ADMINISTRATION REPORT
The National Office of Rotaract Ghana started the Rotary year with a closed meeting with the
Council of Presidents Co-Chairs, Rotary Ghana; RP Tony (Rotary Club of Accra Ring Road
Central) and RP Emma (Rotary Club of Accra-West). This meeting which was held at Time
Out, University of Ghana, Legon was to discuss the National Plan of Action and also how
Partners in Service can bridge the gap this 50th Anniversary year.
Goodwill messages from all the National Officers, DGE Jeff, IPP Adzo and CP Alpha were
delivered in July. This event which was hosted by IPP Adzo at her residence at North Legon,
Accra was streamed Live on Facebook.
The National office also paid a visit to the First Patron of the First Rotaract Club in Ghana,
PDG Nana Asafo-Boakye at his residence in Tema. This was to get more insight about the
state of the Rotary Programme which was started in Ghana about 44 years ago. This was
streamed live on our Facebook page.
National training for Rotaractors and Interactors was organized for the first time at zonal level
and for free where all Clubs (Rotaract/Interact) within each zone were given training which
gave them the knowledge and leadership skills needed to serve in their various Clubs.
Interactors were also taken through the essence to transit into Rotaract. Rotaractors were also
encouraged to transit into Rotary most especially when they are beyond 30. In all, over 273
Rotaractors (Zone A & B, 87; Zone C, 42; Zone D, 94 and Zone E, 50) participated in the
Training. Over 170 Interactors from 5 Interact Clubs from Ho also participated. Rotaractors
and Interactors were given free Notepads and pens. Although, we had challenges with resource
personnel, some Rotarians and Rotaractors volunteered to be present at all Zones. They
included, Rotarians CP Alpha (Rotary Club of Accra-Trinity), Nhyira (Rotary Club of
Kumasi), CP Joseph (Rotary Club of Sunyani Central), PP Albert Essien (Rotary Club of
Tema-Meridian), Albert (Rotary Club of Accra), Essien (Rotary Club of Accra), Michael
Dzreh (Rotary Club of Accra-North), PP Paul (Rotary Club of Accra-Ridge), PP Robi (Rotary
Club of Accra-South), Klenam (Rotary Club of Accra-South), Gerry (Rotary Club of Accra-
South), Eric Botey (Rotary Club of Ho), Rotaractor PP Kojo (Rotaract Club of Accra Ring
Road Central), IPP Sena (Rotaract Club of Accra-East) and RP Edem (Rotaract Club of
University of Professional Studies).

We joined our Rotarians in the End Polio March organised by the Ghana National PolioPlus
Committee on Saturday, 21st October, 2017. The event was attended by over 60 Rotaractors.
With the effort of the National Office and PAG Theresa (TOT) of Rotary Club of Accra-
Airport, about 55 Rotaractors were given free T-shirts for the event.
On Saturday, 28th November, 2017, the office through the National Sports Committee headed
by CP Hamid organised a Rotary Family Day Out which was a curtain raiser to the
Interact@55 Week Celebration. This event was attended by over 100 Rotaractors, Interact
Alumni and Interactors although, we anticipated about 200 participants. Some Rotarians (PP
Naana, Rotary Club Accra-Airport; PP Frank Rotary Club of Accra-Labone; Eric Botey and
Rotarian Bingy, Rotary Club of Ho) also participated in this event. Partners in Service were
involved in many indoor and outdoor games. The soccer match was won by the Rotaractors.
DRR Siddo visited Ghana from 25th to 2nd of November, 2017. Upon arrival, we had our
maiden Inter-City Meeting which was hosted by the Interact Club of St. Thomas Aquinas. This
event was attended by over 45 Rotaractors and Interactors including Rotaract Presidents from
all the Zones. The Patron of St. Thomas Aquinas, Rotarian Past President (PP) Robi and
Rotarian President (RP) Jiggles (Council of Presidents Secretary, Rotary Ghana) were present
for the event. The DRR used his week-long visit to meet with IPP Adzo on her birthday, DRRE
Andrews and IPDRR Regina. He also visited Clubs and their Boards in Zone A, B and E hoping
to visit Zone C and D on his next visit.
We organized a two day social trip as part of the Rotaract @ 50 celebration to the Volta
Region where members visited some selected tourist sites from the south through to the
northern part of the Region. Places visited on the first day included, the Keta Light House (the
first light house in Ghana), the Keta Beach, Keta Forte, Keta Lagoon and the salt mining
industry. We also visited the highest mountain in Ghana, Mount Afadja and the tallest waterfall
in Ghana, Wli Falls all on the second day. On our journey, we used two popular bridges in
Ghana, thus, Sogakorpe Bridge (Longest) and Adomi Bridge (Suspending). Although, the
journey was very stressful, the aim was achieved. Thus, to bring Rotaractors and Interactors
from Clubs in Ghana together for the purposes of refreshment, educational and cultural
awareness. We were privileged to have DRR Siddo (from Niger) and other District officers
from Benin, PDRR Karl and Rotaractor Arnold. We used the opportunity to swear in the

