MESSAGE FROM THE DEAN The Division of Student Services and Development at Elgin Community College (ECC) is excited

to present their 2017 Report. The report highlights various departments, programs, and services

within the division, their accomplishments for the year, and the use of assessment. Throughout the

year, initiatives were implemented and improvements made to programs and services in order to

engage more students, support and complement classroom learning experiences, and increase

student success and operational efficiency. Data assessment often informed decisions for new

initiatives and improvements to programs and services. Moreover, the intent of the report is to

enhance awareness of the functions of and the resources provided by Student Services and

Development. Plus, each department’s mission statement is noted in the report. These mission

statements align with the mission and goals of the college and the division.

The mission of the Division of the Student Services and Development is

to assist students in identifying their educational and career goals, provide appropriate support for

their achievement, and advocate for policies and procedures to remove barriers and empower

students to succeed.

I would personally like to thank the Student Services and Development staff and

administrators who work tirelessly to achieve the mission and goals of the college, division, and their

departments, and who have made significant contributions to make 2017 a successful year.

Additionally, I would like to acknowledge the Board of Trustees, Dr. David Sam, Dr. Peggy Heinrich,

faculty, staff, other administrators, and external partners who have collaborated with and supported

ACADEMIC & TRANSFER ADVISING

Mission Statement

The mission of Academic Advising at Elgin Community College is to foster collaborative student-advisor relationships which promote learning and student success throughout all levels of the educational experience. ECC Academic Advisors improve students’ lives by guiding and empowering them to make well-informed, strategic educational decisions that encourage student development and meaningful, timely pathways toward goal achievement.

Accomplishments

Standards of Academic Progress (SOAP) modifications and implementation

Revised SOAP Administrative Procedure to be less punitive and rather a reward for successful achievement each term as well as on a cumulative basis. Congratulatory communications are sent to students who return to good standing or maintain a 2.0 or better each term.

Created and updated intervention materials to align with appreciative advising.

Developed a new online intervention for students with CAUTION standing.

Departmental goal to reduce wait times during peak periods

Noticed an influx of student traffic prior to the start of each term that slowed down drop-in services and increased wait times for students. In response to this, we modified our processes:

- Enhanced outreach to caseload focusing on the benefits of early planning - Adjusted advisors schedules to maintain sufficient availability during peak times - Incorporated “Triage Advising” where a rotation of advisors were available in the lobby for quick questions to help cycle students through faster

The result was a decrease in the average wait time from 15 to 9 minutes during our target peak time period and a reduction from 98 to 21 students waiting 30 or more minutes across a 3 week period, despite there being an increase in the overall number of student visits.

Plan, Register & Pay Tool.

Produced a short video that explains the features of the Plan, Register & Pay tool in the student portal in order to address common questions students have about how to find course options, as well as the common errors they see when attempting to register for their preferred sections of classes. The video is housed on YouTube and the link has been emailed to students.

Advising Procedures and Processes (APP’s) Manual and Online Resource Created a resource to aid in the on-boarding of new academic advisors and to assist current academic

advisors with quick access to policies and procedures as they relate to the college and the department. The APP’s are maintained by two advisors to ensure that all information is current and accurate.

There are currently 44 APP’s

Advising Week

Implemented Advising Week, which is offered each semester. Advising Week activities include a Meet & Greet and other engaging interactive activities. The Meet & Greet is a kick-off event where students get the opportunity to meet their assigned Advisor as well as participate in raffles, schedule an appointment with their advisor and participate in other engaging activities. Additional activities throughout the week include: Transfer workshops, students vs. staff sports competitions, and pathway and choosing a major workshops.

- In Fall 2016, 138 students attended Advising Week Activities - In Spring 2017, 83 students attended Advising Week Activities. (Change of time and location was determined to be a factor in attendance)

- In Fall 2017, 367 students attended Advising Week Activities.

Time Management Workshop

Advising staff participated on a Time Management Taskforce to create an online time management and goal setting resource tool that could be used campus wide.

Developed a template that would guide students through: goal setting, time management, building a schedule, and creating a to-do list. Each module is accompanied by self-reflection questions that will help students think about how they manage their time.

The resource is currently being piloted as a self-guided workshop delivered through D2L for students identified through early alert.

