Minutes of the 2015 Nazareth Lutheran Church Congregational Annual Meeting

Sunday, January 17, 2016

President Mark Lewis called the meeting to order at 11:05, and Pastor Marcia opened with prayer. 16 members of the congregation were present for the meeting.

The secretary read the minutes of the 2014 meeting and they were approved as read.

The Committee Reports were approved as presented the reports were approved by the congregation with all ayes.

Old Business: Nothing to report.

New Business: $2,000 had been proposed for 2015 Synod Mission support, but only $1,195 was

given. John Egeland moved that we increase the donation by $228.00 to the proposed $2,000.00 Nancy Weatherman seconded and the motion carried. Nancy Weatherman motioned that the 2016 Mission Support should be $2,000, seconded by Steve Lewis. Motion carried.

Designation of offerings Ash Wednesday, Maundy Thursday and Good Friday should go to MICA; Christmas Program, Christmas Eve and Christmas Day to the General Fund. Dave Lewis moved to accept as is, seconded by Steve Lewis. The motion was carried.

Congregation was informed of the status of the sale of the property. The property has been surveyed. A question from the members was presented on what would happen to the money coming from the sale. Although there was not a definite discussion on what to do, it was suggested that some of the funds would replace money taken from the Capital Improvement fund.

Also the congregation asked if the church was considered in the “Red”. The treasurer, Lisa Smith, noted that the bank accounts still had money and that although we were not behind on any bills, we are skating close to the edge.

The 2016 budget was approved by a motion from John Egeland, seconded by Steve Lewis, with special attention given to an overall budget increase of less than 1% even though there was an increase in medical and property insurance this year.

Pastor Marcia motioned for the approval of the 2016 Ballot and seconded by Vince Tomlinson, with approval of all ayes by the congregation. Pastor Marcia wanted to thank the Council for their work in 2015.

President Mark Lewis exercised his authority to bring the congregation back to order, the meeting was adjourned at 11:23.

Pastor’s Report

Now the boy Samuel was ministering to the Lord under Eli.  The word of the Lord was rare in those days; visions were not widespread.  At that time Eli, whose eyesight had begun to grow dim so that he could not see, was lying down in this room; the lamp of God had not yet gone out, and Samuel was lying down in the temple of the Lord, where the ark of God was.  Then the Lord called, “Samuel!  Samuel!” and he said, “Here I am!” and ran to Eli, and said, “Here I am, for you called me.”  But he said, “I did not call; lie down again”  So he went and lay down.  The Lord called again, “Samuel!” Samuel got up and went to Eli, and said, “Here I am, for you called me.”  But he said, “I did not call, my son; lie down again.”  Now Samuel did not yet know the Lord, and the word of the Lord had not yet been revealed to him.  The Lord called Samuel again, a third time.  And he got up and went to Eli, and said, “Here I am, for you called me. Then Eli perceived that the Lord was calling the boy.  Therefore Eli said to Samuel, “Go, lie down; and if he calls you, you shall say, “Speak, Lord, for your servant is listening.” So Samuel went and lay down in his place.  Now the Lord came and stood there, calling as before, “Samuel! Samuel!”  And Samuel said, “Speak, for your servant is listening.” 1 Samuel 3: 1-10

This is a call from God for Samuel.   Samuel does not recognize the Lord’s voice nor does Eli at first. We all have difficulty taking time and listening for the Lord’s voice. The key is to listen as Eli instructed Samuel.  We need to say “speak, Lord, for your servant is listening.” This all may take time which I encourage each of us to listen for God’s call.

The year of 2016 is over and an amazing amount of ministry was accomplished.  Yet, also many struggles occurred.  Most of the struggles were the amount of money coming in each month.  Through the last 3 to 4  years we have been not been able to meet our budget.  We have been using money from the building support fund.  Over this year we spent the majority of that money.  We were able to add 20,000 to the account because of the sale of some of our property to the city of Cambridge.  We realize it will not last long if we continue on the path we were on.  I spent a great deal of prayer, listening to God, in what to do about my call here at Nazareth.  What came to me was that I go to ¾ time in my call here and take a part time job.  This is not a solution to our problem of money but we should be able to continue ministry for the year.  We do need to talk about what is our future as a church.  We need your prayers seeking help from God in what we are to do.  We will discuss and vote on the ¾ time at the annual meeting and we hope we can continue the conversation on our future.  But please, fear not, for God is with us.

