FUNDING YOUR PROGRAM

Imagine kicking off your Scouting year with a 12-month program and not collecting any

money from Scouting families! Units can pay for the entire program without any out-of-

pocket expenses through Council fundraising opportunities.

In 2017, Scouts in the Heart of America Council sold $2.3 million in popcorn with $1.7

million going directly to the units that sold popcorn and the Heart of America Council to

improve council camps and programs. Scouts themselves use these funds to pay for their

program. Units used these funds to pay for everything from charter renewal, to fund camps

and campouts, to “dues free” Scouting.

We are excited about our growing Popcorn Sale and with new products—it’s our time to

shine. With more quantity and better quality, this will be the year to beat all prior sales!

FIVE STEPS FOR A SUCCESSFUL FUNDRAISING CAMPAIGN

1. Establish an annual plan and budget using the Ideal Year of Scouting worksheet. With

input from your Scouts, parents, and leaders, use this guide to develop a budget and

stick to it.

2. Once a plan is established, figure the cost for each month and add 10% to the annual

cost of the program for contingency.

3. Set a Unit popcorn sales goal per-Scout based on your IYOS budget.

4. Conduct a FUN Unit Kickoff to communicate the goals to families and Scouts.

5. Utilize all sales methods available to make sure your unit and Scouts hit their goals:

Take orders.

Show and Sells (Talk to your local businesses to see if you can sell there).

Online sales.

Show and Deliver the products.

Parents selling at work help their Scouts hit their goal.

SELLING AND SAFETY TIPS

ALWAYS wear your uniform.

ALWAYS smile and introduce yourself.

ALWAYS tell your customers why you are selling popcorn.

KNOW the different kinds of popcorn you are selling.

ALWAYS say "Thank You" whether you close the sale or not.

ALWAYS make a copy of your order form.

ALWAYS have a clean order form with a pen.

NEVER enter anyone's home.

NEVER sell after dark unless you are with an adult.

DON'T carry large amounts of cash with you.

ALWAYS walk on the sidewalk and driveway.

ALWAYS sell with an adult.

GLOSSARY OF TERMS

Add-On Order – After Show and Sell Orders and Final Product orders have been

distributed, an Add-On Order is how units can obtain additional popcorn if needed. Add On

requests are submitted through www.prpopcorn.com.

Bonus Prizes – If a Scout reaches $1500, they will receive a $50 Visa Gift Card.

Pecatonica also has Winner Circle Bonus Prizes for the $2500 and $4000 level. These are

awarded in addition to the regular prizes the Scouts choose.

Case – The larger box in which individual popcorn units are packaged. For instance, there

are 8 tubs (containers) of popping corn in one case. Show N’ Sell product is ordered by the

case.

Container – The smaller unit (box or tin) of individual popcorn that is sold to the

customer. For instance, one 18 pack of microwave popcorn is a container. There are 8

containers of 18 packs of Sea Salt “Light” in one case. Final product should be ordered by

the container.

Early Bird Fill It Up – Scouts who “fill up” a sheet of orders (or have 30 orders) by the

early bird deadline of 1 October qualify for two free passes to the Kansas City Zoo. (This is

in addition to the Royals Day at the K earned through the Fill-It Up program.) Kernels order

the KC Zoo passes by logging in to www.prpopcorn.com and using the link that looks like

this to place the order:

Distribution Site – The locations where units can pick up ordered products. Units are

assigned different locations by their Districts. Distributions (also called Pick Ups) will take

place 8 September and 9 November.

Draggin’ Wagon – Also called Show N’ Deliver. Scouts have product on hand and sell

door-to-door. They collect the money and deliver the product all at one time.

Fill It Up – In addition to the regular and bonus prizes offered through BSA Supply, Scouts

who “fill up” a sheet of orders (or have 30 orders) qualify for two tickets to the Royals

Scout Day at the K. We are doing away with the registration process for fill-it up Scouts—

simply enter how many fill it up Scouts you had on the BSA Prize Mania Site by 1

November.

Kernel Journal – Informational email distributed weekly by the Council to every popcorn

kernel. These emails contain important information including deadline reminders to help

you stay organized. Email addresses will be captured through the popcorn system.

Online Sales – Leaders can enter their Scouts for an online seller ID at

www.prpopcorn.com. Leaders will need to log in to this system to view Scouts’ online sales

totals. Customers can purchase popcorn at www.prpopcornstore.com.

