WELCOME TO TPAN’s RIDE FOR LIFE CHICAGO Thank you to ALL our CREW VOLUNTEERS for your dedication of time, energy, advocacy & fundraising, and hard work to this year’s Ride for Life Chicago! Your volunteer support is the backbone of our Ride, and we are grateful to have you on board.

CREW ROLES AND RESPONSIBILITIES Crew ensures Rider safety. Keep these responsibilities in mind so that you are providing necessary coverage in your role.

ROAD CREW Crew Team Leads

• Reports to Crew Lead when team is in place.• Act as first point of communication for the command center• Route road and medical crew members to riders in need of support• Close sections of the route

Crew Members • Staff their section of the ride by driving through the section or stopping in designated areas to

route and cheer riders on (Crew Members are asked to canvas the route as instructed by your section assignment and Crew Lead, visiting the Pit Stops only for supplies and lunch.).

• On Trail sections, Crew will be given stationary positions during major trail breaks.• For road sections, Crew will be stationed at high traffic areas and difficult turns – with 1-2 cars

roving the route.• Respond to requests from the crew lead to assist riders who need help• Power-Up riders through the section when needed• Document issues on the crew member form

Route Marshals • Route Marshals are experienced cyclists who will monitor sections on the cycling route,

including off-road trail segments. They are assigned to route sections and Crew/Color Teams and are in contact with your Crew Team and Crew Lead.

Caboose Rider – Deb Fiztgerald • Cycles at the back of the entire group, helping confirm passage of riders and section closures.

Medical Crew • Assesses injuries and “makes the call” in times of emergency• Provides medical attention as needed• Medical crew will have the final say in whether injuries require immediate medical attention

PIT CREW • Assist production staff in setting up and break down of pit stop• Distribute supplies to riders• Check in with riders, alert road and medical crew of needs• Communicate with production staff of needed supplies for the pit stop

COMMAND CENTER CREW • Fields calls from riders on the route who need assistance from our command center in Chicago

WHAT TO PACK You are allowed to bring ONE bag with you—including your sleeping bag/bedding, so please pack strategically. Label your luggage with a secure ID tag. TPAN will transport your luggage to and from Tower Hill Camp.

• Sleeping bag, sheet set, and/or blanket (NOTE: Participants staying in MarshallRetreat Center will need to provide their own bedding. Twin sheet sets or a sleepingbag will fit the bunks)

• Pillow• Towel & washcloth (bring an extra towel if you plan on showering and swimming)• Clean comfy clothes for camp, including sleepwear• Cycling gear and clothes for Day Two (for 100-Mile Riders!)• Prescription and/or over-the-counter medications• Toiletries (e.g., sunscreen, soap, lip balm, insect repellent• Flip flops/gym shoes• Ear plugs (recommended if you are a light sleeper)• Flashlight or battery operated lantern• ID, Emergency Contact Information Card, Medical Insurance Card, Credit Card/Cash• Cell phone & charger with alarm and/or travel alarm clock• Depending on weather, you may consider a poncho, raincoat, or umbrella.

We ask everyone to help amplify our voice and Ride for Life Chicago mission by liking, sharing and re-posting or re-tweeting! With EVERY re-post or personal post, ALWAYS include your personal Ride for Life Chicago page link or rideforlifechicago.org, so friends can support you!

Sept 4 – 6: LUGGAGE DROP CREW MEMBERS: We ask you to use our truck luggage transport (to keep Crew Cars open for route needs). You have 2 options for getting your luggage Opening/Start on Day 1: (1) Bring your luggage with you at 5-6AM check-in on September 7th @ Winnemac Park; or (2) use our convenient, early drop-off – per below – so you can show up on Saturday ready to go!

WHERE: BACK SIDE of TPAN’s address, per below. Please DO NOT bring bikes or luggage to TPAN’s front, street entrance! Arriving by CAR: This process will function like a drive-thru! Come to the back of TPAN in the 5800 North block of Broadway, using the alley between Catalpa Ave and Bryn Mawr. Call or text the designated drop-off contact above (Andrew or James) for the day and we will assist you right away. Arriving on bike or on foot: When you arrive at TPAN, please text or call James or Andrew (numbers above in schedule block), and we will meet you in the alley to accept your bike and bags.

100-MILE RIDERS: you must drop off your bike and luggage at TPAN by Friday Sept 6th to ensure it is properly packed for transport to camp. You may instead choose to bring your bike & overnight bag to 5-6AM drop-off at Winnemac Park on Saturday, Sept 7th, yet early drop-off makes transport easiest for you and our Ride support teams!