Yes, we struggled with money and still do but some amazing ministry continues at God’s church.  Several members requested an adult Bible Study.  We began in September and meet on Wednesdays after confirmation class.  It has been a tremendous time to gather and study God’s word and how the scriptures affect our

daily lives.  We hope that more will attend either on Wednesday evening or Sunday morning at 9am.  Another ministry, small but has had a wonderful effect on the church is our weekly fellowship time after worship.  When I arrived 18 years ago we had stopped meeting after church.  Then around five years ago we met once a month for fellowship.  Now, we gather each Sunday for conversation, coffee, and treats.  It has given all of us time to get to know each other better.  I appreciate all of you staying and sharing with each other.  Plus who doesn’t like the treats.  Thank you Joyce Allen, Nancy Weatherman, Pat Bartleson, Lisa Smith, Tim Smith (best ever Christmas cookies), Jamie Lewis, Eileen Lewis, Dale Dunlap, Janis Hovland, Nathan Hovland, Jane Rhode…

Another ministry that continues to amaze me is the Women of the ELCA which continues to meet once a month for a meeting and Bible study and also meet to quilt. The numbers are small but the faith is rich and deep.  For our monthly Bible study we have begun to read scriptures, with the gospel of Matthew.  To read scripture and share rich stories from these women of faith is amazing.  The women gave quilts to the local clothing pantry and several local families in the immediate area.  Giving the warmth of Christ’s love touches my heart each year I get to be a part of spreading that ministry. God Bless these women...Pat Bartleson, Nancy Weatherman, Beverly Way, Joan Weatherman, Bessie Swanson, and Sandy Plager.  With the help many times of Kim Rardin with the quilting.  This is a powerful ministry and even though we are small in number we are doing great work for God.

When I first arrived at Nazareth I admit I had no clue how to teach children, minister to children, or love children.  Through God I have been given much love for our children and love for teaching.  For Sunday school we meet each Sunday, as you all know, in a small group.  Anywhere from 4 - 8 children.  In the past three years we have been concentrating on lessons from scripture and they love anything to do with painting or playing any game.  Each week on Wednesdays we meet for confirmation.  They are very insightful and do very well with memory work.  They are also your typical 11, 12, and 13 year olds.  Their attention span is short but I love each one dearly because they do challenge me but I do believe they have great faith in their God.  I look forward to their growth as Christians.

We did do two major fundraisers this year: the Silent Auction and Craft and Bake Sale. I am not sure how much longer we can do these events because we just don’t have the people to do the work, especially the bake and craft sale.  It will have to be discussed and we can make the decision about the fundraisers the closer to the events.   Change is not a bad thing and it is important to think of how these events add to the ministry of God’s church.

I would like to thank Ellen Olson and Sheila Duhn for sharing their gifts of music with us at Nazareth.  We are very blessed to have accompanist each week.  It has been very good of Sheila to play for our choir this past year.  I feel our music has been enriched this year during worship.  Joyce Allen and Steve Lewis have done a very good job trying to pick hymns that are new and tie in to the worship service.  Some we have to take time to learn but it is joyful to sing a variety of hymns each Sunday and to remember the familiar also.

As we look to next year please pray and listen to God about the ministry we are suppose to be doing for our community and our world.  We need to spend time looking to the future...where should we be going as a church?  How do we invite more people to worship in God’s church?  How do we invite more people to study scripture?  How do we invite more young people to attend Sunday school and hear the word of God?  How do we invite more people to attend confirmation and learn more of their faith as they grow up?

I understand the fear we all have of change in our lives, especially our church life.  Yet, we need to change because we are no longer a church that can fully support a full time pastor but who are we?  What kind of church are we?   Let us listen together and seek our answer from God, together.  If you get the message be sure and let all of us know. See you in church and for fellowship to follow...treats and all!