Charter President of the Rotaract Club of University of Health and Allied Sciences, Hohoe
sponsored by the Rotary Club of Hohoe, Rotaractor Salisu and also presented the Charter
Certificate to the Club.
We ended the first half of the Rotary year with a meeting with the District Governor, Ari
Touba who also launched the Rotaract @ 50 celebration. The DG challenged all Rotaract Club
Presidents to qualify their Clubs for the Rotary International Presidential Citation for this
Rotary year. This event was attended by about 25 Rotaractors across the country and some
Rotarians which included DGE Jeff, AG Isaac (District New Generations Co-Chair), PP Albert
Essien (National Rotaract Chair) and PP John Michael who was the MC. The event was held
at The Balme Library, University of Ghana-Legon.
This administration organised an industrial trip to Volta River Authority, Akosombo in the
Eastern Region. This was to get insight into how electricity is generated and distributed across
the country. About 25 Rotaractors participated in this trip.
As part of the 50th Rotaract Week Celebration, this administration organised series of
activities that was geared towards increasing the image of Rotaract and making a difference
through community service. The activities as listed below were well attended by Alumni of
Rotary programmes, Rotarians, Rotaractors and Interactors.

Rotaract Club of University of Cape Coast emerged winners of the first Rotaract Ghana quiz
competition. The Club was awarded with a trophy and the participants were given a medal
each. First and second runner-up were Rotaract Club of Accra-East and Rotaract Club of
Central University respectively. All winning Clubs were presented with a certificate.
Rotaractor Sedinam from Rotaract Club of Tema Meridian answered the most question from

the audience and was also awarded with a medal. All participants were given a certificate of
participation. We had over 70 Rotaractors and Interactors attending this event. Also in
attendance were DGE Jeff Afful, AG Jack who was the quiz master, CP Alpha who was the
score master, PP John Michael who was the time keeper, RP Oscar and Rotarian Onukpa.
The fireside was heavily attended with over 200 people who were Alumni of Rotary programs,
Rotarians, Rotaractors and Interactors. The event was chaired by PAG Ako Odotei and was
supported by PP Moses Tetteh and PP Albert Essien. Rotaract Club of University of Ghana
and University of Education, Winneba had about 54 and 35 members present respectively. We
cut the 50th Anniversary cake and had a little firework display. We also had a lot to drink and
eat. This event was hosted at Rotarian Eddie’s residence.
DRRD Edem and some Rotaractors from Kumasi represented Rotaractors at the burial of the
late PDG Nana Asafo-Boakye in Kumasi.
This administration made a conscious effort to visit all Clubs in Ghana. DRRDE Edem was
privileged to be part of the Official visits to Clubs in Ghana. We met with each Club’s board
either before or after meeting the entire Club. We observed a lot of Clubs have little supervisory
role from their sponsor Clubs. Almost all Clubs had just one bank account which was used for
both administrative purposes and also for community service. Clubs were however, advised to
differentiate these two accounts. Some Clubs did not have Rotary paraphernalia and some were
even without a President’s regalia. Out of 35 Clubs, only Rotaract Club of Accra-East had a
consistent data with RI. This is not a good thing we will encourage DRRDE Edem and his
team to assist Clubs keep up to date records with RI. The average dues payment by members
in each Club was below 50% for almost all Clubs. We therefore, encourage the incoming
Treasurer to assist all Club Treasurers to find ways to increase dues payment.
The National Office bylaws which had both constitution and bylaws have been reviewed and
made to have just bylaws. Only three Clubs sent their inputs for consideration.
At the end of the Rotary year, four (4) National Board Meetings had been organised. The
first was held in Zone E-Ho, the second in Zone A, Accra-Jerusalem, the third in Zone B,
Wisconsin and the final one which was held online. Although, the first two were poorly
attended, decisions were made on behalf of all Clubs in Ghana. We hope attendance to board
meetings will improve in the next Rotary year.