NOTE: The Crew cars are NOT intended to provide bike or luggage transport for riders, including the 100-milers on Crew. AT BIKE/LUGGAGE DROP – Whether you drop off early or on Saturday 5-6AM – you will receive your: Event Kit (i.e., your jersey, hat, vest) – IF you ordered these

Rider Supply Bag, with items that accompany you or your bike/bag. This includes:

• Housing Info for Tower Hill Camp • Rider Number Tag (required attachment for your bike) • Rider Number Helmet ID • Luggage Tag (to attached to your overnight bag) • Complimentary Nutrition Items from Hammer Nutrition & Jimmy Bar

CAMP INFO & ARRIVAL • Your registration includes accommodations and meals at Tower Hill Camp & Retreat Center,

located at 12173 Tower Hill Road, Sawyer, MI 49125. • Upon arriving at Camp, CHECK-IN at the Check-in Tent (just after passing the RIDE FOR

LIFE CHICAGO flags) and get settled into your room. Your luggage will be in the common area of the cabin to which you were assigned.

• Camp activities include: swimming, fire pits, group stretching, s’mores & campfire. A full schedule of activities will be available at the Pavilion.

• Warren Dunes State Park is a short walk from Tower Hill Camp & Retreat Ctr. The park has a beach with spectacular views of Lake Michigan and Chicago.

• REMEMBER THAT RIDE FOR LIFE CHICAGO AND TOWER HILL CAMP & RETREAT CTR. ARE DRUG-FREE. No recreational drug use will be permitted at camp, or during the Ride weekend.

• Alcohol is permitted and BYOB at Camp, HOWEVER, ALCOHOL MUST BE CONTAINED TO YOUR LODGING AREA. Participants are not permitted to walk throughout the camp with open containers.

• Please enjoy responsibly—do not drink and drive, and be mindful that you’ll be pedaling a bicycle 100 miles to Chicago the next morning! Make sure to dispose of all of your bottles and cans in the recycling bins. Alcohol is NOT permitted at the beach.

• Rest. Get to bed early enough so you can get enough sleep for the second day. Quiet time starts at 10:00 PM. Please be courteous to those who go to bed early.

• Thank you for helping us tidy up and leave the camp the way that we found it!

GENERAL ROUTE PROCEDURES For all Crew Team assignments in route sections, Crew Leads will communicate assignment changes and applicable route placement or important intersections. On route sections that include off-road biking trail segments, crew will be

given stationary positions where you can respond to needs or calls for support (e.g., from a Crew Lead or Command Center).

For road sections of the route, Crew Teams may be stationed at high traffic

areas, difficult turns, etc., while 1-2 Crew Cars are assigned to drive the route section. Crew Leads will communicate these assignments per section.

SAFETY & CYCLISTS. The Ride’s previous training weekends and cyclist instructions are meant to prepare each rider for their route experience as well as interactions with you, our Crew. Like Crew teams, our cyclists will include longtime veterans of the Ride for Life, experienced cyclists, and first-timers as well as individuals who are relatively new to cycling and longer rides. The safety of each and every volunteer is our top priority. When cyclists are riding, they are instructed to:

• Use hand signals and respond to Crew teams monitoring the route (“THUMBS UP/THUMBS DOWN”)

• Share reports of significant road obstructions, possible accidents, etc – especially on trail sections that will be monitored directly by our Route Marshals and Caboose Rider (more on those below). Communications chain and procedures are outlined in this guide!

• Respect and follow Crew Lead & team instructions – You and your Crew Leads are the voice of the Ride on all issues of safety and section updates on the route!

• Call out to their peers on the route, notifying fellow riders of road hazards, etc..(e.g., “ON YOUR LEFT” or “POTHOLE”).

• Follow all traffic laws (obvi!), stop at stop signs and stop lights, and to not ride more than two abreast.

PIT STOP INFO AND POWER-UP GUIDELINES

Pit stops have firm OPEN & CLOSE times. Our route and Pit Stops are scheduled to allow Riders to cycle 11-14mph, on average, and finish the route in the allotted time. Pit stops close on time, which makes it imperative that riders manage their time wisely at every stop! The timing of each pit stop has been calculated to accommodate faster and slower riders, so that you – our Crew, Route, and Pit Stop teams - can support everyone efficiently.