Pecatonica River Popcorn – our partner and producer of the products offered during the

popcorn sale.

Popcorn System – The Pecatonica website where our popcorn sale is managed. Units will

use www.prpopcorn.com to order popcorn (both Show N Sell and Take Orders) and view

reports and online sales. Council uses the site to track inventory, unit sales, and invoicing.

Prize Option for bonus Commission – Each unit has the option to earn either prizes for

individual Scouts or an additional 3% bonus commission for the unit. If prizes are not

ordered by 7 November, your unit will receive the additional 3% commission in lieu of

prizes.

Returns – Units who have excess Show N’ Sell inventory, and do not anticipate using it to

fulfill Take Orders, may return up to 50% of the product. Units must submit their returns on

www.prpopcorn.com by 17 October and return their product on 20 October. Enter

returns online and we will confirm your return at the warehouse from where you picked it

up. Return arrangements can be made for the week prior and the week following this date

if you have a schedule conflict. NO CHOCOLATE RETURNS. Returns will not be

accepted once Council places the final order.

Sales Guide – The order forms Scouts use to take orders from customers.

Show N Sell – Units set up sales at a specific site, typically in front of a store or other

business. Scouts have the product on hand, collect the money, and deliver the product all

at one time. (Unit Kernels must ask permission from the stores and coordinate directly with

them.)

Take Order – Scouts take orders from customers without having product on hand. Units

Kernels place Take Orders by 22 October to fulfill the Take Orders. Scouts deliver popcorn

to their customers after the Take Order distribution on 9 November. Please inform

customers when the product will be delivered.

INCENTIVES AND PRIZES

Base Sales Commission is 30%. Units can earn up to 35%:

Attend Sellers Academy or Popcorn Orientation and pay popcorn invoice by 5 December to earn an additional 2%.

IN LIEU OF PRIZES, a unit can earn an additional 3% commission.

EARLY BIRD FILL IT UP INCENTIVE

Each Scout who “fills up” at least one order form by the early bird deadline of 1 October

will earn two free passes to the Kansas City Zoo. Unit Kernels must order Zoo passes

through the prize link located on www.prpopcorn.com by 1 October.

FILL IT UP

Each Scout who “fills up” at least one order form will receive:

Two tickets to Scout Day at Kauffman Stadium! (Spring 2019)

Unit Kernels enter fill-it up Scouts (each Scout who filled up their sales guide or had a total

of 30 orders) in the Prize system by 7 November regardless of the 3% commission.

Be sure to count yourself (Unit Kernel) for the Fill It Up Royals tickets as well.

Each Scout can earn the Fill It Up prizes only once per year. Scouts do not earn multiple

prizes by filling up more than one sheet.

PRIZE ORDERS

Prize orders are due by 7 November. The Prize order site can be accessed at

www.prpopcorn.com. Simply select the prize button from your unit dashboard and you will

be directed to the National Supply website to order prizes. The site will be open for the

Early Bird passes and remain open through 7 November for all prizes.

Be sure to include any online sales when calculating prizes earned. (See Online Sales on

page 12 for more details.)

Scout prizes are not cumulative. Scouts may choose one or more prizes up to the amount

of their sales. For instance, if a Scout sells $500, they may choose one $450 prize or they

could choose a $150 prize and a $350 prize.

BONUS prizes are in addition to the regular prize levels. Each Scout who sells $1,500

receives a $50 Visa Gift Card. Pecatonica Winner Circle bonus prizes reward Scouts selling

at the $2500 and $4000 level.

Prizes are available by going to www.prpopcorn.com and selecting the prizes needed by

your youth.

PATCHES AND PINS

Scouts earn a patch for selling any one item. Kernels will enter

patches and pins with final prize order by 7 November at

www.prpopcorn.com.

Scouts earn pins for their patch by:

Selling any item online.

Selling any military donation.

Selling $500 worth of product.

DISTRICT TOP SELLER AWARDS

The top seller in each District will earn a $200 gift card.

Note: Top Sellers will be determined from the Big Winner Dinner RSVP list. Kernels will

register Scouts no later than 7 November on www.prpopcorn.com. Qualifiers registered

after 7 November may not be considered as a contender for the top 100 sellers.

