EXHIBITOR MANUAL Kindly read the General Rules and Regulations carefully and complete the attached forms. Please note the following important dates:

Friday, 22 November 9:00 am. – 12 noon Official contractor exhibition and event setup

Friday, 22 November 12:00 noon Special design contractors’ Set up of Stands. Official contractor to continue event setup

Saturday, 32 November 9:00 am. All Exhibitors & Special Design Contractors’ Setup of Stands

Sunday, 24 November 9:30 am. Exhibition Official Opening

SECTION 1:

GENERAL INFORMATION 1.1- DATE & PLACE

The event will be held on 24th, 25th and 26th of November

2019 at InterContinental Cairo Citystars, Cairo, located at

Omar ibn El Khattab Street, Heliopolis 11737. Exhibitors

are urged to be at their stands at least an hour before the

official opening time on Tuesday, 24th November 2019.

Kindly note that exhibitors and participants are not

allowed to enter the event floor on 24th November 2019

without badges.

1.2- SECURITY

The Organizers are not responsible for any case of theft or

loss during opening hours. It is strongly recommended that

you do not leave valuable items at your stand especially

during the dismantling of the stands. It is mandatory that

a member of your personnel be present at the stand until

all visitors have left the halls. Under no circumstances

should the stand be unmanned during the opening period

of the exhibition. Whilst the Organizers will make all

reasonable arrangements for security coverage, they are

not responsible for any loss or damage which may occur

and the exhibitors will be responsible for security of their

stand, its exhibits and contents including personal

property.

1.3- EMERGENCY EXIT

Emergency exits will be open during the event opening

hours; please take note of their location in exhibition

floorplan.

1.4- RESTRICTIONS

Distribution of samples and promotional material is only

allowed within the Exhibitor’s stand.

Sound Transmission

The Organizers reserve the right to specify the installation

and level of sound systems accepted at the stands.

SECTION 2:

STAND LAYOUT & REGULATIONS;

ENGINEERING SERVICES 2.1- STAND LAYOUT & FITTING

2.1.1 Shell Scheme:

The stand construction is from Octanorm system with

250cm-high wall panels.

The Standard Shell Scheme includes:

The fascia board: dark blue, with company name

from PVC vinyl material in English language in

normal white font;

1 no. table 80 X 80 X 75 cm per each stand (item

No. F03).

2 nos. chair per each stand (item No. F25).

1 no. spotlight 100 W per each 3 Sqm.

1 no. power point 10 Amps. 220 V per each stand.

1 no Waste bin

Elemenco is the official stand builder for the Event.

Additional fixtures are available for hire.

2.1.2 Space Only

Exhibitors booking space only (without shell scheme) should

note that the area applied for would not include any

fixtures, furniture; only electricity connections (one power

socket) will be provided.

The height of exhibits or promotional material used in

the building of stands or inside the stand shall not exceed

2.5 meters. This includes logos, banners, towers … etc.

Double Decker stands are not allowed. The maximum

height of custom booth design allowed is 2.5 meters.

The Organizers must approve design drawings for specially designed stands. Please send the booth design

for approval by 3rd

Decoration Norms & Additional Furniture/ Fixtures:

Each Exhibitor is responsible for his/her stand

decoration.

Kindly note that Exhibitors are not allowed to hang,

glue, drill, nail, paint or use wallpaper on the stand

panels. If this is ignored, the stand contractor will

charge the Exhibitor concerned for damage to the

material. Exhibitors may hang posters by using double-

sided adhesive tape.

Exhibitors may also order items furniture on hire.

For security purposes, all alleys should be kept free of

obstacles such as furniture, displays or advertising

material.

Exhibitors are not allowed to hang banners from the

ceiling.

2.2- SETTING-UP AND DISMANTLING OF STANDS Build-Up:

Date Time

22nd and 23rd November From 9:00 am.

Setting up of all stands will be finalized for Exhibiters by

12:00 noon on Monday, 23 November 2019.

Dismantling: Dismantling and removal of stands, display material and exhibits should start after the official closing time of the exhibition.

The Organizers are not responsible for any stands left unattended and for any items that go missing from the stand after closing session.

Exhibitors taking part in the dismantling of their stands

should wear their badges.

Dismantling of stands must be completed by 6:00 p.m.

November 26th. Any material left on site after that time

will be disposed of.

2.3- RECEIVING, TRANSPORTING, AND STORING GOODS DURING THE EXHIBITION

Exhibitors are responsible for their own material

handling either during the build-up and dismantling

periods or during the show.

2.4-ENGINEERING SERVICES

Power Supply:

The normal voltage is single-phase 220 volts. The cost of electricity connection is included in the price of a Standard Shell Scheme and Space Only Stands. Additional power requirements must be ordered; for this, please fill the relevant form(s) in this manual:

(Shell Scheme Optional Extra’s) for shell scheme stands

or (Electrics – Space Only Stands) space only reservation.

2.5- SPACE CONSOLIDATION

It may be necessary to re-assign the allocated space of

some exhibitors due to floor consolidation requirements.

Every effort will be made to minimize this occurrence.

However, the Organizers reserve the right to re-allocate

exhibition areas and position of exhibition space in

accordance with the general interest of the Conference

and Exhibition. Exhibitors shall accept such new

allotment of space in substitution of that originally

allotted to them.

SECTION 3:

ADDITIONAL SERVICES

3.1- CLEANING

The Organizers will offer daily cleaning of walkways and

public areas. Cleaning of exhibits and furniture in your stands

is not included. Stands should always be kept clean and tidy.

They should never be left without competent personnel

during the opening hours of the Conference and the

Exhibition.

SECTION 4:

BADGES

4.1- EXHIBITORS’ BADGES

The Organizers will issue badges to Exhibitors and their staff

who will be present during the show.

Workers will not be allowed to enter the exhibition area on

the opening day.

Each shell scheme stand is inclusive of a name panel showing the company name and stand number at no extra cost. Please indicate below the name you wish to appear on your Fascia Board (a minimum of only 30 letters can be accommodated). Addresses will not be included and “Company, Limited, etc.” will be abbreviated.

is due 7 days before the exhibition, including transfer and bank expenses. 5. Orders taken on-site will be subject to a 50% surcharge and orders returned after the deadline

date will be subject to a 25% surcharge. 6. No refunds will be given for any cancellation of items after the deadline date, during set-up

and open days.

Special design stands

In case a company intends to make a special design to their stand, AICCE24 Official Exhibition Contractor can design and build a customized stand upon their request.

AICCE24 Official Exhibition Contractor:


In case a company intends to make a special design to their stand, and has their own exhibition contractor, the company is kindly asked to note the following:

1. Please contact AICCE24 organizer and AICCE24 official exhibition contractor

(address is mentioned above) to inform them that you intend to build your

customized stand, and provide them with your contractor name and address.

2. Exhibitors booking Space only (to make their own special design) should note that

the area applied for would not include any fixtures, furniture; only electricity

3. The height of exhibits or promotional material used in the building of stands or