NOTE: ALL riders have been informed that if they have not arrived at a pit stop before its scheduled close time, Crew will power them up to the nearest stop. Alternatively, some riders may ask to be powered up a full pit stop to have sufficient time to finish the day’s ride. If a Rider has not reached a Pit Stop before it closes, Crew Teams will “power up” or sweep that rider to the next stop. Riders should be prepared and informed about our procedures, yet Crew Teams are occasionally the point of communication with a frustrated rider regarding a required “power up”. Your Crew Leads and Ride Team are your back-up, if you need assistance in communicating a required “power up” to any participant. In most instances, riders are grateful and relieved to have Crew “power up” support!

REQUIRED ROUTE CHECK-INS FOR RIDERS

ALL RIDERS will be required to check in at specific pit stops along the route. At Checkpoints, riders will be checked in with Zkipster mobile app. At these four check-in points, which include open/start and finish/closing, riders are asked to find a volunteer calling out for check-ins and give them their Rider Number. This is a new procedure this year intended to help Crew and Ride Leads gauge and confirm section closures and openings. THERE ARE 4 REQUIRED CHECK-IN LOCATIONS FOR RIDERS ON EACH DAY:

• MORNING START - Opening Ceremonies on Day 1, Camp on Day 2 • Pit Stop @ La Rabida Hospital (Pit Stop 1 on Day 1, last Pit Stop on Day 2) • LUNCH STOP – Trailblazers Bike barn • FINISH/CLOSING – Tower Hill Camp on Day 1, Winnemac Park on Day 2.

IF YOU ARE “POWERING UP” OR SWEEPING A RIDER PAST A REQUIRED CHECK-IN: This is more likely on Day 2, on the way back to Chicago, when riders may need more assistance and/or when timing of route section closures are important to ensure that all participants reach Closing Ceremonies in time. If your Crew Team is powering-up a Rider past a point such as La Rabida Hospital or any other required location above: Notify your Crew Lead, via your Crew/Color Team WhatsApp Group (See Communications section below)

ROUTE MARKINGS

The route and all turns will be marked by orange directional arrows on the road. Each turn will have two arrows leading up to the turn, and one confirmation arrow after the turn. Additionally, the Route will be marked with mile markers every 10 miles, and pit stops will be designated with blue RIDE FOR LIFE CHICAGO signs.

ON THE ROUTE BE MINDFUL OF RIDERS’ NEEDS

• Use the Thumbs Up/Thumbs Down to check in with Riders • Do not honk at Riders to announce your location. Use clappers, cowbells, or any other

means of making noise to get riders attention. • If you see a stopped rider, pull to the side of the road ahead of him/her to offer help—

keeping the route clear for other Riders. As always, please use your turn signals and hazard lights when pulling over and stopping.

• If cheering Riders at an intersection or a blind turn, be aware of oncoming traffic and give riders the right of way, or warn them of oncoming traffic as they approach the turn.

STAY ON THE ROUTE Unless you are otherwise instructed by your Crew Lead or you are in process of “powering up” a rider to the next Pit Stop, please stay on our designated route. Crew Teams not assigned to stationary intersections or points (e.g., during off-road biking trail segments) will drive your designated route section. DOCUMENT ALL ISSUES If assisting a rider, report this back to Crew leads (using your WhatsApp Group for your Crew/Color Team). If you experience an accident, injury, or other notable event with your rider support, we ask that you document all actions taken on Crew Member forms – which you will find at the end of this Guide.

MECHANICAL SUPPORT FOR RIDERS Riders should be equipped with the tools and knowledge to care for moderate mechanical errors. Your bike pump can help in a pinch. Bike mechanics will be available along the Route both days. If Riders encounter mechanical issues that they cannot address, direct them towards the mechanics. MECHANICS: If a rider encounters a mechanical issue that they can’t fix, Crew should refer the rider and, as needed, provide “power up” support the nearest mechanics’ location. NOTE: all mechanical support will follow the OPEN/CLOSE times of each Pit Stop or location below. ROUTE NAVIGATION USING Ride With GPS We are excited to share that the Ride has moved to a NEW RWGPS Club account! This allows us to offer its features and benefits without participants (you!) having to pay the $5 monthly fee for the premium account functions that help us all stay on track in the Ride. If you already have a premium account, everything stays the same – no need to create a new account. Click here to learn more about the member benefits!

This club account will be where the routes are housed for event weekend. Each participant will be able to:

• View, download, print cue sheets and route details

• *Get turn by turn directions (without the individual $5 subscription)

• Use Live Logging – share your location on social and have friends see where you are every step of the way! This is going to make route communication a lot easier for participants, (both crew and rider), staff and E360. The biggest benefit is that everyone will have access to the live turn-by-turn directions without having to create an additional account or purchasing the individual membership!

