    The American Nephrology Nurses Association hosts its National Symposium in Dallas, TX, April 14-17, 2019 and we invite you to exhibit during this important event! We expect more than 1,000 nephrology nurses to attend.

    The American Nephrology Nurses Association is the professional organization for nephrology nurses. Members actively practice in hemodialysis, peritoneal dialysis, chronic kidney disease, vascular access, and transplantation within hospitals and free-standing units.

    Policy for Assignment of Space All applications for space must be filed on the contract form enclosed. Please keep a copy for your records. It is not always possible to assign one of your preferred choic-es. However, ANNA will try to make assignments in requested area. The primary consideration in the assignment of space to technical exhibitors shall be in the best interest of the Association. The American Nephrology Nurses Association may at its discretion accept or reject any application for space, and reserves the right to relocate or reassign exhibit booths at any time. Space assignments will begin on or before November 15, 2018. Exhibit space assignments at all nationally-sponsored ANNA meetings will be made in accordance with a two-tiered point system. Corporate and Sustaining Member exhibitors will be ranked in the first tier and all other exhibitors will be ranked in a second tier based on total dollars spent with ANNA in the preceding three years. All applications for exhibit space received prior to the deadline established in the official exhibit prospectus and accompanied by the required deposit will be assigned space based on the ANNA priority point system. Exhibit applications are not considered valid contracts unless submitted with required funds and will not be assigned until payment is received. Points are accrued based upon each company’s level of participation in the ANNA priority projects during the three calendar years immediately preceding the National Symposium. All companies will be ranked according to the actual dollar value of direct financial and marketing support pro-vided to ANNA. One point will be accrued for each $1,000 of direct spending with ANNA during the preceding three years. Current Corporate and Sustaining Members who sub-mit their exhibit applications by the established deadline will receive priority ranking in the first tier. All other exhibitors who submit their applications by the established deadline will receive priority in the second tier. All applications received after the established deadline will be assigned based on space availability at the time they are received.

    Terms of Payment and Cancellation: Prices of exhibit booths are as indicated on the exhibit floor plan. Applications must be accompanied by check or money order in the amount of 50% for each exhibit space made payable to ANNA and mailed to Box 56, Pitman, NJ 08071-0056. The ANNA tax ID is 23-7189008. The balance of payment shall be due upon receipt of confirmation. Contracts submitted for exhibit space after November 15, 2018 must be accompanied by payment in full.

    Should any contingency prevent holding of the Conference or Exhibition, the sponsoring group shall not be held liable for any expenses incurred by the Exhibitor. All cancellations must be made in writing. A charge of 50 percent of the space rental will be made on all cancel-lations made at any time up to February 15, 2019. Cancellations made after this date will be charged full space rental, regardless if the space can or cannot be resold.

    Exhibitor Services: The following services will be provided to exhibitors at no additional charge: • A standard identification sign showing exhibitor’s

    name and booth number. • Eight-foot high back wall and 36-inch high side rails of

    quality flame-retardant fabric. • Security guard service (twenty-four hour). • Daily cleaning of aisles in exhibit area. • Preregistration list of all attendees will be given out

    onsite. This list may be used as a customer lead sys-tem.

    • Complimentary exhibit badges for three exhibit person-nel per booth.

    • Opening Reception and Refreshment breaks in exhibit hall.

    • ANNA/Exhibitor Reception for all registered attendees and exhibitors (not held within the exhibit hall).

    • Exhibit listing/description in Symposium Program (if received by print deadline).

    ANNA does NOT provide any complimentary fur-nishings, electricity, booth carpet, labor, drayage, etc. for your exhibit. You are responsible for coordinat-ing these needs directly. An exhibitor service kit contain-ing information and rates for all labor, services, electricity, furniture, carpet, cleaning, audiovisual equipment, and miscellaneous equipment will be provided to all con-firmed exhibitors by the official exhibit service contractor, Brede Exposition Services, a short time after assignment of exhibit space has been confirmed. The Exhibit Hall will be available for installation of exhibits per the enclosed schedule. Cases and packing boxes will be delivered promptly to all booths. All exhibits must be in position and ready for opening of the exhibit area by 2:00 pm on Sunday, April 14, and are to remain intact until the close of exhibition. Exhibit management reserves the right to order labor for any booth set-up which, in their opinion, may delay the opening of exhibits. In general, all set-ups must be started by 11:00 am on Sunday. All empties and crates must be removed from the exhibit hall by 2:00 pm on Sunday.

