Exhibitor company staff are the only vendors/associate members allowed to walk the show floor.
Staff of both member and non‐member management companies are encouraged to attend.
REGISTERING TO EXHIBIT
All exhibitors must be paid 2015 members of the CAA. Booths go on sale on December 10th at 10:00
a.m. CST for 2014 exhibitors and January 21st at 10:00 a.m. CST for all other member companies. Booths
are sold on a 1st come, 1st served basis in the order in which sales are received/appear in our digital floor
plan center. Online registrations will not be accepted prior to these dates & times.
In order to secure your booth, you must (all 3):
1. Register for your top 3 booth choices and enter your information via our digital floor plan
company Map Dynamics. The link for this online registration is: http://www.map‐

2. Fill out & submit the CAA Exhibitor Contract included at the end of this packet at the time of
booth selection/registration.
3. Make sure your membership is current (paid) for 2015.
A booth will not be sold if a signed copy of the contract is not received at time of sale.
Please note: Even if you have everything prepared in advance and enter the sale at the exact day & time
sales begin, you may not receive your first choice. Factors such as typing speed, internet speed, and
selecting a booth that is next to a direct competitor’s booth can impact this and is out of CAA’s control.
Tip: While booths and sponsorships are assigned in the order in which they are entered into the floor
plan center, CAA will accept the signed contract & payment form prior to the sales date for those who
would like to potentially increase the speed of their submission the morning the booths go on sale.

*If you are bringing a vehicle as a part of your booth, or have any special move‐in needs, you need to
contact staff by April 1st as special move‐in accommodations will need to be arranged.
Important Note: As of 2014, Drury Lane instituted a rule that exhibitors may not use the front entrance
to move materials into the show (even items that can be rolled in). Due to incompliance with this rule in
2014, this year companies found in violation will minimally be subject to a $500 fine. Please see the
exhibitor contract rules and regulations for further details, and be sure to communicate this rule to
whomever is handling move‐in for your company. The exhibiting company, not CAA, is responsible for
communicating this rule (& ensuring receipt of communication) to whomever is responsible for move‐in.
An education conference is held concurrently with the show. Class offerings, times, and speakers will be
posted as they become available. The venue does not provide many classroom options so we are
unable to host classes provided by our exhibitors. If you are interested in presenting a class/seminar at

Even if you have exhibited and purchased services in the past, you will have to register and create a user
name and password before you are able to access the kit.

MCS & CAA highly discourage exhibitors from shipping directly to Drury Lane as packages are often lost.
However, if this becomes the only option at the last minute, packages must arrive at Drury Lane

“Shipping Information Tab” in the “MCS Exhibitor Kit” for instructions.

FOOD & BEVERAGE
Lunch is only available on‐site if it is pre‐purchased through CAA. Lunches will not be available for sale
on‐site. Drury Lane does not have alternate food and beverage options (not even vending machines), so
please prepare your staff accordingly if you do not intend to pre‐purchase lunch. For those who do pre‐
purchase lunch, the tickets will be included in the company’s exhibitor packet at exhibitor check‐in the
day of the show.
Pre‐Purchasing Lunch:
Lunch is $20 per exhibitor staffer and is available for purchase via the CAA event calendar. The deadline

MEMBERSHIP
All exhibitors must be paid 2015 members of CAA. Confirmation of dues payment can be made through
CAA staff member Joe Schmeier at (312) 207‐1890 ext. 2 or [email protected]. Please note that Joe is not
in the office on Wednesdays.

BOOTH STAFF LIST
CAA requires all show attendees to have name badges. Click on the link below to register your booth

The names, titles, and email addresses of the staff working your booth are due to CAA no later than
Friday, April 3rd. All changes/additions/etc. to your booth staff list after this date will need to be made at
exhibitor registration on‐site the day of the show.
The booth staff name badges will be included in the company’s exhibitor packet at exhibitor check‐in the
day of the show.
THEME
The theme for the 2015 show is: Be Your Own Superhero.
Exhibitors are invited to have games, giveaways, and decorations in their booths that utilize the show
theme.
For the 2nd year, CAA is running a contest for “Best Booth,” where show attendees will vote on their
favorite booth. The results will be tallied after the show. The exhibiting company that gets the most
“best booth” votes will win a $100 gift card, bragging rights, and will be named on the TSEC page of the
CAA website.
SPONSORSHIP
Sponsorship details are available beginning on page 6 of this packet. Sponsorships will be sold on a 1st
come, 1st served basis to CAA member management company (regular members) and exhibiting
associate member companies (only).
ATTENDEE LISTS
CAA will email a list of the registered attendees to the contact that registered the exhibiting company’s
booth a week prior to, and after, the show. The list includes attendee name, address, phone number,
and title where available. The lists will not include email addresses per CAA policy.

