On April 30, 2013 at the MiSGMP Annual Education Conference, I presented the State of the Chapter. Here are the highlights:
2011-2014 Big Hairy Audacious Goals Move to the next membership category of 150 or more members with a net increase of 16 members per year over the next 3 years.Increase budget to $60,000 to ensure quality education for the increased membership.
2011-2014 Strategic PlanWithin the next 3 years we will continue the growth of the nationally recognized MiSGMP into a premier state preferred organization providing high value membership return including: Nationally recognized relevant professional development services, timely quality communications, relationship-building opportunities for acontinually growing membership of 160 members (net increase of16 members per year over the next three years. Increase annual budget to $60,000.
2012/13 Achievements
Recognized by National at the 2012 National Education Conference for: Chapter Excellence (2nd year in row) and 2nd place for Programming of the Year. Creation of the new and improved quarterly MiSGMP newsletter;the first edition was sent out in March 2013, you are now reading the 2nd edition!All programs and the Annual Education Conference have provided excellent professional development and can be used towards GMS and CMP certification; monthly programs provide time for relationship building. The 2012-2013 Revenue Budget $47,600; the 2012-2013 Expense Budget $50,510, speed dating event occurred in August 2012 to encourage member involvement in committees. Sponsorship bundling with instant invoicing established and a membership drive resulting in 14 new members!!! And the iPad went to Kristen Taylor of NAMI Michigan who brought in 6 new members, 4 planners and 2 suppliers. Awarded suppliers with MiSGMP Membership Longevity at the AEC.

You've heard of governmental immunity. Well, there is no such thing when it comes to Mother Nature. Yes, the weather can certainly have an effect on our meetings and we had some first-hand experience with this when the Grand River overran its banks during April of this year. Several meetings being held at the Amway Grand Plaza were affected, so our meeting this month will focus on the response of the local CVB, the Amway Grand staff, and the government/association meeting planners to this event. Our panel of planners and suppliers will take a look at best plans and best practices when it comes to preparing for the unknown.

Over 17 Michigan Chapter members attended the 2013 National Education Conference and Expo in Orlando, May 22-24, 2013. They joined nearly 900 industry peers for education, resources and networking at the largest gathering of government meeting professional that is offered each year. We were proud to have such a great turnout of Michigan planner and supplier representatives!
Every year, your chapter Board aims to bring home one or more chapter awards recognizing outstanding achievement, and they did. MiSGMP again won the Chapter Excellence Award and even a special award for our President. Look for all the highlights, award information and photos in the Summer/Fall edition of the newsletter, coming in July 2013.

Winner, winner chicken dinner! A chicken dinner is great, but member KRISTEN TAYLOR of the National Alliance on Mental Illness Michigan Chapter won something so much nicer!!!

Meeting Planning Monopoly!For those of you not able to attend the recent MiSGMP Annual Education Conference in Traverse City, you really missed a great program! The Monday evening tour of the former asylum tunnels was a hoot! The bus trip on what has to be one of the state’s worst roads was certainly a wild ride! Was I the only one to notice that the asylum was located on Silver Road (as in Andy Silver with the Department of Community Health) ... hhmmm??? Being one of the older guys in our group, I have attended many conferences over my career. I can tell you that I continue to be impressed with the high quality of our chapter programs. This year’s AEC speakers were all top notch and the registration fee was a screaming bargain! Having a nationally recognized speaker the caliber of Joan Eisenstodt join us was frosting on the cake. Joan is an icon in our business and her discussions on industry ethics and emergency preparedness were thought provoking and entertaining. On a more humorous note, our closing speaker, Tim Gard, had all of us who stayed for the last session rolling in the aisles (no snoozing or playing with smart phones in this session)! What a great way to end a very educational and fun conference!
Be sure to plan on attending next year’s AEC - you won’t be disappointed!Steve

When Idan Keren, CMM (oktmeeting.com), needed to reduce a clients’ room count by 80 percent just a month before the conference, he found a solution that made the hotel and group happy. Rather than paying the $40,000 attrition fee, Keren personally found another group to fill the space, and the hotel dropped the fee.

Takeaways
• Ferret out all fees that might be tacked onto the bill once a hotel room is occupied, and have your contract address how the extra fees will be handled.
• Once a room rate is decided on, get the hotel to agree that no other fees will be added on after the fact.
• Keep copious documentation for any auditing processes that are in place to keep your meeting budgets in line.

State of Michigan Meal Per Diems – You May be Surprised!by Laurie A. Nickson, CMP, GMS

The State of Michigan meal per diems*, although standardized, may be interpreted differently from department to department...
apparently one size does not fit all! After some research and discussion with the designated travel contact* for Michigan
Department of Education (MDE), I offer the following information – which is applicable to events sponsored by/through
MDE, and perhaps other departments.
Service Charges
First and foremost, the state meal per diems for group meeting meals are not inclusive of a service charge. And, service charge is
the phrase to use, not gratuity! For individual meals submitted by a MDE employee for reimbursement, the per diem meal rate
is inclusive of the service charge. I’ve heard from state employees in other departments that they have successfully submitted
and been reimbursed for meals with an additional service charge of up to 15%. Typically, MDE employees simply ‘eat’ (sorry!)
the gratuity/service charge.
Meal Per Diems
Michigan’s current ‘general’ in-state meal per diems are breakfast, $7.25; lunch, $7.25; dinner, $16.50. The current Michigan
Select Cities* meal per diems are breakfast, $8.75; lunch, $8.75; dinner, $21.00. To add to the mix, the current rate for a ‘Group
Meeting Lunch’ is $10.25. So, what are the ‘Group Meeting’ rates for breakfast and dinner? There aren’t any listed. I was told
to use the general breakfast and dinner per diem rates or, if applicable, the Michigan Select Cities breakfast and dinner per
diem rates – again, exclusive of a service charge.
Breaks
The state meal per diems do not address ‘breaks.’ Typically the department, event budget or funding stream guidelines dictate
what is allowable. The MDE travel contact stated a break must not exceed the cost of the lowest allowable meal per diem. And,
if it is a full day meeting, a morning and afternoon break may be allowed. Confusing? Yes! In speaking with other government
planners regarding their budgets for breaks, the amount budgeted was typically $3–$5, per person, per break.
Recommendations
For state government planners – check with your department travel contact for clarification so you can maximize the allowable
money for food & beverage. For suppliers – service charges are not included in the meal per diem rates; rates are higher for
select cities; there is a group meeting lunch rate; and breaks may be a way to maximize what you can offer. And, don’t forget,
the state government lodging rate increased from $65 to $75 on January 1, 2013!
