Emails

All newsletters will be emailed to the email address(es) you provide upon enrolment. You are more than welcome to add more than one email address (your home, work, partners, child’s etc). All emails sent are assumed to be read. They are the most convenient and effective way of us communicating with everyone so please make sure you read them!

Term Dates and Studio Holidays

TERM 1 Tuesday 28th January – Thursday 9th April (no classes Easter Long Weekend)

TERM 2 Monday 27th April – Saturday 4th July TERM 3 Monday 20th July – Saturday 26th September

TERM 4 Monday 12th October – Saturday 12th December

Term dates may not necessarily fall within the school term dates, although they may be close. Please note that term fees are based on a students enrollment in the class, not the number of lessons they attend. Refunds and discounts are not given if classes are missed, even if they are the first or last week of term.

Health and Safety

Parents and guardians must be aware that unforeseen circumstances beyond the control of Rhapsody Studios and TSBC may occur, despite the training, qualifications and care of our staff. Please ensure you read the Terms and Conditions upon enrolment - these must be agreed to upon enrolment.

Child Safety Child safety information will be emailed out upon enrolment. This includes: child safety policy, code of conduct, risk management plan and dealing with complaints process.

Asthma, anaphylaxis and other illnesses

If your child has asthma or anaphylaxis, please fill out the forms attached in the child safety email and email it back to us or hand it into reception. If your child has any other illness, this should be noted during the online registration. Please email us if you forget to add this.

Staff training All staff are appropriately trained in their respective areas of dance and acrobatics. We also have staff with first aid and CPR certificates at the studio at all times.

Outside of class time

Rhapsody Studios and TSBC takes responsibility for students during their enrolled class times – outside of this time, it is up to parents and/or guardians to ensure their child is safe. Please pick up and drop off your children on time, ensuring they are taken into the studio if they are in Little Stars, Pre School Tiny Tappers, Kindy Kickers or Pre Junior Groovers.

2020 Online Registration and Enrolment The only way to register for classes is online. This makes the process of enrolment smoother and reduces the number of forms we require you to fill out. It is important that you read the terms and conditions during the registration process. Your registration cannot be complete unless you agree to the terms and conditions – of which a can be found on page 12. Instructions

Step by Step Instructions: 1. Open the link 2. Add your personal (parent/guardian) details then press next.

o One email address is compulsory, a second one is optional. Please do not enter the same email address twice, otherwise you may receive doubles of all emails.

o If you would like to provide us with your credit card details for invoices to be deducted from, as outlined on page 9, please select ‘yes’ for the credit card customer section and add your credit card details.

3. Add your child’s details then press next. o If your child has a medical condition, which is not on the

selection list, please select ‘other’ and email us the condition. o The emergency contact must be someone other than yourself

4. If you have more than one child to register, press ‘click here to add another student’ and add their details. If not, press next.

5. If you are enrolling more than one child, select your first child using ‘select student’. If you are enrolling one child, this will be done for you.

6. Standard: click ‘choose a standard’ and select the age group for your child.

7. Venue: Leave the venue as it is (Gladesville, St Chad’s Church Putney, Boronia Park Scouts Hall).

8. Date range: select ‘2020 Term 1’. 9. Day: choose the days you wish to look at. 10. Select classes: tick the classes you wish to enroll your child in, then

click ‘add classes’. Then press next. 11. Check your details are correct. If they are incorrect, click the relevant

tab (customer details, student details or add classes) at the top of the page to make corrections.

12. Read through the terms and conditions (same as on page 12 of this pack) then click ‘I accept the terms and conditions’.

13. Click submit all details. 14. Finalise the online registration by making payment.

*A $70 deposit is required for each class you register your child in. This deposit will be deducted from your Term 1 fees. If you register in the wrong class, it is transferrable to the correct class, however, it is non-refundable.

Early registration

Register early to avoid disappointment! We have a maximum number of students for each class, which is based on classroom size, student’s age and style of dance.