CREW & RIDER COMMUNICATIONS COMMUNICATING BETWEEN RIDERS & CREW – THUMBS UP/THUMBS DOWN: Riders and Crew members will utilize a thumbs up/thumbs down system of communication along the route.

When riders need help: If they see a Crew member driving by and need assistance – they are to give a “THUMBS DOWN” to signal for Crew to pull over.

When riders are OK: If they see your Crew team going by and giving them a “thumbs up/thumbs down” they are asked to respond with a “THUMBS UP” if they are okay.

WHEN A RIDER NEEDS ASSISTANCE ON THE ROUTE: IF THEY ARE IN AN EMERGENCY or any medical emergency, CALL 911.

o After a 911 call, they contact the Ride Command Center line 773-852-9889.

IF they need assistance like powering up, bike support, or any other help. o First, they look to see if your Crew, Route Marshal, or any support team is near to

assist you – using the “THUMBS DOWN” sign. o Reminder: every section has a Route Marshal & Crew team as well as our

designated “Caboose Ridder”, Deb Fitzgerald, to ID final passage in each section.

o THEY CALL the Ride Command Center line – 773-852-9889.

Command Ctr will ask for their name and Rider Number, location or identifying area info, and ascertain their need (e.g., flat tire assistance, injury, etc)

Command Center line staff will relay needs and location to the Crew, Medical Crew (as needed), and support team.

o In the rare circumstance that Command Center line is not connecting, riders may call our Ride team support leads – Andrew Miller or James Craig, whose numbers will be on the back of your Ride Number tag.

Each Rider’s Number Tag (on each bike) will have all this information and look something like:

ROUTE SECTION OPEN/CLOSE SEQUENCE

Route Marshals - Route Marshals are assigned a sections of the route and are responsible for monitoring rider sections and trail segments as well as working directly with the Crew Section Leads and Caboose Rider to ensure that the last rider has cleared their route section. DAY ZERO: FRIDAY, SEPT. 6, 2019

Car Prep: Fuel up, power up, pack right, play, decorate! • If you will be driving for the Ride, spend time the week before ensuring your car is in

proper working order. (Oil change, break check, fluid levels) • Start the ride with a full tank of gas. While gas stations are accessible along the route,

we are traveling on country roads and services may not be immediately available. • Bring a USB or 12V phone charger to ensure your phone remains on. This is especially

important if you’ll be using the Ride With GPS app. • Get your bike rack, pump, Pack extra snacks and anything else you’ll need to stay

comfortable throughout the weekend. Crew Leads will provide you with a box of supplies for yourself and riders you assist, including first aid equipment, water, and a few snacks, but extra items are encouraged.

• Plan your play list and pack a boom box or Bluetooth speaker. We’re encouraging riders—and keeping them safe—and nothing pumps someone up like music!

• Decorate your car! Help us and the Ride for Life be visible on the route!

DAY ONE: SATURDAY, SEPTEMBER 7, 2019

5:00 AM: Crew Check-in: Winnemac Park Check-in at the Crew registration tent, at the southern end of the parking lot, and pick up your crew supplies: bike racks, pumps, t-shirts, etc. A number of parking spots will be reserved for crew cars to load supplies.

Once you’ve picked up your supplies, park on Central St or in the Northshore University Health Systems Hospital garage, located at 2650 Ridge Avenue (enter the garage on Central Street), for the duration of the opening ceremonies.

5:30 AM: Find your Team Captains Check in with your crew captains to confirm your final posting on the route, and ensure you’ve finalized your communication plans as a team.

6:45 AM: RIDE OUT! As Riders depart Winnemac Park, the first group of Crew should be on the route and prepared to provide assistance.

10:15 AM–1:00PM CST: Lunch at Trailblazers Bike Barn After closing your team’s first section of the route, proceed directly to Trailblazers Bike Barn for lunch. Eat and be back on the route at your second section before riders arrive. If you aren’t able to make it to Trailblazers Bike Barn before the lunch stop closes, text or call Andrew (773) 398-3622 to have a lunch saved for you and moved up the route. Everyone needs to eat!

2:00PM–6:30 PM EST: Proceed to Camp Upon closing your final section, proceed to camp to cheer on arriving riders. Keep your radios on and with you, in case additional support is needed along the route. Road crew is not “off the clock” until ALL riders and the caboose have arrived at camp.

6:00PM: Short all-Crew debrief prior to evening festivities Meet outside of the Edwards Hall to quickly debrief from Day 1 before moving onto Saturday night events. We will discuss Power-Ups for riders on Sunday morning.