    Shipping Instructions:* The American Nephrology Nurses Associa tion has made arrangements on behalf of the exhibitors with the decorating/drayage firm to receive, store, and deliver exhibits directly to the Exhibit Area on set-up day.     Exhibitors are encouraged to ship all displays early to insure arrival at least one week prior to installation date. All display materials will be stored in the contractor’s warehouse for a period of 30 days as part of the official drayage service. Shipments sent direct to show site on set-up day must be scheduled ahead of time with Brede Exposition and approved by Brede (407-851-0261).

    Hotel Accommodations: The official hotel is the Hilton Anatole. Information regarding hotel accommodations and official housing forms will be sent upon confirmation of space assign-ment. Exhibitors are reminded that they are responsible for making their own arrangements and to make arrangements as early as possible. No hotel accommo-dations will be made for nonexhibiting firms.

    Hospitalities: Booth fees include exhibit space as well as sponsor-ship for the ANNA Opening Reception within the exhibit hall and the ANNA/Exhibitor Reception for all registered attendees and exhibitors. No other hospitality events will be permitted during the hours of official receptions nor during other scheduled ANNA clinical and business meet-ings and official ANNA social activities. Hospitality suites and/or function rooms for exhibitors may be available in a limited number. Reservations must be approved through the Conference Manager’s Office. Please contact Jeri Hendrie, Conference Manager, 856-256-2300, for additional information. Suites must not be open during exhibit hours or during sessions. Companies may use their discretion in offering hospi-tality functions for ANNA attendees. ANNA has reserved all function space and suites within the official hotel and will release space to exhibitors taking into consideration the company’s overall commitment to ANNA activities. Under no circumstances will companies not exhibiting nor making Symposium contributions equal to the aver-age booth fee be permitted to sponsor ANNA-related activities during the Symposium. ANNA would appreciate being informed of any violations to this policy.

  • Security and Liability: Watchmen will be on duty to control admission to the exhibit hall and serve as a deterrent to theft. However, each exhibitor must make provision to safeguard his goods from the time they are placed in his booth until they are removed by him. ANNA security service is not responsible for individual exhibitor’s property. Neither ANNA, Anthony J. Jannetti, Inc. nor the Hilton Anatole Resort will be responsible for loss or damage due to any cause. Space is leased with the understanding that the American Nephrology Nurses Association, Anthony J. Jannetti, Inc., and Hilton Anatole will act for the exhibitor and his representatives only in the capacity of agent, and not as principal. Each party agrees to be responsible for his own property through insurance or self-insurance and shall hold harmless each of the other parties and for any and all damage caused by theft and those perils normally covered by a fire and extended coverage policy. Exhibitor assumes entire responsibility and hereby agrees to protect, indemnify, defend, and save the American Nephrology Nurses Association, the Hilton Anatole, and Anthony J. Jannetti, Inc. and its employees and agents harmless against all claims, losses and dam-ages to persons or property, governmental charges or fines and attorney’s fees arising out of or caused by Exhibitor’s installation, removal, maintenance, occupancy or use of the exhibition premises or a part thereof, excluding any such liability caused by the sole negligence of the Hilton Anatole and its employees and agents. ANNA is not liable for any additional expenses incurred by exhibitors beyond booth fees and the exhibitor hereby releases ANNA from any and all claims of every sort it may have against ANNA based upon, arising out of, or in con-nection with or related to the trade show, including, but not limited to loss, theft, damage, destruction, or delay or non-delivery of goods, display material and other effects. In addition, Exhibitor acknowledges that the American Nephrology Nurses Association and the Hilton Anatole do not maintain insurance covering Exhibitor’s property and that it is the sole responsibility of Exhibitor to obtain busi-ness interruption and property damage insurance cover-ing such losses by Exhibitor.