Waiting list If a class is full, you will be unable to enroll into it. In this case, please send us an email with your (parent/guardian’s) name, your child’s name and the class details (name, day, time) so we can add you to a waitlist.

Trial class To trial a class, please email or call reception with the following details:

We suggest visiting AKA Dancewear in North Ryde to purchase any dance shoes (except hip hop). For leotards, it’s best to call beforehand to check what she has in stock/to order. We have very limited stock and second hand shoes available at the studio – please ask reception to see. Hair must be in a bun for all ballet lessons. All clothes must be dance appropriate to ensure students can fully participate in class. Unsuitable clothing include:

• Jeans and denim shorts

• Skirts

• Thongs

Drop off, pick up and parking at Gladesville Location

• There is plenty of street parking surrounding the studio on Ryde Road, Halcyon Street and Swan Street. Keep in mind, there are areas set by the council in which stopping and parking is not allowed – there is a $253 fine for stopping in a ‘no stopping’ zone.

• Please drive around the sports club in an anti-clockwise direction (from Halcyon St to Swan St) when dropping students off to ensure kids can get out on the studio side of the road and not need to cross the road.

• Our allocated drop off zone is a turning circle directly in front of our front entrance on Halcyon Street. This is a child safe zone – parking in this area is prohibited. No parking is allowed here as it is highly dangerous when students are entering and leaving the studio. Turning circle rules:

o 2 minute MAXIMUM stopping. Please find a park on the street or do a lap of the block if you are early.

o You must remain in your car. o The turning circle can only be accessed from your left-hand side, ie entering

Halcyon Street from Ryde Road.

• There is a small car park at Gladesville Sporties, however, there is sometimes limited spots, depending on the day or the time of day.

• Please take care of students walking along the streets and car park as well as being aware of neighbours and Gladesville Sporties patrons.

There is plenty of street parking at the Boronia Park and Putney locations.

Additional Accounts Information

Invoice due date and late fees

All invoices are due two weeks after the sent date. Invoices which are not paid by this date will be charged a $10 late fee every week they are left unpaid.

Payment methods Gladesville: Invoices can be paid via cash, cheque or eftpos at reception, direct debit or online transfer. Please note, we do not accept American express. Invoices paid by online transfer require the reference to be the invoice number and surname. Boronia Park & Putney: Eftpos facilities only available at the Gladesville premises. Exact cash (no change) or a cheque can be handed to the class teacher in a named envelope with the invoice number. Direct debit and online transfer are available.

Credit card customers (direct debit)

If you like, you can provide us with your credit card details for term fees and additional invoices (ballet exams, costume hire etc) to be automatically deducted. This will ensure you avoid late fees! Credit card customers will have fees deducted on the date specified in their invoice email, generally a week from the invoice sent date, with a receipt sent to your email address. Credit card information is kept under lock and key. When you leave Rhapsody and at the end of each calendar year, this information will be destroyed. Please note, all credit card payments incur a 2% surcharge.

Cancelling / dropping a class

If you wish to drop or change a class, please fill out a ‘Change of class’ form which can be found at reception, emailed to you or found on our website. Please either return this to reception or email it to us. Refunds are not provided for dropping a class for any reason other than medical or extenuating circumstances. Term fees are based on a students position in the class, rather than the number of classes they attend. If the student becomes injured or sick and can no longer participate in class, please send a medical certificate, at which time, a customer credit can be provided.

Starting mid term If a student starts part way through the term, they are not required to pay for the full 10 week term, just the remainder of the term from when they started, minus the week of their free trial.

We will provide you with exact dates and more details closer to each event. Please note, this is NOT an exhaustive list of dates. Ballet students have dates for workshops and exams in their exam packs. Showteam students will be given dates of fetes and eisteddfods throughout the year.

Parties

Personalised Rhapsody Disco parties are available on Sundays during term time in either the morning session from 10am- 12pm, or the afternoon session from 2:30 – 4:30pm. Parties include dancing, games, costume dress ups and learning a fun dance routine! If you would like more information about your next birthday being a Rhapsody Disco Party, please send us an email.