The Top 100 Sellers (in Council) will have the opportunity to participate in the Big Winner

Dinner. The Big Winner Dinner party will take place Saturday, 19 January 2019 at the

Power and Light building at 12th and Main downtown from 11am to 1pm. Each scout that

sells a minimum of $2000 in popcorn qualifies but does not guarantee placement in the top

100 sellers. Each youth at the dinner will be recognized and treated to a pizza party and a

very cool prize ranging from flat screen TVs to drones to tents and sleeping bags. Prizes are

chosen based on the top seller in each category: $2000-$2,999 for a Bronze Ticket, $3000-

3,999 for a Silver Ticket, and Golden Ticket holders are those that sell above $4,000.

SHOW N’ SELL ORDERS

Show N’ Sell orders are due to the Council by Sunday, 26 August. To order, log in to your

unit dashboard at www.prpopcorn.com. Chocolate products will be available for Show N’

Sell orders. However, Council policy remains: NO CHOCOLATE RETURNS.

Any excess Show N’ Sell inventory should be applied toward Take Orders. Alternatively,

units may return unsold inventory by following the return instructions on page 10.

ADD-ONS/RE-ORDERS

Units may begin add-on orders as soon as 10 September. Add-on Orders submitted at

www.prpopcorn.com by noon on Monday will be available for pick up the following Friday.

Orders cannot be changed once submitted or at the warehouse to ensure product needs

and supply and demand for all.

Add-Ons will be available at our new warehouse located at Best Way, 13209 Arrington Rd,

Dock 25, Grandview, MO 64030.

POPCORN SALE DATES

Scouts may begin selling popcorn on Friday, 7 September (both Show N’ Sell and Take

Orders). In the interest of fairness, please DO NOT allow Scouts to sell prior to this date.

Remember, a Scout is trustworthy.

For Take Orders, Sales Guides (order forms) are available for each Scout to record orders.

Feel free to make copies or pick up more forms from the Scout Service Center.

RETURNS

We are limiting returns to 50%. Meaning you can return up to 50% of the product that you

took on your original Show-N- Sell order.

Please submit your Returns online by 17 October. Returns will be accepted on Saturday,

20 October from 9am-11am at the same place where you picked it up. Return

arrangements can be made for the week prior and the week following this date if you have

a schedule conflict.

We cannot accept any damaged or opened popcorn items. NO CHOCOLATE RETURNS.

TAKE ORDERS

Take orders are due to the Council by Monday, 22 October. To order, log in to your unit

dashboard at www.prpopcorn.com.

Order by containers.

Remember to account for any excess Show N’ Sell inventory you have on hand.

Be sure to make copies of each Scout’s take order forms (Scout sales guide) and have them

available when organizing distribution. It is important to make copies of these forms,

because if they’re lost it’s difficult for a Scout to know where to deliver his popcorn! Copies

of the filled sales guides are also required annually for the Scholarship program.

Take Orders will be available for pick up on Friday, 9 November.

After placing your order, please use the provided link to schedule your distribution time.

ONLINE SALES

Scout profiles can be setup and managed using a web browser (www.myprpopcorn.com)

(this site is not connected to the ordering site) or downloading the My PR Popcorn app on

the Apple App store or Google Play store. My PR Popcorn is a secure, online platform that

helps Scouts and their parents sell more popcorn by easily promoting their sale to family

and friends online using custom profiles.

Online sales earn 32% commission.

PICK UP TAKE ORDERS

Take Order distribution will be Friday, 9 November. Each Unit Kernel will need to schedule

a specific time with their District Kernel or District Executive. (Locations are subject to

change; if changes occur, Unit Kernels will be notified.) Locations are as follows:

LEGACY SCHOLARSHIP FORMS

Scouts who qualified for the scholarship program prior to Fall 2018:

Previously enrolled in College Scholarship programs will remain active with Trails-End

but will now be enrolled in a new program through Pecatonica.

Pecatonica River Popcorn Co pays 7% interest to the scout instead of 6%.

Scanned copies of the Sales Guides are submitted annually to account for the current

year’s sale.

Complete the scholarship enrollment form (download from www.hoac-bsa.org/popcorn)

with scanned copies of sales for the year to Jonathan Geiger at

[email protected].. (Be sure to include paper order forms and/or online

sales report.)

Council will then approve and submit to Pecatonica River.

PAYMENT TO COUNCIL

After Take Orders have been distributed, Council will finalize commissions and update

invoicing information on Pecatonica Popcorn System by 14 November. Please do not print

invoices before this date, as they will be inaccurate.

