2019 Holiday Event Décor Request for Proposal

Organization Society for Incentive Travel Excellence (SITE), Southern California Chapter 31805 Temecula Parkway #397 Temecula, CA 92592 951-303-0044 About The Southern California chapter of Society for Incentive Travel Excellence (SITE) is dedicated to developing the highest level of professionalism through networking, education, communication and support to those employed in the incentive travel, meetings and motivation industry. SITE SoCal also promotes adherence to best practices and a specific code of ethics set forth by SITE International.

SITE SoCal meets several times a year at venues throughout the region, providing educational events and networking opportunities for members and guests. These events range in attendance from 80-400 professional planners and suppliers within the SoCal market.

Objective SITE SoCal concludes the year with a holiday fundraising celebration highlighting several selected grassroots charities. This year’s event will be an evening black-tie gala held at the Palm Springs Convention Center. Unlike years past where each table has been responsible for its own décor, the board is in search of décor partners to provide a cohesive and elegant reception and dinner event design. All décor submissions will be reviewed and voted on by the 2019 Board of Directors.

and strike for pricing / labor purposes. Pricing and Inclusions The partner(s) will find it of great value to showcase their creativity and services to the Incentive Industry Leaders who attend. The exposure and visibility this program offers is unparalleled, with attendance of 50% meeting and incentive planners! SITE SoCal has allocated $10,000 plus the below sponsorship package in exchange for your consideration of décor services:

• Logo and image included in our Cvent registration website • Logo on our SITESoCal website • One complimentary experience package for (10) to attend holiday event

programing (table guidelines to apply) • Inclusion in post event write-up • Décor sponsorship package value of $15,000

Please note that SITE would also love to hear of other ideas from you that would be important in consideration of your investment as well. Requirements of Décor Partner The 2019 holiday event is an elegant, black-tie affair. Please propose reception and dining décor to fit an upscale environment. We invite you to use your creativity and resources to develop a thorough proposal. The theme for our 2019 year is ‘Back to the Basics’ – you may integrate this into your design though it is not a requirement. Estimated event attendance is 650 – 750 pax. Inclusions for consideration:

• Primrose Ballroom – max (75) 72” Rounds of 10.

• Primrose Foyer - (3) 6’ Satellite Registration tables, (25) Scattered Highboys, (12) skirted 6’ Tables for Silent Auction, Bars

Please note - entertainment, lighting, or AV needs are NOT required. Selected partner will work with AV and venue sponsors for cohesive design. RFP Sustainability & CSR As part of our commitment to education and the environment, SITE SoCal is interested in partnering with companies that incorporate sustainable policies into their daily operations. Please highlight any practices in place that will be implemented through your services to contribute to sustainability. RFP Response Requirements Thank you for your interest in supporting Society for Incentive Travel Excellence SoCal. If you would like to submit décor proposals for Holiday Event 2019, please send a short proposal to Alisa Walsh, President Elect at awalsh@eventworks.com. Evaluation Process and Timing All proposals to be received by July 12, 2019. SITE’s Board of Directors will evaluate the proposals and select winning bid by August 2, 2019. Please provide a full and complete design concept. We appreciate all of our valued supplier partnerships and will provide a fair and equal opportunity for all who choose to participate.