    Special Regulations: Subletting of Space — The subletting or assigning of space is prohibited. Two or more firms may not exhibit in a single space unless special arrangements have been made with the Exhibit Manager. All products and services displayed from a booth must relate specifically to the company’s business interests and must be sold and dis-tributed directly by the exhibitor. No signs or other adver-tising materials may promote another company’s prod-ucts, services, logos, etc., unless special approval has been provided by ANNA.

    Installation — Exhibits should be installed according to HCEA guidelines so they will not project beyond the space allotted or obstruct the view of, or interfere with, other exhibits. All linear booths have a height limit of 8-feet. Island exhibitors are permitted to go as high as 25’. Fire Safety — It is each exhibitor’s responsibility to conform to the city fire codes regarding booth construc-tion. Courtesy — The rights and privileges of an exhibitor shall not be infringed upon by any other exhibitor. Interviews, demonstrations, distribution of literature, etc., must be made from within the exhibitor’s booth. Exhibitors may not enter another exhibitor’s booth or pho-tograph/ investigate another exhibitor’s products at any time without the expressed permission from the exhibitor. Canvassing — Canvassing outside the booth is for-bidden. Vendors and/or exhibitors may not distribute materials to other exhibitors at any time by canvassing the hall. All business must be conducted from within each exhibitor’s booth. Advertising — Advertising material or signs or exhibitors other than those who have engaged space are prohibited. Exhibitors may not display advertising, logos, or names for products other than those sold by the exhibitor in its normal course of business unless approved by ANNA in advance. Audio-Visuals — Audio-visual presentations must be so arranged that aisles are not blocked and be presented in a sound-proof area or so remote that the neighboring exhibitors are not disturbed. All apparatus must conform to the local fire regulations. Exhibitors with noisy electri-cal devices, or other exhibits or devices which may prove objectionable to other exhibitors because of noise, odor, or other disagreeable features, must agree to accept booth assignment which will abate reasonable objections to these annoyances. Conduct — Unethical conduct or infraction of any rules stated herein on the part of the exhibitor or his rep-resentatives or both may result in dismissal from the Exhibit Hall. In this event, it is agreed no refund shall be made by the American Nephrology Nurses Association, and no demand for redress will be made by exhibitor or his representatives. Disregard for any rule stated here is considered just reason for ANNA to prohibit an exhibitor from attending all future ANNA activities. Music — Exhibitors are responsible for establishing any necessary license agreements for copyrighted music played from within their booths or hospitality functions. Other — There will be no smoking within educational sessions and within the exhibit hall at any time inclusive of move-in and move-out. Balloons are prohibited.

    REGISTRATION: Advance registration will be provided to exhibitors. ANNA policy requires that all exhibitors will be required to register — a maximum of three complimentary registra-tions per booth. Personnel registering for any participat-ing exhibitor must be employed full-time by the company. Identification is required. Additional registrations for exhibit personnel are available for $100.00. A special exhibitor registration area will be provided on-site. Companies who provide registrations for nurses not employed full time by the company must use the official ANNA registration form and pay full registration fees. Companies may not register nurses at the $100.00 exhibitor fee. Exhibitors may attend sessions on a space available basis. One nurse who is employed full time by the com-pany per 10'x10' may also receive CE credit for the pro-grams attended. Pre-and post-conference workshops are not included with this offer, and must be paid for sepa-rately. Corporate nurses will receive an exhibitors’ badge only unless they register separately for the Symposium. Corporate nurses who have passed the Nephrology Nursing Certification Examination and who wish to have the special “CNN” ribbon placed on her/his badge, must communicate that information to ANNA at the time of pre-registration. Admission to the Exhibit area and sessions will be by badge only. Guest passes for “exhibits only” will be issued to all companies upon check-in.     The cost to participate is $1,475 for one piece or $2,075 for two pieces. ANNA will extend a 20% discount to all participants who also advertise a full page or larger within either the special March/April

    Symposium issue of the Nephrology Nursing Journal or within the ANNA Symposium Program. (The program is contingent upon at least three participating companies.)