Outreach Efforts Employed outreach efforts such as a monthly e-Newsletter and varied email communication to advising caseloads and utilized Mail Chimp to gather data on how well we are reaching our audience. Data influences timing of communications as well as content.

The African-American Fall and Spring Connection events were created to develop and foster a supportive, academically-engaged community of African-American students. By connecting students

with a campus of peers, faculty, staff, and administrators committed to their success, we are establishing a standard of excellence, increasing African-American student retention and completion of expressed academic goals.

Food Truck Day

To celebrate the food truck trend, Student Life hosted an event in October 2016 with 5 food trucks and in October 2017 with 4 food trucks for students, employees, and neighbors to enjoy. Over 400 people in 2016 and about 500 people in 2017 partook in the event. This event will return in 2018 in conjunction with Student Life’s Involvement Expo earlier in the fall semester.

Fully Staffed

In FY17, Student Life filled three vacant positons and acquired a new positon. On-boarding has been successful as the new team members have a strong commitment to student development and success.

FIRST YEAR PROGRAMS & STUDENT LIFE

STUDENT LIFE cont.

Accomplishments cont.

Long Red Line

Long Red Line (LRL) is a global movement rooted in the One Billion Rising organization to stop violence against women. LRL is held February 14th, which is the day associated with love and unfortunately violence against women is most prevalent on this day every year. 2017 was the first year ECC hosted and co-planned the longstanding Elgin event. There were over 250 community and college attendees at the event.

Project Backpack

Project Backpack Back to School Supply Fair is a community-based initiative to benefit students in need as they prepare to return to school. In our district over 1100 children are homeless and over 40,000 qualify for free or reduced lunch. This event alleviates the burden for so many to purchase a backpack and supplies. The event is held every August in the Spartan Events Center. In FY17, 1235 backpacks with supplies were distributed to students within District 509.

Spartan Food Pantry

The student run and operated food pantry continues to be a successful endeavor by Phi Theta Kappa Honor Society. Hunger should not Hinder Success is the Pantry’s motto and the support on campus and in the community have been overwhelmingly positive.

Student Government Online Elections

For the first time Student Government held their elections using an on-line format. Traditionally, Student Government election turn out is very low and has been done with a paper ballot at various times throughout the election period. This method does not reach the greatest amount of students, thus limiting the democratic process. Turnout has been dismal and often times less than 100 votes are counted for the Student Government elections. While we have a long way to go to get better student body participation, holding elections online using student email, the portal and the ECC website has been successful yielding a larger number of votes in 2017.

Trunk or Treat

Student Life held this family-friendly event as a safe alternative to neighborhood Trick or Treating. In 2016, the event was held in the Building C Parking Lot and over 10 clubs and organizations, including the ECC Baseball team, decorated their trunks in Halloween themed fashion and distributed candy to over 500 participants. The event included face-painting, pumpkin painting, balloon artist, costume contest, First Truck display, and a moon bounce. Participants enjoyed lots of candy and free pizza. In October 2017, the 2nd Annual Trunk or Treat attracted over 800 attendees even though the event had to be moved from the Building C Parking Lot to the Jobe Lounge due to the extreme cold weather conditions.

STUDENT SUCCESS

SPARTAN ALERT PROGRAM

Mission Statement

The Student Success department promotes student retention and success by engaging in proactive and just-in-time student interventions that foster personal connection, self-efficacy, perseverance, development of foundational skills, and connection to a network of campus and community resources.

Accomplishments

Provided essential intervention for academically vulnerable students identified by faculty early in semester. Students met with Spartan Alert (SA) staff to review course progress and brainstorm viable solutions to a myriad of issues impacting their ability to be successful.

Spartan Alerts for 1026 students total for the 2016-2017 academic year. Students receiving SAs AY17 and beyond:

- Spring 2018 [as of 4/3/2018]: 580 (6.12% of student pop.) - Fall 2017: 504 (5.2%)

- Spring 2017: 510 (5.26%) - Fall 2016: 516 [5%)

*The increase in SAs is a good thing, because it means more faculty are utilizing the system to provide additional supports for their students.

- Faculty utilization of the system averaged roughly 18% for academic year 2017

Spartan Alert students who earned an “F” or “W” (Withdraw) grade in their course decreased slightly from spring 2016 to spring 2017, indicating that the Spartan Alert system is proving valuable at increasing success rates. We hope to continue this trend.