This administration through the support of Rotarian IPP Harris of Rotary Club of Accra Legon-
East formed a Medical Team (Rotaract Ghana Medical Team) which is headed by Rotaractor
PE LadyKay from the Rotaract Club of Tema. This committee which is made up of some
selected Rotaractors from Clubs in Ghana will entirely be responsible for providing immediate
treatment to Rotaractors at special events and projects of Clubs, Rotaract Ghana and the
District; organize educative programs and screening exercise for Rotaractors in Ghana and the
District; and assist Rotary Ghana Medical Team during Rotary events in Ghana and the
District.
This administration organised an Alumni Homecoming and Handing over Dinner at
Sunlodge Hotel at Tesano to climax the activities for the Rotary year. This event was attended
by over 90 people including Alumni of Rotary Programmes, Rotarians, Rotaractors, Interactors
and Guests. This event was to bring together these groups of people to share with the joy of
making a difference and also to get the Alumni non-Rotarians to possibly join the Rotary
family once again.
We began the year with a total of 35 Rotaract Clubs (26 Chartered; 4 Inactive; 5 Provisional)
in Ghana. This administration through some Rotary Clubs and the support of Rotarian AG
Isaac (District New Generations Co-Chair) have increased the number of Chartered Rotaract
Clubs within the country by 5. Thus,

3. RC of University of Education, Winneba Sponsored by RC of Accra-Labone

We have also helped to revive three Inactive Clubs namely, Rotaract Club of Accra-Adabraka
sponsored by the Rotary Club of Accra-Achimota, Rotaract Club of UDS, Tamale sponsored
by the Rotary Club of Tamale and Rotaract Club of Central University sponsored by the Rotary
Club of Accra-Airport.
The five (5) new Clubs were exempted from paying National dues. However, 29 out of 30
Clubs paid by the end of the Rotary year. Rotaract Club of Ashesi University College has an

outstanding debt of Gh₵300 due to the National Office. For the Interactors, 11 out of 18 paid
their National dues as attached under Fundraising and Sponsorship report section.
Similarly, the five (5) new Clubs and Rotaract Club of Central University were exempted from
paying District Dues. In all, 20 out of 30 Clubs paid their District Dues. Two (2) out of 18
Interact Clubs paid their District Dues. These two Clubs are Interact Club of Accra Academy
and Interact Club of St. John’s Grammar School.
At the end of the Rotary year and for the first time, all 35 Clubs in Ghana qualified for the
Rotary Citation for Rotaract Clubs. Some few Clubs were outstanding as they had more
than the minimum point, 7. They are;

National Secretariat
The secretariat formed a Directorate for all Club secretaries to aid secretaries send minutes of
general and board meetings regularly to the National and District Office. This also served as a
medium to send information across to Clubs.
The secretariat ensure timely dissemination of minutes of board meetings. Minutes were
dispatched within fourteen days after the meeting. Minutes were sent via email and
WhatsApp.Inc.
The secretariat also launched a standard electronic minutes writing form which is expected to
be used by all Club Secretaries for the submission of minutes to the District and National
Office. This has also been integrated in Rotaract Ghana’s website for easy access.

