Dear Friend of LWGMS,
Lake Washington Girls Middle School is pleased to announce its eleventh annual auction on Friday, April 24, 2015. Please join us in celebrating seventeen years of providing girls in grades six through eight a challenging, nurturing, and enriching environment in which they begin their journeys in becoming young women, strong of mind, body, and voice. We value partnerships with businesses like yours and hope you will consider donating to our biggest fundraising event of the year– friends like you will help keep our school strong!
Because LWGMS is committed to keeping tuition low – about half that of our peer schools – to support a student body from a broad spectrum of socioeconomic backgrounds, to ensure diversity of all kinds, and to support high quality education for girls, our fundraising efforts are critical to supporting the strength and success of our program. With the generous support from you and others, we hope to reach our goal of raising $100,000 to support our exciting programs, passionate faculty, and the girls who benefit from financial aid packages.
As a way of showing our appreciation to each business that partners with us for this event, your company will be listed as a donor in our online auction catalog, published on our website one week before the event. In addition, your name, or your company’s name, and a detailed description of the item/s donated will be prominently printed on the item display at the event, reaching approximately 300 local leaders, business owners, and community members. What’s more, there are additional advertising opportunities available to those who would like to take advantage of additional cost-effective opportunities to promote your company – please see the reverse of this letter for detailed information about sponsorship and advertising levels and benefits. Exposure at this meaningful event is a good deed with built-in tax benefits: Lake Washington Girls Middle School is a non-profit, 501(c)3 organization, and the value of your donation is completely tax-deductible.

Procurement Tips & Procedures
“We don’t have anything to donate to the auction” is an often-expressed concern. Don’t worry:There are many ways you can secure an item and contribute to the LWGMS auction. And it doesn’t cost you a thing!
Stop While You Shop Take a look at your credit card statements and checkbook – a business you support is more likely to support LWGMS. Start with your favorite neighborhood shops, hairdresser, cleaners, auto mechanic, and restaurants, and when out of town, consider hotels and recreational facilities. Ask these businesses to make a tax deductible contribution to a good cause. We will recognize every donor in the display descriptions, and if requested through sponsorship, in auction newsletters, the auction catalog, and on the school’s website. Making a donation to or sponsoring our annual auction is a great advertising opportunity for any business, big or small. Their message will reach 300+ of Seattle’s finest the night of the auction, and countless others on our website!
Family and Friends Matter Do you have a particular talent or service to share with the community? How about your family, friends, or acquaintances? Take a look at your contact list and identify those in an interesting or useful trade, who own businesses, create art, or work for companies that might donate to our auction – ask them to support your daughter(s)…then invite them to the auction!
How Do I Ask? It’s easier than you think! Consider the following as a starting point:
“My daughter attends Lake Washington Girls Middle School. Would you consider donating to or becoming a sponsor of the School’s annual auction? The auction is our largest fundraiser and is being held this year on April 24, 2015 at the Grand Hyatt, Seattle. Lake Washington Girls Middle School is an academically challenging independent school for girls in grades 6 through 8 that offers its students the opportunities and environment to become young women, strong in mind, body, and voice. LWGMS keeps its tuition low – about half that of our peer schools – and awards generous financial aid packages so girls of all backgrounds can attend, regardless of their family’s financial situation. LWGMS is an extraordinary school, and we would appreciate your support.”
Always bring along a donor/sponsorship letter and procurement form to fill out; having the form with you lends credibility to the “ask,” and may make it more difficult for the person you have approached to say no thank you.
Then What? • Fill out a procurement form - online (at lwgms.org/auction) or in the triplicate form• Ensure the donor has signed the form• Give the donor the pink copy and the donation/sponsorship letter for their records• Deliver the rest of the form (white and yellow copies) to the advancement office, along with the item if applicable
Notes Procurement forms must be filled out completely (online or in writing) with detailed written descriptions before the item can be accepted and entered into our database. Please remember to include your own name and telephone number as the “auction solicitor” so we may contact you if we need additional information.
Gift certificates should be valid from April 24, 2015 through April 24, 2016. In the event a donor is not able to provide an actual gift certificate, the auction committee will create one. Please make sure you mark the appropriate box on the procurement form indicating the need to make a certificate.
Donations and Sponsorships and fully completed forms must be received by March 31, 2015 to be included in the printed catalog.
Corporate Sponsorships Ask your friends, employers, and mission-appropriate businesses and/or companies with which you have contacts if they are interested sponsoring our auction (also tax-deductible). Sponsors have an opportunity to put their philanthropic dollars to good use when they support LWGMS.
There are four levels of sponsorship, and each one offers a sponsor increasing exposure to a large audience: auction attendees (250+), school supporters (1,100), and prospective families (250+). Sponsorship details can be found on the donor/sponsorship letter, but please feel free to contact (or encourage potential sponsors to contact) the Auction Team at 206.709.3800 or [email protected] with additional questions.
Keep in mind that if one of your friends supports our auction through individual sponsorship, and they work at a company that matches donated funds, the sponsorship dollars may be doubled! Please visit our website for a list of Seattle companies that match charitable donations and determine if any of your friends work there – your friend may be more willing to support LWGMS if he or she knows their donation will be matched, and their employer will receive recognition for the contribution.