Christian Education Committee Report

Another special year for Christian Education. We averaged 8-10 in Sunday school. In the fall we heard the stories of our first missionary in the church, Paul. It was a great reminder for me of how much Paul did for the church. One of my favorite memories is the children acting out Paul in prison and an earthquake happened, the door came down, but Paul stayed singing hymns and waiting for the guard to come. The children acted out the story and even sang hymns (Jesus Loves Me and My Peace) and told the guard, played by Mike Lewis, how much Jesus love him and then they left prison and went to the guard’s house to have a treat. The guard’s house was our Sunday school room and the treat was donuts. It was a great day.

Vacation Bible school was held at the Methodist church this year and the theme was around caves. Thank you to Wendy Dubberke, Lerin Hermanson, JoLynn Lund, and Joyce Allen for helping again by teaching and serving meals. This year we also had special visitors the police, fire department, thanks Jake Hermanson, and our very own personal trainer, Skyler Olson. We also average 60 students and 20 helpers.

The Christmas program was held on a Sunday morning, December 18th. We stopped doing the program at night, due to low attendance. So usually there are more at the program on Sunday morning, although we have trouble having good weather on the program day. This year it was so very cold and icy so we only had 18 in church, most of them the children.

Property Committee ReportNazareth finally closed n the sale with the city for the property west of the

church. We received $20,000.00 and an updated abstract in October 2016.There were some minor repair work done in the bathroom of the parsonage to the

toilet and a water leak.The council has received a bid for an updated sound system for the church. Curt

Ceynar will purchase and install the components for us. We are currently accepting donations for the sound system. But any remaining expenses will be be covered by undesignated memorial funds.

In-reach/Out-reach Committee Report

Fellowship every Sunday following worship. It was a joy to have so many people stay for coffee and fellowship. It was fun to get to know people and what is happening in their lives.

Two fundraisers: The Silent Auction and a very small Bake and Craft Sale. We went back to making Lefsa, although it still was a small event. We will discuss how we can do this event differently. The Lefsa sold well and the gift cards. The Silent Auction went very well but a great deal of work. Thank you to Tim Smith, Lisa Smith, Jamie Lewis, David Lewis, Joyce Allen, JoLynn Lund, and Nathan Hovland for collecting items. The day of the auction thanks to Eileen Lewis, JoLynn Lund, Nancy Weatherman, and Joyce Allen.

Music and Worship Committee Report

Music and Worship Committee met three times this year to pick out hymns for the weekly worship service. The choir sang several times during Christmas, Lent and Easter.

Again Joanne Olson and Steve Hurst played mandolin and guitar for the Christmas Eve candle light service. This has become a tradition for us a Nazareth. It is a very quiet and intimate worship service. Thank you to these special musicians.

A very special thank you to Ellen Olson and Sheila Duhn for being our accompanists during the year. They are dedicated and wonderful musicians.

Madrid Home Report

Again the Madrid campus worked very hard at serving our aged in the community. Madrid was home for Carly Bartleson for a time and we thank them for the love and care they showed our beloved brother-in-Christ. As a member church to Madrid Home there was a place for Carly at the Home and he did not have to go on a waiting list.

Madrid Home 39th Annual Madrid Home Meeting of Delegates was held on Thursday March 17, 2016. Delegates, members of the Board of Directors and spouses, pastors of Member Churches and spouses, staff members, and guests enjoyed a special meal in the main dining room at 6:15 p.m. on Thursday, March 17, 2016. The Board of Directors held 8 meetings this past year and also met for Board education in October. Several of our accomplishments and activities included in and in addition to those listed in the Madrid Home Annual Report are:

Continued to give Madrid Home residents additional control over their daily lives by adjusting staff work schedules to accommodate residents’ preferred routines and to build even better relationships between caregivers, residents and families.

Ordered new exercise equipment for Ballard Creek to implement an exercise program at a cost of over $19,000. This was mostly funded by a grant from the Alma Pedretti Charitable Foundation and the Hiker-Pedretti Charitable Foundation.

Purchased land adjoining the Ballard Creek campus for the development of independent living.

Opened a newly remodeled galley kitchen for the 2nd Floor West Wing dining room.

357 full and part-time employees served over 300 individuals in Madrid and Huxley.

Embraced our commitment to ACTS Fund charity by providing assistance to individuals at Ballard Creek Community and Cedars totaling over $53,000. Charity services totaling nearly $62,000 were also provided.