MARKETING YOUR BOOTH
Once you have received your booth number, CAA highly recommends that you advertise your
participation in the show to your client list, or a purchased CAA membership list (details above).
EVENT APP (NEW!!)
CAA is excited to announce that we will be utilizing an app for both attendees and exhibitors for the first
time! The app will be available for all phone types, and will be available for download via your phone’s
“app store.” The app will feature the show floor plan, schedule, and other show information. CAA will
announce details as they become available.
RAFFLES/GIVEAWAYS/PROMOTIONS
Exhibitors are allowed (and encouraged) to provide giveaways & prizes to show attendees and offer
promotion/show specials for show attendees. Staff will gather this data in advance, and those
companies that submit their information by March 6th will be featured in a document on the Trade Show
page of the CAA website.
It is the responsibility of the exhibitors to follow up with raffle/contest/prize winners from the show.
Winners of CAA/sponsored contests will be the only winners announced by CAA at the show. CAA
recommends that exhibitors deliver their winners’ prizes to the winners at their companies after the
show.
VOLUNTEERING AT THE SHOW
CAA provides exhibiting associate member company and member management company staff the
opportunity to volunteer at the show. Typically CAA needs 100+ volunteers to help in areas of operation
(like on‐site registration, introduction of sponsors/speakers, etc.) and attendee assistance (providing
directions, etc.) to ensure a smooth experience. This is a great opportunity for exhibitors to take
advantage of from both an exposure perspective (booth staff may wear company apparel) as well as a
logistics perspective (many of our exhibitors take advantage of this to cover time between booth
rotations).
Closer to the show, staff will send out a list of volunteer opportunities. Opportunities will be assigned on
a 1st come, 1st served basis.

PHOTOBOOTH (1 AVAILABLE AT $1,100) Sponsor company
logo will appear on photo strips given to all attendees that visit the photo booth. Sponsor company logo
will also appear on poster‐sized easel sign next to the photo booth hired by CAA. Sponsoring company
may provide up to 2 staff members at any one time to help “manage” the photo booth participant line if
needed. Sponsor company logo will appear in the show guide, on the TSEC day‐of sponsors sign, and on
the TSEC web page. Sponsor will receive a post‐event attendee list (which does not include emails).
SHOW BAG (1 AVAILABLE AT $1,000): Sponsor provides (and delivers to the venue on time) 600 show
bags for event attendees. These bags will be the official show bags and will be located in the
registration area with the show guides and name badges. The sponsoring company may pre‐stuff the
bags with company marketing materials or a takeaway for attendees. Sponsor company logo will appear
in the show guide, on the TSEC day‐of sponsors sign, and on the
TSEC web page. Sponsor will receive a post‐event attendee list
(which does not include emails).
BALLOON ARTIST (1 AVAILABLE AT $800): Sponsor company logo
will appear on a poster‐sized easel sign next to highly anticipated
balloon artist (floor location t.b.d.) Sponsoring company may
provide up to 2 staff members at any one time to help manage the
balloon artist’s line if needed. Sponsor company logo will appear in
the show guide, on the TSEC day‐of sponsors sign, and on the TSEC

HEADLINE SPEAKER SESSION (2 AVAILABLE AT $500):
Sponsor company may provide up to 2 staff members to do 5 minutes of promotion prior to one of the
pre‐selected (1st come, 1st served) education sessions and introduce the session speaker. Sponsoring
company may also provide marketing materials for session attendees
and give away a prize for a sponsored session. Sponsor company name
will appear in the show guide, on the TSEC day‐of sponsors sign, and on
the TSEC web page. Sponsor will receive a post‐event attendee list
(which does not include emails).
SHOW FLOOR ENTRANCE SIGNAGE (4 AVAILABLE AT $400): Sponsor
company logo will appear on 2’ x 2’ signage hung below main event
signage over the entrance to the grand ballroom foyer. Sponsor
company logo will appear in the show guide, on the TSEC day‐of
sponsors sign, and on the TSEC web page.
EDUCATION SESSION (2 AVAILABLE AT $250): Sponsor company
may provide up to 2 staff members to do 5 minutes of promotion
prior to one of the pre‐selected (1st come, 1st served) education
sessions and introduce the session speaker. Sponsoring company
may also provide marketing materials for session attendees and
give away a prize for a sponsored session. Sponsor company
name will appear in the show guide, on the TSEC day‐of sponsors
sign, and on the TSEC web page.
BREAKFAST (1 AVAILABLE AT $200): Sponsor company name will
appear on poster‐sized sign in breakfast area. Sponsoring company may distribute materials on
breakfast tables during the 2 breakfast hours and may provide up to 4 staff members to network in the
designated breakfast area. Sponsor company name will appear in the show guide, on the TSEC day‐of
sponsors sign, and on the TSEC web page.
REFRESHMENT STATION (2 AVAILABLE AT $150): Sponsor company
name will appear on 8 ½ x 10” signage at 1 of the 2 coffee/water
stations available on the show floor. Sponsoring company may
provide napkins or cups with their company name for their
refreshment station. Sponsor company name will appear in the show
guide, on the TSEC day‐of sponsors sign, and on the TSEC web page.