Youth Service
A Youth Service Committee was formed with each member of the committee assigned to a
zone. They were responsible for checking up on the members of that zone.
Rotaract Clubs were also encouraged to appoint Youth Service Directors (Interact Director) to
take responsibility of the Interact Club(s) of their sponsoring Rotary Club. Although some
Clubs responded to this, most Clubs did not help to realise the goals; to ensure proper records
are kept and also increase Interactor-Rotaractor mentorship which will promote transition of
Interactors to Rotaractors.
We have been able to build a good database of the Interact Clubs in Ghana. There were 16
Active and 1 Inactive Clubs at the start of this Rotary year. Through the effort of the Youth
Service Committee and with the help of some Rotary Clubs, we have been able to revamp
some of the Interact Clubs and also formed a new Interact Club; Interact Club of Tema
International School sponsored by the Rotary Club of Accra-Legon.
The Interact week was celebrated in grand style. All Interact Clubs in Ghana were involved in
the week long celebration. The 55th celebration started with a launch on Monday, 30th of
October, 2017. This event which was hosted by the Interact Club of Accra Academy, was
heavily attended by 214 Interactors from mainly St. John’s Grammar School and Accra
Academy. About 8 Rotaractors, 4 Interact Alumni, 3 Rotarians (PP Robi, Rotary Club of
Accra-South; PP Moses, Rotary Club of Accra; Amos, Rotary Club of Accra-Ridge) and 2
Patrons were present at the Launch. Interact information on flyers were distributed to the
Interactors for their campaign on their various campuses. They were also encouraged to
participate in the Interact Video Contest. Fortunately, Interact Club of St. John’s Grammar
School sponsored by the Rotary Club of Accra-Ridge was nominated for the Fan Video
Category but unfortunately, we did not get the required vote to win the Award. The Saturday
saw a first time Gala organised for the Interactors and was hosted at Rotarian PP Richard’s
residence at Roman Ridge, Accra. Over 200 Interactors from several Interact Clubs, 16
Rotaractors and 8 Rotarians (RP Dela, Rotary Club of Accra-East; a Rotarian from Rotary
Clubs of Accra-West; PP John Michael, Accra-Legon; RP Oscar, Scorgins, Nana Hemaa,
Rotary Club of Accra-Legon East; PP Albert Essien, Tema-Meridian) participated in this
event. We had a training session on the last day which was poorly attended by the Interactors.

This was primarily as a result of unwillingness of school authorities to grant permission for the
students to leave the school in the case of the boarders and for the fact that some of the schools
were on mid-term. Although, it started about an hour late, about 25 of them were present.
Speakers were Rotarian PP Robi and DRRE Andrews.
We hope we will be able to get about 50% of the Clubs to get a Presidential Citation before
the deadline in August.
With the support of this committee, Interact Club of St. John’s Grammar School received a
District award for been the most outstanding Interact Club as well as outstanding project award.
International Relations
This Administration under the leadership of the International Relations Director, formed an
International Relations Directorate for all International Relations Directors.
This administration organised Rotaractors in Ghana to attend the 4 days District Training,
Assembly and Conference in Niger. This was a stressful journey since it was the first time
almost all 55 members travelled to Niger by road. Majority of the awards including the
Outstanding Rotaract and Interact Club, Outstanding Rotaract and Interact Project which were
presented at the Gala went to Clubs from Ghana. DRRD Edem was awarded the best DRRD
in District 9102.
Monitoring and Evaluation
Activities of this committee were not implemented in the first half of the Rotary year due to
the delay in the appointment of an officer. Work started in the second half and by the end of
the Rotary year, a number of Rotaractors emerged as the Rotaractor of the month. Some
Rotaractors, Rotarians and Clubs were awarded for their outstanding performances in the
Rotary year based on a set of criteria below.