Code of conduct At Rhapsody Studios and TSBC we pride ourselves on creating an environment that is a

happy, nurturing and professional place where the students and parents love to come to

dance.

General ▪ Treat everyone with respect and honesty (including staff, students, children, young

people and parents).

▪ Rhapsody and TSBC has a zero tolerance policy in regards to bullying. Gossiping

about Rhapsody’s and TSBC’s staff, students or other parents is not acceptable. If

there is an issue, please contact reception so we can help resolve any issues.

▪ Rhapsody and TSBC is a NUT FREE zone.

▪ Noise outside the studio and at the studio door must be kept to a minimum

▪ Students will not be able to participate in the concert if there are any fees

outstanding. It is assumed each child will participate in the concert unless

otherwise advised.

▪ Filming and photographing of any child under the age of 18 without written

consent of a legal parent or guardian is illegal.

▪ By entering the studio you accept that there may be risks inherent in attending or

participating in activities held in the studio. Therefore Rhapsody Studios and TSBC

is released from any responsibility or legal liability arising from your attendance or

participation in an event or activity or the actions or negligence of other persons

present.

Students

▪ NO bullying is tolerated.

▪ Students must not enter a studio without their teacher.

▪ Be prepared for your class.

▪ If there is an issue, please speak with your parents/legal guardian and then contact

reception.

▪ Mobile phones are not to be used during class time.

▪ Have fun!

Parents

▪ Punctuality is important. Parents must be responsible for ensuring their child

arrives on time and is picked up once class ends. Teacher supervision extends only

to the students during class time.

▪ Do not try to speak to teachers directly if there is an issue. If you are concerned

about your child’s class or progress or have any other grievances, please contact

reception or email us to book an appointment for Sheridan (Director) to talk with

you.

Terms and conditions

Terms and conditions must be agreed to upon enrolment. As parent/guardian/18+ student, I agree to the following: I certify the enrolled dancer is in good health, physically fit and may participate in activities at Rhapsody Studios and TSBC. All participation in dancing lessons, competitions and events for and at Rhapsody Studios and TSBC is at my own risk. I understand that it is my responsibility as a parent/guardian/student to inform Rhapsody Studios if my child or self is unfit to participate in any activity. In case of an emergency requiring urgent medical treatment, I hereby authorise Rhapsody Studios and TSBC to have the student taken to a medical or hospital facility for treatment. I understand

• that there is an annual registration fee.

• all term fees are due two weeks after each invoice is sent.

• a late fee of $10 will apply each week after the due date if fees are not paid on time.

• my terms fees are based on my position in the class, not on my attendance.

• should I wish to cancel my enrolment before completing a full term, my term fees and registration fees are non-refundable.

• that additional rehearsals may be called, and additional fees may arise throughout the year based on concerts and other performances.

• that students with outstanding fees will not be permitted to perform in the end of year concert.

• all newsletters, notices, and information packs are forwarded via email, or are displayed on our website, and that all information held within is assumed read.

• I must inform Rhapsody Studios in writing if I do not want my child/ren's photos used for advertising purposes.

• If you have provided Rhapsody Studios with your credit card details in any method, including during the online registration process, we will deduct all fees from your credit card.

• A 2% credit card surcharge will be added to all invoices that are deducted from credit cards.

• If you do not wish to have a payment deducted from your credit card, we must be notified in writing within a week from receiving the invoice.

• We will not be financially liable for classes or dates cancelled due to events beyond our reasonable control, such as extreme weather conditions.

I agree that Rhapsody Studios and TSBC or anyone employed or volunteering for Rhapsody Studios and TSBC will not be held responsible for personal injury or loss/damage of property to me, or my child:

• When I am/they are on the premise of Rhapsody Studios and TSBC

• When I am/they are involved in activities external to Rhapsody Studios and TSBC, but organized, approved or endorsed by Rhapsody Studios and TSBC

• When people external to Rhapsody Studios and TSBC are using the studio space

• When people external to Rhapsody Studios and TSBC are involved in other events (lessons, competitions, events)