CONFERENCE SUPPORTING PARTNER ‐ (UNLIMITED AVAILABLE AT $300): Sponsor company may use
this sponsorship as an opportunity to support the event, membership, and the association. Sponsorship
includes two (2) complimentary education conference admissions for an exhibiting member or a
management company employee. Sponsor company name will appear in the show guide, on the TSEC
day‐of sponsors sign, and on the TSEC web page.
PHOTO SCAVENGER HUNT (20 MAX AVAILABLE AT $200): 2015 exhibitors are eligible to participate in
this contest run via the new CAA show app. In advance of the show, all exhibitors and attendees will be
notified that the app is available and will be requested to download it. Through this app, attendees will
have access to a scavenger hunt list detailing the predetermined items/people they must take pictures
with. The items on the checklist for exhibitors that purchase this sponsorship will include the exhibiting
company’s name and booth number (i.e. “Me and Exhibitor Company at Booth XYZ”). Participating
attendees that complete the full list will be asked to fill out a form with their contact information which
will be placed in a ballot box. At the close of the show at registration, the winner selected at random
from all the forms will win a $500 gift card. Please note that by selecting this sponsorship, your
company agrees to participate on‐site and take pictures in your booth with whichever attendee requests
it. Sponsorship includes a listing in the event app, company name recognition on the TSEC web page,
and company name recognition in the show guide.
SUPPORTING PARTNER (UNLIMITED AVAILABLE AT $150): Sponsor company may use this sponsorship
as an opportunity to support the event, membership, and the association. Sponsor company name will
appear in the show guide, on the TSEC day‐of sponsors sign, and on the TSEC web page.
The deadline for all sponsorship registrations is Friday, March 27th. Cancelations must be received in
writing by March 27th by CAA staff. No refunds will be extended for any registrations submitted after
this date. If your sponsorship includes logo recognition (or any other information), the logo is due to
staff in jpeg and eps by Friday, March 27th at the latest. If logos/materials are not received in time, staff
will use the sponsoring company’s name and information available via the CAA database. All
sponsorships must be paid for prior to the show date. Please reference the exhibitor contract rules and
regulations for consequences of acting outside of sponsorship guidelines.