Council will mail invoices to the Primary Contact listed for the unit in the popcorn system.

Units may also view their invoices on Pecatonica River Popcorn System AFTER 14

November.

All payments are due to the Council by Wednesday, 5 December. If paying by check, write

one check for the total unit balance, payable to Heart of America Council.

Remember, units must pay full invoice amount on time (in addition to the training

requirements) to receive a 2% bonus commission.

FREQUENTLY ASKED QUESTIONS

How will I know when and where to pick up my popcorn order?

Show N’ Sell pick-up times and locations are listed on page 14. Schedule your time pick up time

using a link from the website, the kernel journal or a link on the popcorn system.

How big a vehicle will I need to bring to pick up popcorn?

Mid-size car: 1–15 cases

Jeep: 1–35 cases

Mini-Van/SUV: 1–40 cases

Suburban: 1–65 cases

Do I have to list each Scout’s sales in Pecatonica?

No. The orders entered at www.prpopcorn.com are entered at the Unit level not the Scout level.

To whom should checks be made payable?

Customers should write checks to the Unit. (i.e. Pack 9999 or Troop 555). Units should then

deposit all payments into the Unit’s BANK account.

How do I get more popcorn?

See the Add-Ons section on page 10.

How do I know how much a Scout sold online?

Log into the Popcorn system. Select reports and then select Scouts with Online Sales.

Are Scout prizes cumulative?

Scout prizes are not cumulative. Scouts may choose one or more prizes up to the amount of

their sales. For instance, if a Scout sells $500, they may choose one $450 prize. Or they could

choose a $150 prize and a $350 prize.

Bonus prizes and KC Zoo Passes, Royals Tickets, patches and pins are in addition to the regular

prize levels. Each Scout who sells $1,500 receives a $50 Blue Ridge Bank Gift Card. Pecatonica’s

Winner Circle bonus prizes award Scouts who reach the $2500 and $4000 levels.

When can I order the prizes?

Prize orders are due by 7 November. Access the prize order site through the popcorn system.

Simply select prizes on the main menu and you will be directed to the National Supply website

to order prizes. The site will open 1 October for the Early Bird KC Zoo passes.

How are the Fill It Up prizes distributed?

Passes for the KC Zoo are ordered through the National Supply website by 1 October. Fill it up

Scouts earning Royals tickets will be entered as a unit by 7 November.

How do I get more forms?

Kernels may copy any of the forms provided in the Unit Kernel packet as needed. Forms can be

found online on the popcorn page of our Council website or you can stop by the Council office

at 10210 Holmes, Kansas City, MO 64131 and we would be happy to give you all you need.

How do we receive our commissions?

Units should deposit all funds from sales directly into the Unit BANK account. At the end of the

sale, Council will invoice the Unit for the sales amount less commissions.

Online commissions are handled differently. Since customers pay Pecatonica River directly for

product, Pecatonica River will pay the Council quarterly, and Council will deposit commissions

into the Unit Account at the Council. Units earn a 32% commission on their online sales.

Whom do I contact if I still have questions?

Contact your District Kernel or District Executive with questions. (See contact information.)

How do I Enter/View/Edit a Scout for Online Sales (Seller ID)?

Click “Scout Seller IDs” on the Dashboard.

A list of Scouts with current online Seller IDs will populate.

o You do not have to enter a Scout every year for a new Seller ID. Scouts can use the

same ID year after year while with this unit.

To add a new Scout, enter in the required fields (white boxes at the top):

o First Name

o Last Name (we only need the first two letters of his/her last name)

o Parent/Guardian email address

Click “Add.” A random Seller ID will be populated and an email will be sent to the

parent/guardian letting them know their Scout’s Seller ID.

You may edit a Scout’s information by clicking on “Edit.”

o Only a Scout’s first/last name and email can be edited. **Seller ID cannot be

changed**

If a Scout is no longer selling

popcorn, you may inactivate

him/her which will hide all

information tied to that Scout. When

you need to view that Scout’s

information again, simply click on

“Inactive Scouts.”

How do I enter a Scout into the Winner’s Circle?

Click “Winners Circle” on the Dashboard.

Select the Scout’s name you want to enter into the

Winners Circle.

Scouts are added through the Scout Seller ID process

(please see above).
