We have undertake the following activities to conduct the paper audit:
•Administrative assistants and coordinators counted the paper placed in the printers by reams (500pages)•Administrative assistants and coordinators counted the recycled paper •Information Technology Manager wrote down the printer readings (black & color impressions) for the central printers
What were your findings?
•As baseline we printed 2211 sheets /day and we recycled/reuse 314 sheets.

What activities did you undertake to communicate the campaign internally?
We have communicated the Paperless day through the following:•Email•Desktop wallpaper•Digital heart of the house communication screens•“Mr. Lean the Green Machine” sustainable board•Daily briefings•Morning meetings•Environmental presentations•Executive Committee meeting

How did you save on wasteful paper use? What did you do as an organization and as individuals?
•We resized the documents by:I. Eliminating the unnecessary information (email signatures, banners, etc) II. Adjusted the margins to minimumIII. Set indents to “0”IV. Set spacing to “SINGLE”
•We created an internal email signature use for reply or internal email eliminating the promotional banner•We installed ZapGrabVista on all our PC’s to grab/snapshot)the area that needs/must be printed (instead of printing all the document)•We PDF documents and send them by email instead of printing it off•We set the central printers to black & white double side printing mode
Which departments were involved and which performed the best?
•All departments were involved but the Reservation is the department that performed the best as they have reused the recycled paper they had in stock.

We will definitely keep the paperless champion role per department from now on to monitor the printouts and keep reinforcing the paperless concept. The facts about the savings will be communicated on monthly basis to help boosting the willingness of our talent and to get their “buy in”.The paperless talent of the month will be awarded to award the talent that goes the extra mile.
What worked for your organization that you can carry forward 365 days a year.
We will keep resizing the documents If we need to print documents we will print on both sides and preferably black an white.The awareness will continue so that our talent can always be reminded of the need on recycling, reusing & reducing.
Have you set new targets? Monthly, quarterly, yearly.
Definitely. Yearly target to reduce paper consumption is set to 30%, and the paper & cartoon board recycling target is set at 10% .