DAY TWO: SUNDAY, SEPTEMBER 8, 2019

7:30 AM (EST): Route Open Crew assigned to Day 2’s first route should be ready and on the route as our first riders depart.

7:30 AM (EST) / 8:30 AM (CST) – 9:45 AM (CST): Riders who request a Power-Up are transported to Pit Stops 1, 2, & 3, according to their need. Riders unable to complete the second 100 miles will request to be Powered-Up to Pit Stops 1, 2, or 3 on Sunday morning. Riders who confirm a power-up request on Saturday night will be connected to Crew Leads and Teams on Sunday morning for power-up assignments/support. NOTE: Camp announcements on Saturday night will confirm a Sunday morning meeting time for ALL Crew members. Crew Leads (via WhatsApp) will also confirm the Sunday morning meeting time to discuss the day’s assignments and power-up needs from camp.

9:45 AM–12:15 PM (CST): Lunch at Trailblazers Bike Barn - As with Day 1, ensure you get lunch! If you will not make the closing time for lunch, please Text or call Andrew (773) 398-3622 to have a lunch saved for you and moved up the route.

4:00 PM: Power-Up Riders to Winnemac Park - Beginning at 4PM, Crew Teams will begin Powering-Up all riders who are unable to arrive at Winnemac by 4:30PM. As you Power-Up, please give Riders the option to ride the last mile to Winnemac. This allows Riders the experience of completing the ride. When dropping riders, ensure they have cue sheets and can complete the route safely.

4:30 PM – 6:00 PM: Drop Gear at Winnemac Park Drop all borrowed gear and remaining supplies (bike pumps, decals, flags, bike racks, first aid kits) at the box truck Sunday (where Rider gear is being unloaded). If you forget to return an item, please contact TPAN’s Development Team to make arrangements to return it to TPAN’s offices. We request all borrowed Ride gear be returned no later than Friday, Sept. 13.

DIVISION OF THE ROUTE The route has been divided amongst the 3 Crew teams (Blue, Greed, & Red), with each team taking 2 sections, one before lunch and one after.

Your Crew Team section assignments, with respective start-close locations, are:

Section assignments for Blue, Green, and Red Crew Teams are the same for Day 1 and Day 2, yet in reverse order.

Crew teams are responsible for their section of the route from the time the first rider leaves the proceeding Pit Stop to when the last rider arrives at the end location.

Captains should inform leads (via WhatsApp) when a section has been closed.

Crew Lead will give guidance as to whether to move on to lunch or your next section.

ROUTE MARSHALS and SECTION ASSIGNMENTS

With four (4) total Route Marshals (RMs) on our Crew, each route section will have ONE designated Route Marshal + ONE floating Route Marshal.

Each route section (and corresponding Blue, Green, or Red Crew Team) will be assigned to the designated Route Marshal at the morning Crew Meetings on Day 1 and Day 2.

The floating Route Marshal will allow Crew to ensure that RMs are able to have lunch and, as needed, be powered-up to their next respective section assignment.

EMERGENCY MEDICAL INFORMATION Use this as a guide for medical issues on the route. Crew Cars will have a small set of medical supplies to offer to rider. When in doubt, contact medical crew. If you witness an accident that requires immediate medical assistance, call 911. Be aware of and prevent heat-related illnesses! HEAT EXHAUSTION Heat exhaustion requires immediate medical crew attention, but is not usually life-threatening. Symptoms include:

• Fatigue • Nausea • Headache • Excessive thirst • Muscle aches and/or cramps • Weakness • Confusion or anxiety

• Drenching sweats, often accompanied by Cold, Clammy Skin

• Slowed or Weakened Heartbeat • Dizziness • Fainting • Agitation

HEAT STROKE Heat stroke can occur suddenly, without any symptoms of heat exhaustion. Symptoms include: (The signs underlined and in RED indicate that a rider needs immediate medical attention.)

• Nausea and vomiting • Headache • Dizziness or vertigo • Fatigue • Hot, flushed, dry skin • Rapid heart rate at rest • Shortness of breath • Decreased sweating, or not

sweating at all

• Decreased urination • Blood in urine or stool • Increased body temperature (104—

106⁰F) • Confusion, delirium, or loss of

consciousness • Convulsions

If a person is experiencing symptoms of heat exhaustion or heat stroke, GET MEDICAL CARE IMMEDIATELY. If a rider complains of any of the above symptoms, or you observe any of the above:

• Notify Medical Crew member immediately • Get the rider into a shaded area, or an air conditioned car • Encourage the rider to drink fluids • Help the rider cool off: provide them with ice or a wet towel to wrap around their neck
