXECUTIVE DIRECTOR »

Peggy oversees the strategy and execution of the university’s co-op and career related services. She promotes CECA’s global leadership in these areas, sharing knowledge and best practices at events and conferences worldwide and building connections with industry leaders. Peggy’s team facilitates a competitive employment process that

provides diverse work opportunities and supports students in developing essential workplace skills. Peggy also sits on the university’s executive council, providing strategic counsel to the university.

SUMAN ARMITAGE | DIRECTOR, COMMUNICATIONS & MARKETING »Suman manages the communications and marketing initiatives at CECA to ensure appropriate employment opportunities for Waterloo students and alumni. Marketing and business development initiatives generate thousands of leads annually for new jobs; activities include targeted advertising campaigns and exhibiting at more than

50 events, conferences, and trade shows each year. The team also ensures delivery of communications to department staff, other university departments, and students regarding CECA’s goals, progress, and support of strategic initiatives. Employer relations work includes hosting over 240 information sessions annually.

DIANNE BADER | DIRECTOR, OPERATIONS »Dianne oversees the business and technical infrastructure and services for all areas of CECA, ensuring that support to students and employers is carried out effectively and efficiently in a service-focused environment. Her team supports four main areas:

1. Employer services: support employers as they post jobs and schedule interviews, and inform students of schedule changes.

2. Front desk and interview day services (IDS): provide front line support to students and employers on campus for interviews.

3. Technical services: provide tech support for staff hardware and software. Support employers and students who are using JobMine and conducting phone and web interviews.

4. Process and project management: focus on continually improving processes to ensure efficient and effective services throughout the department.

ROCCO FONDACARO | DIRECTOR, STUDENT & FACULTY RELATIONS »Rocco manages the development and delivery of policies and services supporting co-op students in the employment process. His team supports co-op students and their University of Waterloo work term employers, and ensures strong relationships between CECA and students, the faculties, and the Registrar’s Office.

Rocco’s team works with faculty to ensure the needs of the university — the single largest employer of Waterloo co-op students — are understood, that supervisors and students on work terms receive appropriate support, that appropriate reporting and relationship management takes place, and that the goal of Waterloo being a model co-op employer is advanced.

ROSS JOHNSTON | DIRECTOR, EMPLOYMENT RELATIONS »Ross oversees the ongoing liaison and development of partnerships with new and existing employers across Canada and the United States. These core employers range from large and complex organizations to small start-ups. The Employment Relations team is based across North America. These teams support two main areas:

1. Student success: Provide employment support and services for all Waterloo students seeking co-op employment with employers. Provide support to students on and between work terms.

2. Employer’s support: Develop and retain employers that offer quality work experiences. Develop diverse approaches to employer relationship management. Help facilitate the efficient and effective matching of employers with students.

KERRY MAHONEY | DIRECTOR, CAREER ACTION & INTERNATIONAL EMPLOYMENT »

Kerry is accountable for the development, continuous enhancement and innovative deployment of career development support, to UWaterloo students, alumni, and staff.

She is also responsible for ensuring the provision of employment support for incoming international students, students considering international opportunities, and co-op students on international work terms.

GRANT O’NEILL | DIRECTOR, PLANNING & FINANCIAL MANAGEMENT »Grant oversees the development and continuous improvement of the business model for co-op, including levels and costs of service, current and proposed, and a related funding model, including co-op fees. He enhances the CECA business planning process, building and refining a multi-year enrolment projection model to support strategy development, resource

planning and performance measurement. Grant also manages the financial operations of the department. Grant’s team analyzes and reports on CECA activities, and implements metric reporting for the various groups to monitor desired and value added activities.

getting startedDRESSING FOR WORK »‘Business casual’ is the acceptable attire in CECA.

GENERAL WORK HOURS »General UWaterloo working hours are 7 hours per day — 8:30 a.m. to 12:00 noon and 1:00 p.m. to 4:30 p.m. — for 5 days a week.

Depending on your role within CECA, you may be required to work flexible hours including some evenings and weekends.

Sick days: when you are ill and unable to come to work, please contact your supervisor by 8:30 a.m. Co-op students have a maximum of 2 sick days per term.

