The host is responsible for a bartender fee of $25 per hour, per

bartender. One bar will service up to 100 guests. A bartender

is required for all groups. The Hotel encourages responsible drinking. As the sole licensee for the consumption of alcohol on our premises and the collection of appropriate taxes, we are responsible for

monitoring consumption and do not permit groups to bring alcohol

from the outside into the Hotel.

HOSTED CONSUMPTION BAR

Hosted Consumption Bar Prices are based on a per drink cost. The

host is charged per drink based on an inventory of the bar before and at

the conclusion of the event. Please choose either Top Shelf or a Premium Brands. Prices exclude

Thank you for choosing the Embassy Suites Hot Springs Hotel & Spa for your upcoming event. We look forward to providing your guests with personalized, professional service. If you have questions about any

of the following guidelines, please contact your Sales or Catering Representative.

ESTABLISHMENT OF BILLING

DIRECT BILLING:

Direct billing accounts may be established for functions over $1,000.00. Our accounting department requires a minimum of thirty (30) days to process a billing application. Approved billing s are payable 30 days of receipt of statement. Should direct billing NOT be established, a signed credit card authorization must be provided to secure payment with full payment due upon conclusion of the event.

SOCIAL FUNCTIONS: When securing space for a social banquet event, a non-refundable deposit (amount determined by your Catering Representative) and signed contract must be received by

the Hotel to confirm your date and function space. The balance

is due 72 Hours prior to the scheduled function. A signed credit card authorization must be on file to secure any balance due. All deposits are non-refundable and will be credited to your final bill.

GUARANTEES

Guaranteed confirmation for the number of guests attending your function must be submitted to your Catering Representative 72 Hours prior to your function. Should you fail to contact your Catering Representative, your estimated number of attendees will be prepared for and billed accordingly. Meals will be prepared for

your guaranteed figure. Our kitchen will make every effort to duplicate your menu for additional guest, in the event this cannot be done, a substitute entrée will be provided.

Please note there are minimum numbers of required attendees detailed on our catering menus for certain selections.

OUTSIDE FOOD AND BEVERAGE

All food items served on the hotel premises must be supplied and

prepared by the hotels culinary team. All alcoholic beverages to be served on the hotel’s premises (or elsewhere under the hotel’s alcoholic beverage license) for the function must be dispensed

only by hotel servers and bartenders. Alcoholic beverage service may be

denied to those guests who appear to be intoxicated or are under age.

AUDIO-VISUAL, ELECTRICAL & ENGINEERING

We encourage you to rent audio-visual equipment from the Hotel as we are familiar with its operation. However, if you choose to provide your own equipment, in addition to a $75.00 per day electricity usage fee, you will be responsible for the set-up, tear-down and facilitation of the equipment during the meeting. If you require technical assistance a $25.00 per hour charge for duration of your meeting will be required. In addition, the hotel may charge

25% of the assessed rental value on all equipment brought in from any outside source. Special engineering requirements must be specified to our Catering Department at least three weeks prior to the

function. Charges will be based on labor involved and power drain.

INSURANCE & INDEMNIFICATION

Guest shall indemnify and hold Hotel and its affiliates harmless

from any and all claims, suits, losses, damages and expenses on

account of injury to any party in connection with the function or resulting from damage or destruction of any hotel property by guests or any attendee of the function on the hotel’s premises.

LIABILITY

The hotel reserves the right to inspect and control all private functions. Liability for damages to the premises will be charged accordingly. The hotel cannot assume responsibility for personal property and equipment brought onto the premises.

LOST & FOUND

The housekeeping department administers lost and found. The hotel cannot be responsible for damage or loss of any articles or merchandise left in the hotel prior to or following your banquet

or meeting. Security arrangements should be made for all merchandise or articles set-up prior to the planned event or left unattended for any time.

PARKING

The hotel is not responsible for loss or damage to the automobiles or their contents while parked on or off hotel property.

ROOM & SET-UP FEE

Function rooms are assigned according to the anticipated guaranteed number of guests. If there are fluctuations in the number attendees, the hotel reserves the right to assign accordingly the banquet function room. The hotel reserves the right to charge an additional fee for set-up changes made the day of the function.

SERVICE CHARGE & TAX

All food and beverage functions are subject o applicable service

charges and tax as specified on the contract. All food and beverage functions require a minimum number of attendees. Any function not meeting the minimum requirement is subject to a surcharge. Service fees are for bartenders, food stations attendants, cashiers and other additional service staff. All food or beverage functions under twenty persons are subject to a $50 surcharge. This is in

addition to the customary service charge and sales tax.

FOOD & BEVERAGE BUFFETS

To ensure we provide you with high quality foods and service, continental Breakfasts, Full Breakfast Buffets, Lunches & Afternoon Breaks are replenished for one hour. Dinner Buffets are replenished for 1 ½

Hours. Kids pricing: Ages 0-4: Free Ages 5-12: ½

price.

SHIPPING AND RECEIVING

All incoming packages should be addressed to your catering manager and marked with the company's name and date of your meeting. Due to limited storage space, boxes can be accepted no

more than four

working days prior to your meeting. A storage fee of $5/per day, per box will be applied to any materials shipped earlier than four days prior to the event. Boxes left on premises for longer than one week after departure without shipping instructions will be discarded.

HIGH SPEED INTERNET ACCESS (HSIA) RESTRICTIONS

When utilizing HSIA through the hotel, no outside equipment my be used including, but not limited to, routers (both wired and wireless), switches or the use of non-hotel approved security devices. Clients may provide their own patch cables should they be required. Should you require special equipment or need additional technical information on the Hotel’s capabilities, please contact your Catering Representative.