Sixty-five (65%) percent of students who received an alert in the fall term continued with ECC into the spring term. While we hope to continue increasing this number, considering the various obstacles and struggles these students face, 65% is relatively high.

JUDICIAL AFFAIRS

Mission Statement

The Judicial Affairs department works collaboratively with the ECC community to uphold the Student Code of Conduct, with the goal of promoting a safe, equitable and learning-centered environment in which individuals are accountable for their actions. Through prevention-education, conflict resolution and restorative justice strategies, the department empowers students with essential skills needed for success in the classroom, workplace and community.

Accomplishments

Engaged in learning-centered behavioral intervention, utilizing a restorative justice framework when appropriate, to encourage full and successful community reintegration of students who violated the Code of Conduct.

Investigated and/or adjudicated 29 Code of Conduct violations. This number is continuing a downward trend in reported violations at the College, from 50 in AY 2015 and 57 in AY 2014. Prevention education, specifically in regards to academic integrity, is posited to have played an important role in reducing these numbers.

Eleven (11) referrals to Writing w/ Integrity course. This is a course required of students who infringe upon the College’s plagiarism rules. The course reviews what constitutes plagiarism in the academic setting, and helps reinforce lessons learned in the classroom regarding academic integrity. Students must complete the course and pass a quiz on the material before being able to enroll in future courses at ECC.

VETERANS SERVICES

Mission Statement

The Veterans Services department supports student-veterans throughout their academic journey, providing information regarding veteran benefits as well as educational and career guidance. The department champions the unique experiences and perspectives of veterans, and recognizes their value in the ECC community and beyond. Through various events and programming the department fosters a sense of inclusion, camaraderie, and community among student-veterans on campus, increases military cultural competency among ECC employees and connects student-veterans to the larger veteran community.

Accomplishments

Opened a new Veteran Resource Center (VRC) in May 2017. Located in room F201, the VRC serves as a permanent space on campus dedicated for veterans, where they can do homework, study, relax and network with other veterans.

Increased the number of student-veterans who have been inducted into the S.A.L.U.T.E Veteran National Honor Society; to date, 11 student-veterans have been inducted since 2013.

Collaborated with the ECC Foundation to develop the Pay it Forward Book/Supply Loan Project. The project helps veterans purchase books and supplies at the start of the term, while they await the arrival of their veteran benefit stipend. Seven (7) students were assisted through this program in both the spring and fall 2017 terms.

ECC Quilts of Valor partnered with the Northern Quilts of Valor Organization to present ECC student-veterans with handmade quilts, in honor of their service.

Increased veteran services visibility and programming: - Veteran Services table at Campus Jam semester convocation

Military Branches United (MBU) Club received a Purpose Award from Student Life for their exceptional work.

ECC became a chapter member of SVA-IL (Student Veterans of America) in May 2017.

Anitra King, Veteran Services Specialist for ECC, was awarded the Club Advisor Award for her work with Military Branches United.

Conducted several Military Ally trainings for ECC faculty and staff in order to enhance their understanding and awareness of the specific needs of student-veterans on campus.

Results indicate an overall decrease in levels of

Anxiety for the group as a whole. Post-Test

scores decreased by an average of 5 points per

individual. Two participants scores decreased,

moving from a level of “Moderate Anxiety” to

“Low Anxiety.” One participant score moved from

a level of “High anxiety/Cause for Concern” to a

level of “Moderate Anxiety.” Overall, based on

the data, it is evident that the anxiety support

group was successful in helping students

decrease their levels of anxiety.

Accomplishments

Offered 17 Safe Zone training sessions for faculty, staff, administrators, and students to enhance their understanding of LGBTQ students’ needs and examine their assumptions about this historically marginalized group. These trainings, which began in fall 2015, help to promote a welcoming and inclusive campus climate for diverse identities and cultures.

Implemented 4 supports groups and 8 seminars for students on campus. The groups/seminars were created because these issues were identified as the top challenges faced by students documented in Wellness Services as well as feedback obtained from Student Health 101, an online health/wellness magazine.

Although a wealth of research exists showing low utilization of psycho-social services for minority groups, 11% of Asian/Pacific Islander and 13% of African-American students utilized these services at a higher rate than the percentage of Asian/Pacific Islander and African-American students at ECC, which is 7% and 6%, respectively.
