2020-21 Technology Deployment Plan
Good afternoon Shamrocks!
Birdville ISD wants every student to have a device for online learning and we will be checking out
Chromebooks at our school!
To make sure that we have enough Chromebooks, we request that you only check-out a device if your
student has no other computer for online learning.
Regardless of your choice to attend school face to face or virtually, all students should plan to pick up
their Chromebook according to their assigned days/times.
To receive a Chromebook, complete the Parent & Student Equipment Use Agreement form that is
available in your Skyward Family access account( please visit the following link for step-by-step
instructions on accessing the form BISD Parent & Student Equipment Use Agreement in Skyward).
Once you have completed the agreement, you are eligible to come to our campus and be issued your
Chromebook. To assist us in minimizing wait times, we will be serving those students whose last name
begins with A-L next Wednesday, August 19th from 2:00 pm to 5:00 pm. Students with last names that
begin with M-Z are invited to pick up their Chromebook on Thursday, August 20th from 8:00 am to 11:00
am. If you are unable to come during your assigned time/day, we will provide a final make-up time on
Thursday afternoon (8/20) from 2:00 – 4:00.
When you arrive at Shannon campus, please park in the student lot and enter through the Walker Street
entrance. Your Parent & Student Equipment Use Agreement will be verified, and a campus staff
member will issue your student a Chromebook. If we are unable to verify completion of the form, you
will be provided an opportunity to complete the form in our computer lab and then begin the process to
be issued the Chromebook. Once you receive your Chromebook, you will exit the building at the far end
of the 100 hallway, opposite the door you used to enter the building.
Please note: If you do not have a Skyward Family Access account and wish to check-out a student
Chromebook, please come to the campus in the first hour of the 3-hour window on either day and you
will be able to fill out the agreement at the campus using a district computer.
It is highly recommended that parents complete the form online before they visit the campus to
pick up their Chromebook. Parents who do not have Skyward Family Access may request it by
contacting the campus Family Access Coordinator. Shannon’s Family Access Coordinator is Miss
Diana Castillo. She can be reached by calling 817 547-5413.
Alternatively, a separate online form will be available via Chromebook stations on the actual check-out
dates that includes a built-in Spanish translation option.
Please be aware that we will be enforcing social distancing, mask mandates, and regulating building
occupancy in order to ensure the safety of our students, parents, and staff. As such, the earlier you
arrive on either day, the quicker we can get you through the process and on your way.

It is important to note that we consistently receive new guidelines by the TEA
and State Officials, so it is possible that some of this information may change.
Parents will arrive on their campus scheduled deployment date, and a Door Monitor will
allow access into the building based on COVID-19 occupancy requirements. Once inside,
they will be greeted by the Check-in Monitor to verify the completion of the Skyward
Parent & Student Equipment Use Agreement. Parents who have completed the form is
directed to the Deployment Stations. If the Check-in Monitor is unable to verify
completion of the form the parent is directed to the Chromebook Signature Station
manned by the Signature Station Monitor. Once the form is complete the parent can
progress to the Deployment Stations.
Upon arriving at Deployment Stations, a Deployment Station Monitor will verify the
student’s record in Skyward and complete a Student Chromebook Check-out Form (the
form is located under each student record in skyward via the Custom Forms tab). The
Deployment Station Monitor will scan the Chromebook Serial Number (S/N) and BISD
Tag on the Chromebook. After this information is recorded and saved, the Deployment
Station Monitor will hand the device, a charger, and the Student Chromebook
Instructions to the parent and they should exit the building.
Campus Staff Roles & Instructions
The roles described below will include instructions for each deployment assignment. Please be
aware that some roles will require Skyward Access that must be provided by the Campus
Coordinator. If a Campus Coordinator is unable to assign staff members the required Skyward
access, please email the address below with the Campus Coordinator’s name:
Campus Coordinator
The Campus Coordinator is designated by the Campus Principal and is the primary contact for
the Technology Department. The Campus Coordinator will oversee project plans at the campus
level including, staffing, equipment, locations, inventory, etc. It is recommended that the
Coordinator act as a “runner” during the campus deployment dates and coordinate between
station needs while addressing traffic concerns. Campus Coordinators will also be responsible
for ensuring parent communications are sent via email and verifying that an announcement has
been placed on the campus homepage. Student Chromebook Instructions will need to be
printed by the Campus Coordinator and given to Deployment Station Monitors to pass out with
Chromebooks. A Student Chromebook Instructions double-sided document containing these
instructions will be attached to the email Campus Coordinators and Principals receive containing
this planning document. Campus Coordinators also provide Skyward access to deployment staff