MEMBERSHIP DEVELOPMENT REPORT We started the year with the formation of a National Membership Committee made up of
Coordinators for their respective zones which is chaired by the National Membership
Director. We also formed a National Membership Directorate which was made up of the
Zone Coordinators and Membership Directors of each Club.
Shortfalls
The Committee has not been able to ensure regular visit to meetings of Rotary and other
Rotaract Clubs by at least a member and/or a guest from Clubs within each zone. This idea
which is geared toward sharing of ideas and promoting understanding of Rotary/Rotaract at
the Zonal level is difficult to implement due to lack of Club cooperation and also locations of
Clubs within Zones. If this idea is implemented, it will help Clubs which are suffering from
membership to have more numbers at regular meetings. However, there will be a reward
package to the Club which sends the highest number of delegation for other Club fellowship
meetings or National events.
This Committee has not been able to provide token to members who have been hospitalized
for more than seven (7) days, death of an active member (member in good standing), wedding
ceremony of an active member and when and active member gives birth. Although, Clubs
have been encourage to also take responsibility of their members, this initiative has not been
implemented due to lack of funds and also non-payment of National dues.
The National Office through the Membership Committee has been able to design a
Membership App to be used starting from the next Rotary year. However, due to lack of
funds, this App which is to be used by all Clubs and the National Office to take attendance at
all meetings and Projects cannot be secured. This App has the functionality to track Clubs and
members that are having high percentage of attendance.
Proper records of Rotaractors in the country could not be taken because some Clubs did not
submit their data to the Office through this committee and those who did, had figures different
from that of RI. Currently, there are 1,025 Rotaractors in the country with an average of 29 per
Club. We hope the incoming administration will be able to secure the App or device means by
which members and Club membership data can be tracked.

PROJECT REPORT We started the year with the formation of a National Project Committee made up of Project
Coordinators for their respective zones which is chaired by the National Project Director, to
oversee and facilitate the execution of projects. We also formed a National Project
Directorate which is be made up of the National Zone Coordinators and Project Directors of
each Club and is chaired by the Vice Project Director.
We also had a Vetting of Club Projects. 10 Clubs showed up for the vetting and had their
project plans scrutinized after which the National Project Committee made strong
recommendations for them. An outlet for all forms of support for Club projects was created,
by default, via the vetting, as the committee created a link with Clubs and therefore gave
indications of being there for the Clubs at all times. Some Clubs were advised to collaborate
with other Club(s) to enhance the effectiveness of project execution.
It is noteworthy that Rotaract Ghana undertook their maiden project for the Rotary year; The
National Volunteers' Day Project 2017, as earmarked in the current action plan. It was a
huge success! Rotaract Ghana's administration has been set up in Zones, this time round, with
the view to facilitating involvement, fellowshipping and participation in the Club's activities,
and Service Projects is a Classical example of such activities. True to our designed plans and
projection, the turn out for the maiden Service Project was overwhelming while the impact was
impressive. Five Zones across the country hosted five separate projects between 21st and 23rd
September, 2017. Residents of Accra Ring Road, especially road users (pedestrians and
motorists) had the benefit of a repainted road through the Rotaract Ghana Zone A (Clubs in
and around Accra) project: Pavement and sidewalk painting on the 21st of September. Their
counterpart Rotaractors in Rotaract Ghana Zone B (Clubs in and around Tema) were also
magnanimous in their efforts to make a difference by organizing a health walk and screening
for students of Data Link University College in Tema on the 23rd September. Meanwhile, Zone
C (Clubs in Central and Western Regions) made sure they provided hope for the new
generation and future leaders who are currently students in Archbishop Porter's Girls' Senior
High School in Takoradi via a mentorship project on the 21st of September. Our colleague
Rotaractors in Rotaract Ghana Zone D (Clubs in Ashanti, Brong-Ahafo, Northern, Upper West
and Upper East Regions) also came out in their numbers on 21st September to contribute their
quota to making a difference by organizing a clean-up exercise at Kumasi-Ayiduase, near the

