Del Tura HOA Inc Regular Board Meeting 1 12 September, 2012 DEL TURA H. O. A. INC Regular Meeting of the HOA Board of Directors Wednesday September 12, 2012 Del Tura Clubhouse - Starlight Ballroom I. Call to Order: The September 12, 2012 regular meeting of the Del Tura H. O. A., Inc Board of was called to order by Vice President Bart DeGraaf. Attending board members were Ruth Ann Blevins, Bart DeGraaf, Jay Flanagan, Helene Glasson, Gloria Buzanis, and Betty Wright. II. Minutes of the Previous Meeting: The minutes for the meetings of the Board of Directors in the month of June were circulated to the HOA officers and Directors and posted on the HOA bulletin board for the residents review. Except for corrections to typographical errors made by the Secretary, there were no changes or corrections received as a result of the reviews. Minutes of the meetings are also posted to the Del Tura HOA website for review by the residents. There were no board meetings in July or August 2012. . III. Treasurer Report : Ruth Ann Blevins gave the August 2012 treasurer’s report, a copy of which is provided in the meeting records. This new report was read and posted to the HOA bulletin board. The report was accepted as presented. IV. Committee Reports: Entertainment Committee – Cathy Wallace reporting: Cathy reported the dances for the summer season all made a profit. The Halloween dance will be October 31 st . Cathy asked that the board members support the entertainment by attending events. Erich’s two dances made the least amount of profit. Cathy also said the Entertainment committee has new members and a meeting is planned to begin planning events for the 2013-2014 season. Ken Bracher has resigned from the committee. Cathy indicated the special events committee is needed to handle decorations, parade and judging. A copy of Cathy’s report is included with the meeting records. Ruth Ann asked about a September dance and Cathy indicated there is a dance on September 22 with the Southern Express. Cathy indicated the summer dances do not have a large attendance. Special Events – Bart DeGraaf reporting: Ice Cream Social – Jayleen Ruffalo was not in attendance, Bart provided the dates and invited all to attend; October Fest is being handled by Joyce Cuffe and Nick Matarrese and more information will be forthcoming; Craft Fair – June Malonson was not in attendance but Bart indicated plans are moving forward. Membership – Doris Meyer reporting: Doris Meyer announced that to date, 994 households have paid for 2012. Collection for 2013 membership dues will begin Tuesday, October 9 th at the Coffee hour. Welcome Committee - Marlene DeGraaf reporting: Marlene reported that most of the committee members have been on vacation although they visited a few new residents who have filled out the welcome committee’s information form. The forms are given to them at closing to be filled out so we are able to call them and set up a time to bring them the packet that explains all of the activities that are offered in Del Tura. New residents who have not filled out a form may pick one up at the HOA office, then fill it out and place it in Marlene’s mailbox in the HOA office.

DEL TURA H. O. A. INC Regular Meeting of the HOA Board of Directors

Wednesday September 12, 2012 Del Tura Clubhouse - Starlight Ballroom

I. Call to Order: The September 12, 2012 regular meeting of the Del Tura H. O. A., Inc Board of was called to order by Vice President Bart DeGraaf. Attending board members were Ruth Ann Blevins, Bart DeGraaf, Jay Flanagan, Helene Glasson, Gloria Buzanis, and Betty Wright.

II. Minutes of the Previous Meeting:

The minutes for the meetings of the Board of Directors in the month of June were circulated to the HOA officers and Directors and posted on the HOA bulletin board for the residents review. Except for corrections to typographical errors made by the Secretary, there were no changes or corrections received as a result of the reviews. Minutes of the meetings are also posted to the Del Tura HOA website for review by the residents. There were no board meetings in July or August 2012. .

III. Treasurer Report:

Ruth Ann Blevins gave the August 2012 treasurer’s report, a copy of which is provided in the meeting records. This new report was read and posted to the HOA bulletin board. The report was accepted as presented.

IV. Committee Reports:

The Welcome Committee plans another get-together for October. The date is not yet set. Information will be given at the Tues. Morning Coffees and flyers will be given to the new residents at their homes.

Coffee Committee – Jay Flanagan reporting: Jay reported the number at coffee is down, just over 100+ this week, but it is expected to pick up soon.

Supplies are plentiful. Federation of Manufactured Homeowner Organization (FMO) – Betty Wright reporting:

The FMO district had not held any meetings during July and August. Our office in Largo, Florida accepted an article and photographs about the Del Tura 9/11 and Veterans Memorial which have been published in the September/October issue of the FMO magazine. Membership applications from three residents have been received since our last report, and notices of renewals have been sent out by the FMO office in Largo. I also received some information regarding FMO’s Insurance Committee and an article will be in the next Tower. The FMO has issued a Watchdog notice regarding Citizen’s Insurance and is posted on the FMO Bulletin Board. I recommend if you have Citizens Insurance you take a look at the notice.

Policy and Procedures – Betty Wright: Procedures are current at this time; Tony is working on updating guidelines for the International Food Fair, the Book department downstairs and The Tower. The rest of the procedures are as is.