STAFF LOUNGE »The staff lounge has a fridge, microwave, toaster oven, kettle, toaster, dishwasher, dishes, and some utensils which are available for staff use. Please ensure that your food is labelled in the fridge, the microwave and toaster oven are clean after you heat your food, and dishes are rinsed and placed into the dishwasher.

PAY DAY »University of Waterloo staff are paid on the last Friday of each month. Pay will be deposited directly into your bank account. You can view your paycheque online by visiting MyHRinfo at uwaterloo.ca/myhrinfo.

Casual staff are paid on a biweekly basis. Time sheets are provided by immediate supervisor and must be approved by your immediate supervisor on a biweekly basis. Typically, immediate supervisors submit time sheets into Finance for payment.

INCOME TAX (T4) »Your annual T4 statement will be available at MyHRinfo in late February.

Casual staff will receive the annual T4 statements in the mail. Ensure that your manager is aware of any address changes.

SECURITY »Various areas of the building are secured after 5:00 p.m.

Each area’s security system operates independently and needs to be activated/deactivated separately.

Every day between 4:30 p.m. and 9:00 p.m. (11:00 p.m. during final exams), a security guard is on duty and stationed atthe Information Centre. The security guard performs regular rounds of the building.

» Report any information about fire to UWaterloo Police and Fire Department.

» If you are on fire: STOP where you are, DROP to the floor or ground and ROLL your body to smother the fire.

WHEN FIRE ALARM SOUNDS »» Calmly evacuate the building; DO NOT use an elevator.» As time allows, close windows and doors. Turn off cooking

and electrical equipment. Put on coat in winter for protection.» Use an alternate exit if you encounter smoke or fire.» Follow instructions of emergency response services and

fire wardens.» Report anyone suspected of remaining in the building to

the Evacuation Co-ordinator who will be located at the east entrance doors (main entrance).

» Move away from building at least 30 metres, leaving clear access for emergency services.

» Do not re-enter the building until authorized by Fire Department or UWaterloo Police.

IF UNABLE TO EVACUATE »» Call 911 and give your location.» A closed door can provide good protection against fire and

smoke. Use available materials to seal door and air ducts.» If smoke enters room, stay low as heat and gases tend to rise.» If possible, signal your position at a window.

Persons with mobility difficulties or who use wheelchairs should move to an area of refuge (stairwell, room with phone).

The Office Ergonomics Guide is intended to guide you in a self-assessment of the ergonomic design of your computer workstation. These tips can help you to identify and correct ergonomic problems to prevent repetitive strain injury, eyestrain, fatigue, and discomfort.

confidentiality1. You will have access to and be entrusted with information

that is confidential or personal. As a member of CECA staff, you are expected to adhere to UWaterloo privacy policies. We use the University’s Policy 19.

2. Telephone numbers, addresses or other personal information of students may not be given to any member of the public, even if the person requesting it is a parent or relative. Depending on the circumstances, you could offer to contact the individual of interest and let them decide if they wish to correspond with the inquirer.

3. If someone (e.g., the media, employers) contacts you, please refer them to the Executive Director, or any of the Directors.

opportunities for students and employers. We provide advice and service to students and employers for optimal success in a competitive recruiting process. We promote a broad array of programs to employers and continue to develop job opportunities for students. We act as partners and facilitators.

2. Strive for excellence. We manage our systems and processes to maximize effectiveness and efficiency and provide quality service to all stakeholders — students, employers, faculty, staff and our team — based on a deep understanding of, and respect for, their needs and priorities.

3. Add value and show how we do it. We manage our operations to both ensure and demonstrate value for student fees and communicate results clearly and regularly.

4. Take accountability for results. We focus on outcomes,seek and incorporate ongoing feedback from stakeholders, and measure progress and performance regularly with clear metrics.

3. Spend sufficient time planning. We are proactive and do our best to avoid crisis situations. We formulate plans, strategies, and sustainable approaches.

4. Make decisions in a clear, inclusive manner. We gather relevant data ahead of time, engage the appropriate people in decisions, provide context to help people understand, and then actively support departmental decisions once they are formally adopted.