Kwame Nkrumah University of Science and Technology. They went beyond the clean-up to
sensitise residents of the area on the need to keep a healthy surrounding. The last but not the
least Rotaract Ghana Zone, Zone E (Clubs in the Volta Region) made sure they got counted
and counted big. They turned on the style at the Aflao border and beach where they cleaned
the surroundings and rid it of accumulated filth. They made this huge difference on the 23rd
September. Rotaract Ghana, on this score, is proud of the huge difference that our Clubs and
Rotaractors are busily making all over the country, this year. This project helped all Clubs to
gain a point each after uploading on Rotary Showcase.
Meanwhile, the Rotaract Ghana Service Projects Committee initiated a Project Fair as a
component of the National Training that the National Office organises for Clubs, every year.
This inaugural initiative, required that all participating Clubs in the National Training, which
was being organized in Zones, for the first time, present a summary of all earmarked projects
for the year. Clubs participated in the fair and won certificates while some Clubs also got the
opportunity of collaboration with sister Clubs for some of their earmarked projects. Others got
links to project sponsorships while participation in all projects showcased at the Projects Fair
is expected to be high due to the default publicity that the Fair accorded the projects. All in all,
Service Projects related activities have been a success in Rotaract Ghana for the first quarter
of the Rotary year, thanks to the glowing efforts of all stake holders within and outside of the
Club(s).
The Project Committee also launched a standard electronic project report form which was
adopted by all Club Project Directors for the submission of their reports to the District and
National Office. This has been integrated in Rotaract Ghana’s website. It has been designed to
make it easy for update via Rotary’s Showcase on www.rotary.org.
This committee collaborated with Forestry commission, Greenway International and some
Rotary Clubs to coordinate all Clubs in each of the 5 zones to undertake a tree planting exercise
during the Rotaract Week Celebration. This project dubbed, Plant a Tree Project was an
initiative from RI President Ian Riseley. A proposal was developed and was shared to all Club
Presidents to upload to RI through Rotary Ideas. This was to help Clubs to gain a point for the
Presidential Citation. Clubs were also encouraged to upload the project via Rotary Showcase

as an Environmental Project for an additional point. A total of about 300 seedlings were planted
in all 5 zones combined. On the average, 60 people participated in each zone.
During the Rotaract week celebration, this committee organised all Clubs to present their
project report. This was to make Clubs showcase successful community service, get other
Clubs to learn from them and also encourage Clubs to do more since the Rotary year had not
ended. It was also to get partners for projects that were yet to be completed. Just a few number
of Clubs participated.
We are proud to say, at the end of the Rotary year, we have helped all Clubs to gain 3 points
each for the Rotary Citation for Rotaract Clubs.

MEDIA & PUBLIC RELATIONS REPORT This Administration under the leadership of the Public Relations Director, formed a National
Media and Public Relations Committee which was chaired by the National PR Director. We
also formed a National Media and Public Relations Directorate for all PR Directors in Ghana
and was chaired by the Vice PR Director.
Rotaractors were been entreated to brand themselves with any Rotary/Rotaract paraphernalia
on every Wednesday (the day the first Rotaract Club was chartered; 13th March, 1968) and also
during all Rotaract activities. A branded Rotaract@50 T-Shirts was designed and sold to all
Rotaractors.
A weekly news bulletin was shared via the National WhatsApp.Inc and also the Facebook page
increasing the visibility of Clubs and National activities.
The Committee made available Rotary/Rotaract information on some selected social media
platforms where members and non-members were been informed on the issues of
Rotary/Rotaract to increase their awareness rate and understanding of the organization.
This Committee worked to restore Rotaract Ghana’s website and created subdomain extension
for all Clubs. However, only that of Rotaract Club of University of Professional Studies was
live. A custom email address was created for some officers and all Clubs in Ghana. This helped
Clubs to gain a point each for the Rotary Citation for Rotaract Clubs.
Efforts were made to get media houses to capture some of our events and projects. We also
streamed all events live on our Facebook page.
We also increased the likes on our Facebook page from 924 at the start of the Rotary year to a
total of 1,732. Thus, a total of 808 likes just within this Rotary year. We are very grateful to
Rtr. IPP Sena for helping get this far.
The Committee could not produce a high-class professional documentary as said in the plan of
action.

FUNDRAISING & SPONSORSHIP REPORT A National Treasurers’ Committee was formed for Treasurers from each Club and headed by
the National Treasurer.
A Fundraising and Sponsorship Committee was formed and headed by the National Treasurer.
This committee could not effectively raise funds for the office’s activities.
All Clubs in Good standing with the National Office were given a certificate each.
A half year financial statement was sent to all Clubs through Presidents and was passed at the
first Board meeting for the second half. The full year financial report has been included in this
document.
