Dear Parents,

We would like to extend a very warm welcome to all parents, new and returning, to

the Upper Canada College Parent Community. At Upper Canada College, we have

two parents’ organizations; one for the Prep (P.P.O.) and one for the Upper School

(P.O.). For this upcoming school year, 2016-2017, Lori Elder will be heading the

Prep Parents’ Organization (PPO) and Olga Tchetvertnych will be the PPO Vice Chair.

Jody Howe will head the Upper School Parents’ Organization (PO) and Kim Enns will

be the Vice Chair of the P.O.

The PPO and the PO consist of parents of all boys enrolled at Upper Canada College.

Our roles are to act as liaisons between faculty, staff, parents and students. The PPO

and PO organize events throughout the year to enrich our com- munity spirit.

This handbook presents the current list of parent volunteers who are responsible for

the various committees on the PPO. We invite you to contact those individuals on

whose committee you may be interested to volunteer. There are a lot of fun and

interesting ways to get involved at UCC. Some volunteer positions may be for one

event, one term or perhaps for the full year. Our committee heads welcome all

interested and enthusiastic volunteers.

Any volunteer work at Upper Canada College benefits our boys and contributes to

our goal of enriching community spirit at the College.

We thank you in advance for your contribution and we look forward to another year

of exciting and memorable events.

of each PPO service and event. Meetings are held monthly throughout the school

year. The “Head of Preparatory and Upper Schools” reports at the beginning of

each meeting about matters of interest and concern to parents. Questions are

PPO Committee Members

All PPO positions have a maximum of a two-year term except for Chair, Vice-Chair and

Past Chair, which is one year each. CHAIR The Chair acts as ambassador to the parent community, at regular meetings with the Heads of the Primary and Middle Divisions, the Association Counsil and the Board of Governors. The Chair conducts monthly committee meetings at which members submit and discuss their reports. VICE-CHAIR The Vice-Chair role is to assist the Chair throughout the year and fill in for the Chair as needed. The Vice-Chair is the Interguild Representative at meetings and events of other independent schools. The Vice-Chair coordinates the roles and responsibilities of all Grade and Form Reps. The Vice-Chair helps recruit Form Representatives and maintains contact with them and the Grade Reps through- out the year. The Vice-Chair apprentices with the Chair and assumes the position of Chair the following school year. PAST CHAIR The Past Chair attends all monthly executive and advisory meetings, and chairs the PPO Nominating Committee. SECRETARY The Secretary provides communication between the PPO committee members. This includes preparing and distributing agendas and minutes for all Steering Committee meetings, and communicating with the parent body about the meetings. TREASURER The treasurer is responsible for reporting the assets and liabilities of the PPO, prepares monthly financial statements, and coordinates a year-end financial report. VOLUNTEER COORDINATOR The Volunteer Coordinator creates and maintains a database of all volunteers and passes it on to relevant committee heads. The coordinator also responds to volunteers’ questions regarding events and commitments, and attends school functions to strengthen the volunteer base. FORM REPRESENTATIVE (1 per grade SK - 6; and 2 for grade 7) The Form Representative attends monthly PPO Committee meetings, passes on all relevant information to the Class Reps of that grade, and helps with and attends PPO events. The Form Rep needs to have been at the school the previous year. CLASS REPRESENTATIVE (2 positions per form available) The responsibilities of the Class Representative can vary from form to form and grade to grade. The Representative communicates with the Form Teacher/Adviser, enlists other parents to participate in class outings and activities, which require adult supervision, and may organize a parent get-together and/or a class party. The Class Rep helps with and attends PPO events including the new parent welcoming evening in May or June and welcoming coffee morning in September

Communications Coordinator The Communications coordinator acts as a liaison for the PPO with the Director of Communications, the UCC Association, the Prep Office and coordinates communication from the PPO to parent body.

Library Coordinator The Library Coordinator schedules volunteers to work in the Wilder Library over the course of the year. Volunteers check in and shelve books and assist the librarian as needed. Festive Marketplace You're invited to come out and enjoy the spirit of the season at UCC's Festive Marketplace on December 2, 2016. Used Textbook Sale UCC holds an annual sale of used textbooks at the Prep. Proceeds from the sale are split equally between the students selling the books and the PPO. Volunteers are needed to price books and help at the sale. They are also needed to recruit volunteers for and manage the sale.

Used Uniform Intake The committee takes in gently used uniform clothing throughout the school year. Used uniform clothing is sold in the Prep Shop, at various sales during the year and the last day of school. All proceeds from sales are returned to the school through the PPO. Some items can be sold on consignment.

Prep School Term Three Opportunities

Changing times have brought about new guidelines and regulatory requirements regarding the safety of the students. For this reason, several areas of volunteer work require a Vulnerable Persons Screen Check: • Library

• Prep Shop

The process is simple and the school will pay the nominal fee. Volunteers for each of the areas listed above must have a Screen Check on file prior to September 16, 2016. If your postal code begins with M: A Consent to Disclosure Form will be provided to you for completion. Please complete and return to the Upper School Human Resources Office. If you live outside Toronto: (your postal code does not begin with M)

You must go to your local police station and request a police check that includes a Vulnerable Persons Screen Check. For re-imbursement, please submit your receipt to the appropriate contact listed above. For any questions or concerns, please contact:

School Security

Community Service Learning At the Prep, we seek authentic service experiences, which are ideally student initiated and driven. Personal involvement with the members of the community being served and raising awareness are essential elements of our program. In the PYP, ‘action’ components arise naturally out of the Unit of Inquiry being studied. Form 6 boys work on an intergenerational project and Form 7 boys visit the Toronto Friendship Centre. Both of these initiatives are linked to the Health and Life Skills program.

School-wide community service projects are also held throughout the year. These projects, such as our annual food drive, clothing drive and sports equipment drive serve to promote awareness of community organizations and to have our students work together toward a common goal.

All initiatives whether student, teacher or parent-led must first be approved by the Coordinator, in order to facilitate scheduling.

Community Service Fundraising As mentioned earlier, our program focuses on authentic service experiences. With that in mind, we limit the number of community service fund-raisers held per year. Fundraising activities that are held annually at the Prep such as the Terry Fox Run for cancer research, Jump Rope for Heart, and Casual Dress Days support local charities and are all promoted and run by the students. PPO fundraising initiatives are also an annual occurrence.

Fundraising events will be reviewed and approved in light of the following criteria: there is a curricular link, the activity is age appropriate, and it does not conflict with other scheduled events. Ideally, most fundraising will be done in conjunction with Casual Dress Days; however, other valid situations may arise.

New ideas for fundraising must be first approved by Jill Stewart, Coordinator of Community Service Learning.
