2015 Augusoft Lumens User Summit Recap
The 12th Annual Augusoft Lumens User Summit held prior to the LERN Annual Conference in New Orleans was a huge success! We had record attendance of 74 attendees from all over the United States and Canada. Experienced and new Lumens users, executive school leaders, industry partners and the Augusoft team came together to learn, discuss, network and share their knowledge of Lumens. This user summit report shares a brief look at some of the highlights from last year’s event including:
Augusoft’s President and CEO, Cem Erdem, presented Katie Butler, Workforce Services Functional Specialist of Virginia Community College System with the 2015 Augusoft Lumens VIP Award.
This award is given out each year at the annual event to a Lumens user that demonstrates tenacity and patience to always see a solution to a problem, is an advocate for Augusoft, uses best-practices to run their program, and is committed to delivering and improving lifelong learning for everyone.
We congratulate you, Katie, and encourage all of you to continue to help us deliver and improve lifelong learning for everyone.

The Larrabee ScholarshipNamed in memory of Augusoft employee Leslie Larrabee, the Scholarship recognizes the innovative use of technology in continuing education and a “tip” or “trick” involving that technology which contributes to improved work-life balance. This year’s recipient, Nanette Bowring of University of New Mexico shared her best tip.
This Year’s WinnerNanette Bowring, Vendor Liaison, University of New Mexico
Tip, Trick or Both: BothTip and/or Trick Name: Best Use of Custom Fields Ever!Summary of Tip and/or Trick: Just create the custom fields, create the reports, schedule the reports to the appropriate staff and things happen just like magic! No need to worry about remembering to ask IT that special software is needed or emailing everyone that the A/V changed..just change it in the class the day before and it is done...you will get what is needed! Laptops get charged in plenty of time also.
Which technologies do you use to do this tip and/or trick? How might other institutions replicate, or adapt this tip and/or trick to make their work-life easier? Just create the custom fields, create the reports, schedule the reports to the appropriate staff and things happen just like magic! No need to worry about remembering to ask IT that special software is needed or emailing everyone that the A/V changed..just change it in the class the day before and it is done...you will get what is needed! Three topic roundtable discussions were held and these are the takeaways.
How are you collecting the data required? i.e., WIOA, State Reporting, etc.
1. Capture specific attributes based on fields2. Class specific student classification3. When student registers for a particular class,
Lumens will capture student attribute and that becomes part of their profile.
4. Connect field (license #) to expiration date.5. Classes tied to licenses6. ACT WorkKey results downloadable to
Lumens as pre-requisites7. Pearson Vue – partner to allow access to
student grades8. Student has no incentive to provide testing
results from 3rd party evaluator9. Accreditation denial program funding10. Funding source allocation for classes11. Prerequisites for classes 12. Refund A/R payments13. Students resistant to providing SS#14. Eligible results – want to know results for all
students in a class, not risk those that got funding
15. The leverage the school has compels student behavior
16. Slim student profile for same person at different companies
17. Sixteen people want one profile for multiple user roles – Uuceaymocs “My brain is full with

Using social media to increase visibility and registrations1. Need social media guidelines2. Blog - Allow teachers to blog, give them Q &As
and humanize.3. Link instructor link in Lumens4. Have teachers share “I’m teaching this class!”5. Real-time dialogue is key6. Treat teachers like assets7. Instructors reputations affect class popularity8. Kennesaw has a campaign: “I Did It”
• Separates from main college• “I Did It” serves as a call-to-action
9. Uses Hootsuite (good for categorizing & hashtags)
10. Pinterest: hard to use; always need visuals11. Content control is difficult. Main college has
“rules” (academic leadership side) and we are dependent on them.
12. Social media share buttons; Include in registration confirmation emails and include “Have your friends join you” share buttons.
13. LinkedIn ads for B2B Marketing• Expensive• Good networking• Boosting posts (blog posts)
14. Don’t use “all for one” when posting on various social media platforms.
15. Meetedgar.com• Good social media management tool• Useful if you don’t have 1 person
assigned to social media• Can set up flows/streams of posts

16. How to track registrations with source being from social media?• Ask in surveys• Alaska survey: they learned word of mouth
was big rather than social media which was only at 5%
17. Track “share on Facebook” link in Lumens site• Put social media share buttons in
registration confirmation emails• Include: “have your friends join you!”
(share buttons)