Door Monitor
The Door Monitor will ensure parents line up outside of the building and ensure campus social
distancing requirements. Door Monitors will also be responsible for limiting the occupancy of
the building to meet COVID-19 safety compliances. As a recommendation, they may occasionally
remind parents in line that they will be checking their Skyward Agreement in the building and
they can fill out the form online using their personal devices by signing into their Skyward
Family Access Portal.
Check-in Monitor (Skyward Access Required)
The Check-in Monitor will be located past the entrance and before the deployment/signature
stations. They will greet parents and use their BISD Staff Skyward account to verify that a parent
has completed the agreement. The step-by-step instructions are linked here: Check-in Station

If the form is completed and Agree has been selected, the parent will be directed to the
Deployment Stations in order to continue the process. If a parent does not have a verified
online form, they should advance to the Signature Station and Signature Monitor to complete
the requested form. A Skyward Family Access Account is not required to fill out the form that is
available at the Signature Stations. A Chromebook can be issued after agreeing to the online
form, but please note that the form will not show up in Skyward until the next day. A parent will
not be issued a Chromebook if they decline the agreement terms.
Signature Station Monitor
A Signature Station Monitor will facilitate the station for parents who have not completed the
agreement form or have no Skyward Family Access. The Monitor will assist parents who are
having difficulty at the Signature Stations and help them sign in to Chromebooks with the
Technology provided credentials. Signature Station Monitors are also responsible for
cleaning/disinfecting the Chromebooks after each parent use. Once a parent completes the
form and agrees to the terms, the monitor will direct them to the Deployment Stations.

Deployment Station Monitor (Skyward Access Required)
A Deployment Station Monitor will be the final stop before a parent receives a Chromebook. It
is recommended that there be at least 3 (4 for HS) deployment stations and monitors, but it will
be up to the campus to determine what works best for their needs. A parent should only arrive
at the Deployment Stations once the Parent & Student Equipment Use Agreement has been
verified by the Check-in Monitor or the Signature Station Monitor. The monitor will request the
name and ID number of the student receiving the Chromebook in order to access the Student
Equipment Check-out Form in Skyward. Once the student record is located, the Deployment
Station Monitor will retrieve a Chromebook from the campus inventory and scan/type the
Serial Number (S/N) as well as the BISD Tag into the Skyward Form. The device, charger, and
Student Chromebooks Instructions (provided by the Campus Coordinator) will be handed to the
parent, and the Deployment Station Monitor should direct the parent to the building exit.

Additional Information & Templates
Student Passwords
The 2020-2021 student passwords will follow these conventions:
o PK-2 students will use a Skyward generated password that Staff will NOT be able to
reset.
Teachers will receive a report from Skyward with their students’ Usernames,
Passwords, and parent contact email. Teachers can send this information to
their students the week before school begins to help with the initial login
process.
o 3rd grade students will use a Skyward generated password that staff WILL be able to
reset using the new Classlink BISD portal, if needed. 3rd grade students will be
prompted to reset their password upon their first login.
Teachers will receive a report from Skyward with their students’ Usernames,
Passwords, and parent contact email. Teachers can send this information to
their students the week before school begins to help with the initial login
process.

o 4th - 12th grade students will use their prior year password (password they used in the
spring for remote learning); staff WILL be able to reset a student’s password if needed.