The Tower – Doris Meyer reporting: In announcing Doris, Bart indicated Doris is to be complemented on the new magazine format and

content. Doris stated she is upgrading her computer skills and editing. The paper has gone well. 1000 copies were printed, 25 went to the HOA office with copies to also given to Hometown. Bob Stein and printer have been very cooperative. Text is in place for the October issue.

Lighting – Doris Meyer reporting:

Doris indicated there was no request for new materials. Everyone is getting ready for the new season. Jay Flanagan present Doris with two of the new shirts authorized by the HOA Board for the Lighting and Sound crews. The shirts are black polo style with Del Tura logo and sound or lighting staff indicated on the shirt in gold embroidery.

V. Old Business

The Wall – Barry Gidley reporting: Barry reported that the Cape Coral City Council approved Hometown America’s request to build the wall

from the outside using Cape Coral’s property. Hometown has to provide the Council with documents within the next 60 days, and Lee County is ready to move forward. Hometown has indicated that they have the builder ready to start the initial phase in the next few weeks, even if the final approval on the other phase of the wall is not yet received.

P-10 – Bart DeGraaf reporting:

Bart said he has collected about 75 of the forms from new homeowners regarding P10. He also indicated that he and HOA Board Director Helene Glasson met with attorney Robert Burandt on September 11th, 2012. They discussed strategy and Robert Burandt indicated some additional information is needed. Once the information is returned to the attorney, Burandt will provide additional direction and recommendations.

Trash and Treasure – Barb Blanton reporting: Barb reported that things are in full swing for the March 8th and 9th 2013 trash and treasure sale. Volunteers are needed. Barb expects to have a pancake breakfast on that Saturday morning. She is forming a committee to determine how to disburse the more than $8000 from this year’s sales. Barb is also looking to form a group consider how to aid residents within Del Tura, .in addition to the other charities being supported.

Ruth Ann Blevins announced that funds from donations from residents in November and December were set up in a separate account for holiday baskets. Funds were not co-mingled with monies from trash and treasure. (Note: 2011-2012 is the first year that trash and treasure and the holiday baskets became HOA sponsored and fall within the procedures for HOA sponsored events.).

VI. New Business .

Key for TV – Teddy Reid: Teddy Reid, who provides leadership for a number of exercise activities three days a week, requested a key to the HOA TV. Teddy explained that there were times when obtaining the key from the HOA office was inconvenient. Teddy said the classes are also held on some holidays when the HOA office may be closed. Discussion followed Teddy’s request, with explanation from Jay Flanagan concerning the need to control the number of keys available to committees and residents. Jay made a motion to keep the single TV key in the HOA office because of the need to control access. Gloria Buzanis seconded the motion. Helene Glasson voted no; the remaining board voted yes and the motion passed.

Copies from HOA Copier – Gloria Buzanis: Gloria restated the current policies regarding copies made for residents by the HOA volunteers, and when payment is required. However, there has been confusion regarding the various committees and organizations ability to make copies, and Gloria requested the Board determine when such organizations or committees should be charged. Initially, Gloria considered a motion to limit copies, but there was further discussion regarding actual cost to the HOA, but the information was not available. Gloria made a motion to table the copy issue until the Board was able to verify the cost per copy. Ruth Ann Blevins seconded the motion and there were no dissenting votes and the motion carried.

Lee Memorial Outreach – Bart DeGraaf: Bart indicated that Joyce Cuffe and Florian O’Day, Hometown manager have been in discussion regarding having Lee Memorial Outreach set up an office within Del Tura for the convenience for residents. There needs to be a decision regarding site location, costs, availability, etc. No decision has been made at this time.

Statutory Committee – Bart DeGraaf:

Bart announced a new statutory committee would be forming and volunteers are needed. Bart explained that we want representation from the community.

VII Floor Comments

Bob Miller: Bob Miller indicated he will be willing to serve on the statutory committee. He also commented that residents who are not HOA members should not be provided with free copies from the HOA copier. Bob also indicated that he did not like the signs advertizing the PUB as he felt it cheapened the park.

Bart responded that the PUB signs are the responsibility of Hometown America.

Martha Miller: Martha indicated that last year when the FMO met in Del Tura, Hometown America refused to allow a sign indicating to the attendees that the meeting was being held in Del Tura.

Ellen Slusarski: Ellen expressed concern for the occupant at 4409 as he had not been seen, but someone was evidently using the property as there was often trash at the curb. Ruth Ann Blevins stated the young man, who had lived there, is now with his mother. There was no explanation for occupancy by others.

Barb Blanton: Barb inquired if the chain link fence being removed to make way for the new wall could be donated to the ARC facility for animals as they frequently have need of additional fencing.

Bart explained the request would need to be made to Hometown America. Barry Gidley offered to talk to Hometown about the fencing as they begin construction.

Bart DeGraaf asked if there was any further business. As there was no indication of additional business, Ruth Ann Blevins made a motion to adjourn, Jay Flanagan seconded the motion, there were no dissenting votes and Bart DeGraaf declared the meeting adjourned. Respectfully submitted:
