ThankyouforselectingRachel’sChallengetopresenttoyourstudentsandfaculty.Wehave createdthisProgramPreparationGuidetoassistyouinpreparingforyourRachel’sChallengeprogram.Wehaveprovidedspecificdirectionsandimportantinformationtoensureyoureventisassuccessfulaspossiblewhilecreatingasustainablepositiveimpactonthecultureofyourschoolandcommunity.

Rachel’sChallengeprovidesyourschoolandstudentswitheventmaterialsthatreinforcethemessageofkindnessandcompassion.Thisboxofmaterialswillarrive1-2weekspriortoyourevent.

TechnicalRequirements

Pleaseprovidethefollowingtoensureeffectivelighting,audioandvisualcomponentsonyourprogramday.PresentationVenue

Werecommendthepresentationoccur inanauditorium,notagym.Pooracousticsandlineofsighthindertheoutcomeoftheprogram.Ifagymistheonlyoption,pleaseseatallstudentsononesideoftheroomoronthefloorfacingonedirection.

TechnicalAssistantPleaseselectaTechnicalAssistanttohelpthepresentersetupaudio,videoandlightingforyourprogram.Thispersonwill need tomeet yourpresenteronehourbefore theprogram toprovideample time forset-up. PleaseacquiretheTechnicalAssistant’scellnumberforyourpresenterasitiscrucialforthemtoconnect.

ACPowerPleaseprovideACpowerforthepresenter’scomputerathis/herpresentingpositionwitheitheranextensioncordorwalloutlet.Itisbestifthepresenter’sprojectorandcomputercanbeonthesameACoutlet.

SoundSystemAsoundsystemcapableofreproducingthepresenter’svoiceandaudiofromthepresenter’scomputerisnecessaryforaneffectivepresentation.Ifapermanentsystemisnotinstalled,aportablepoweredspeakersystemisrequired.Computerspeakerswillnotbeadequate.Twoinputstothesystemarerequired;oneforthemicrophoneandoneforthecomputeraudio.

WirelessHandheldMicrophonePleaseensurethehandhelddevicehasnewbatteriesandspareback-upbatteries.Awiredorlapelmicrophonewillnotworkwiththisprogram.

XLRMicrophoneCordEnsure the cord is long enough to reach from your sound system to the presenter’s computer stand(presenterwillsupplystand),whichwillbepositionedatthefrontoftheroom.Presenterswillusetheirstandandwillnotneedapodium.

LCDProjector,TableandVGACableItiscrucialtoprovideanLCDprojector,tableandVGAcable.Yourpresenterwillprovideaprojector,butoccasionallythesedevicesmalfunction.IfyoudonothaveaccesstoanLCDprojector,werecommendyouborrowonefromaneighboringschool,asitisnecessaryforallprograms.Pleasenote:theVGAcablemustreachfromthepresenter’scomputerstandonthestagetotheprojector’stable.IfyouareusingHDMIfortheevent,thevenueTechnicalAssistantneedstosupplycablestoconnecttothePClaptop.TheTechnicalAssistantneedstonotethattheprogramvisualsandaudioarerunfromthePClaptopbythepresenteronthestage.

ScreenWeencouragethelargestscreenpossibletoensureeverystudentisabletoseeeachimage.Werecommendthescreenbe10by10feetatminimum.Youmayconsiderborrowingonefromanotherschoolorbusinessinyourarea.

LightingLightingcanbeaprobleminagym.Theprograminvolvesextensivevideoplayback.Pleaseensurethereisnodirectsunlightonthescreenduringthepresentation.Itmaybenecessarytocoverwindows.Iflightingisconfiguredinzones,plantoturnoffrowsorzonesclosesttothescreen.Itisimportantforthepresenterandaudiencetoseeoneanother.Please,nospotlightonthepresenter.

Pleasereviewthefollowingitemsasnecessaryessentialtaskstowardsasuccessfulevent.PreviewVideos.Pleasewatchthepreviewvideos(http://www.rachelschallenge.org/event-prep/preview-videos)asyouprepareforyourupcomingRachel’sChallengeevent.Theseinspirationalclipsinformandencouragestaffparticipation.Itisrecommendedtopresentthesevideosatanupcomingstaffmeeting.Allowemailsfromaddressesendingin“rachelschallenge.org”tobemarkedas“safe”tosendandreceive.Return“ProgramPreparationEmail”thatarrivesviaemailfromourEventManager.Thisemailwillconfirmallcontactinformation,eventdatesandtimeswehavebeengiven.Ifanyadditionsorchangesneedtobemade,pleaserespondwiththecorrectinformation.

Selectprogramdayvolunteers.Inadditiontoselectingatechnicalassistant,youmaywanttoselectsomeadultvolunteerstoassistthehostinpreparingfortheprogram.ProvideyourlocalmediawiththeRachel’sChallengeMediaFactSheet(seefollowingpages)andinvitethemtoattendtheevent.Also,advertiseyoureventusingschoolnewsletters,wordofmouth,localbusinessesandmedia.Themedianotonlyhelpspromoteyourprogramtimesandlocations,butalsohelpspublicizeyourschool’sinitiativeinbringingthispositivecatalysttoyourcommunity.Pleasenote:itisacceptabletofilm1-2minutesofthepresentationforpromotionaluse;howeverthepresentationinitsentiretyisnotallowedtobefilmedduetocopyrightissues.