This contract is between the Chicagoland Apartment Association (CAA) and the exhibiting company. Please make sure that the information you
provide is accurate and that you sign & return this form with your booth registration.
My company, named: ___________________________________(insert/write the name of exhibiting company here), hereafter referred to as
“company,” agrees to pay the total sum of their assigned booth space, lunch, and sponsorship (where applicable).
Company secures booth only upon submission of: this contract signed by authorized company employee, payment as specified, required
supporting documents, and payment for 2015 CAA membership dues. Company is subject to rules governing the 2015 Trade Show & Education
Conference (TSEC). If payment is not received in full for membership and associated show costs by March 2nd, 2015 the CAA may retain any
payments made as liquidated damages, full payment (if not made) will be due as liquidated damages, and the booth space (etc.) will be
forfeited to CAA.
RULES & REGULATIONS
Requests for cancelation must be received in writing by staff by March 13th, 2015 in order to be considered for refund. Failure to
occupy booth space or cancelation of the space after March 13th, 2015, for any reason, is not subject to refund and company forfeits
booth to CAA.
Company must be a 2015 CAA member in good standing with dues paid in full by March 13th, 2015. Failure to be current in dues and
other outstanding invoices may result in forfeiture of reserved booth.
Companies that have more than 1 membership under CAA is permitted to advertise 1 company per each booth space. One booth
space is permitted per company.
Company understands & accepts what is included with the purchase of their booth space (detailed in the exhibitor information) as
provided by Midwest Conference Services (MCS) and paid for by CAA.
At any time, only 4 company employees may work per each 8’x10’ booth space (Grand, Premier, Standard), 2 per each 6’x6’ booth
space (Tabletop), 6 per 10’x10’ booth space (Pod), and 8 per 20’x16’ booth space (Deluxe) at any time.
As of 2014, Drury Lane instituted a rule which prohibits exhibitors from moving in materials through the front entrance (including
any kind of rolling containers/boxes/packaging). Company agrees to move all booth materials in through the back entrance (as
specified by CAA) of the venue. Companies found in violation of this rule will minimally be subject to a fine of $500. The exhibiting
company, not CAA, is responsible for communicating (and ensuring receipt of communication) for whomever is in charge of move‐in.
Company booth staff/employees must stay within their assigned booth space and may not enter another booth uninvited, even if
unattended. Company booth staff/employees should not handle samples, take literature, or take giveaways without permission.
Company booth staff/employees may not block or interfere with a neighboring exhibit. (Interference includes but is not limited to
excessive sound and objectionable lighting.) Exhibitors found selling outside of their booth or violating these rules may be asked to
leave the show without any return on booth payment.
Company may distribute company‐related marketing material, including catalogs, souvenirs, and other promotional material only
from the booth space assigned to them by CAA and no other part of the venue (including bathrooms, classrooms, show aisles or
general areas) unless specified in their sponsorship agreement. All aisle space belongs to CAA. Any attendee observed selling a
product or service outside of their booth or obstructing aisles will be reported to show management and escorted off the show
floor.
Company may not deface the furniture, fixtures, or building surface (including the floor) of the venue in any way through use of
tacks, nails, glue, tape, paint or otherwise. Exhibitors will not be allowed to nail anything into the walls or floors of the exhibit
hall/venue.
Company agrees to adhere to move in/out timelines and guidelines.
Company must provide the necessary shielding or safety items to protect attendees, other exhibitors, and all others from equipment
that is operable or any other materials, processes or operations which may cause bodily harm. Mechanical or electrical devices that
produce sound must be operated so as not to disturb other exhibitors.
Competing companies will not be placed next to one another whenever possible unless 2 companies expressly request it.
Companies may not sublet, share, assign, or apportion the whole or any part of the exhibit space.
Exhibits must be open to all show attendees.
Company will limit the height of display materials to 42 inches in the front 7 feet (or 3 feet in the case of tabletops) of their booth

shall be draped or finished at the expense of the exhibiting company.
Electrical wiring and equipment must meet the electrical codes of the Village of Oakbrook and Midwest Conference Services/Drury
Lane rules.

Company shall make arrangements for labor. Loading, electricity, gas, water and other utilities (and special services) are provided
only when the exhibitor orders them and agrees to pay for them through authorized parties in compliance with city/state
regulations, insurance, and other requirements. Company is responsible for directly communicating with said service providers
regarding products/services, time, process, etc.
If company provides volunteers to assist CAA with the show, their interactions outside of their assigned booth space are limited to
the parameters of their volunteer position. No sales may be conducted at these posts.
CAA reserves the right to adjust booth assignments and numbers or to relocate booth spaces to accommodate show size/location as
well as make reasonable changes in the rules, exhibit hours, and move in/out arrangements.
CAA will not be held responsible for the performance of the venue’s wireless internet services.
CAA will not be held responsible for any services/goods company contracts for through Midwest Conference Services (MCS) or Drury
Lane.
CAA is not responsible for any materials shipped to the venue or through MCS that do not arrive at the show or any damage to the
company’s property or moving costs.
CAA determines the time periods and deadlines for moving in and out of the exhibit areas.
CAA will not be held responsible for any injury that may occur to company booth staff/employees, or for loss or damage to materials
by reason of fire, theft, or any other case. If insurance is desired, the exhibitor must obtain it.
Company agrees to carry their own insurance (and if necessary add a policy) covering their participation in the event (including
personal injury and property damage and any other death, injury or damage). Company understands that it is their sole
responsibility to obtain coverage. CAA will be held harmless and will not be held responsible for any theft, damage, or injury.
Company is liable for any damage caused to, but not limited to, the venue (exhibition facility), booth equipment or other exhibitors’
property.
CAA reserves the right to create/use photography and video taken at the show for marketing, sales, publicity and other use,
including: exhibitors, their booths, booth staff, and attendees. These images will be CAA’s sole property, free of any claims of the
company or any persons deriving any rights or interest from the exhibiting company.
If company or company booth staff/employees are found to be out of compliance with the aforementioned rules & regulations, they
may be asked to leave the show at any time without any return on booth, lunch, or sponsorship payment.
CAA reserves the right to prohibit a company from exhibiting/sponsoring/participating (at the discretion of the CAA Executive Vice
President).
All points not covered by the aforementioned are subject to the decision of the CAA Executive Vice President.
Deposit of payment does not constitute acceptance of this agreement. This agreement is binding until CAA receives a copy of it signed in the
space provided below.
The Company and signatory below have read and agree to abide by the provisions of this contract and rules governing the CAA TSEC.