We provided charity care through our ACTS Fund in the amount of $53,297 - $22,947 at Ballard Creek, $24,410 at the Cedars, and $5,940 in the Independent Living Apartments.

Amanda Thompson, Friends of the Madrid Home Coordinator, gave a report on last year’s activities in the Friends of the Madrid Home. In 2015, 325 volunteers provided over 10,500 hours of service to residents at the Madrid Home, Ballard Creek, and the Cedars. The contributions and impact of volunteers at Madrid Home Communities is immeasurable. We continue to rely on the generosity of our volunteers and donors and appreciate all of the hard work and support we receive every day.

Madrid Home President, Keith Kudej briefly discussed several items that were presented in the packet. He emphasized the Mission, Vision, and Values. Keith also noted the handout on Partnering with Member Churches. This details the expectations and responsibilities that come with being a member church of the Madrid Home.

Keith emphasized our commitment to providing charity as part of our mission of service. He noted that the success of the Madrid Home has been built on the generosity of our supporters, not on the fees charged to our residents. Keith explained

the importance of wills and estates to the success of the Madrid Home. This is the types of generous gifts that help us understand that the Lord provides for those who do His work.

Keith reported that he still considers independent living a vital foundation to the Madrid Home continuum of care as it helps maintain census in the assisted living facilities and the nursing home. Last year we purchased land adjoining the Huxley campus in anticipation of adding independent living. We are currently working with Duane Jensen from JCorp in Huxley to develop site plans for the Ballard Creek and Cedars campuses.

We realize our 4-story nursing home needs to be replaced. The building is outdated, difficult to staff and is becoming more difficult to maintain. We are investigating a new cottage style skilled nursing home that includes only 15 private rooms and one double room per building. Keith envisions four of these skilled nursing cottages on the Cedars campus in Madrid. They would be linked to each other and to the Cedars. He also envisions two skilled nursing cottages in Huxley linked to Ballard Creek.

Cambridge Food Pantry Report 2015The Cambridge Food Pantry has served 30 families this year. This is about the

same as last year. We still use the Food Bank, but because the Food Bank has USDA food, we have more things to fill out. We have guide lines we have to follow. Steve Durby and Wyatt Thorson helped me loand and unload from the food bank. We had donations from Ballard Schools, the Boy Scouts, United Way, Iowa Select we got pork loins, Huxley Communications, both churches and lots of other donations. We have one person who gives us laundry and dish soap and other things that people can not get with food stamps. We can only have a food pntry if people are willing to donate.

We have four volunteers from each church. From the Lutheran church we had, Nathan Hovland, Dale Dunlap, David Jamie Lewis Janet Thorson. From the Methodist church we had Nancy Fry, Sonja Carmon, Pam Anderson & Carolyn Sesker. We could not do this without these people.

WELCA Reports

WELCA Secretary Report There were six meetings held with an attendance of six ladies. Meetings will resume April 12, 2017.

Ten quilts were distributed the Ballard Clothes Pantry for their Christmas Wishing Tree Project. Eleven Quilts were delivered to the Ames Shelter for Battered Victims, and three were given to local families by Pastor Marcia.

A$50.00 donation was given to Heifer International for the purchase of a goat.

In 1991 Nazareth invested $5,000.00 from the Doris Lewis bequest in the ELCA Mission Loan Fund. This fund loans low interest monies to build new churches. The balance in our account as of November 30, 2016 was $9,454.91.

2016 Nazareth SCRIP Account Report

On August 8, 2016, a checking and a savings account were opened with the South Story Bank with plans to switch our general fund accounts over to the new bank to avoid finance charges. Before the accounts were closed, Fidelity Bank offered to drop any service fees if we would keep our accounts with them. The council decided to keep the general fund accounts with Fidelity Bank and use the South Story Bank accounts for SCRIP.

Pastor’s HoursIn the last few months Pastor Marcia and the Council have been looking for ways

to save money for the church. In the last 6 months we have had to take $4,959.00 from the savings account and the capital improvement accounts just to make the budget.

Pastor Marcia has suggested that she start working as part time and find a part time job in the community. We have tried this approach for the last month. Pastor Marcia is struggling with this choice. She is concerned that she will not be available enough for a parishioner if they are in need.

It was presented during the November Council meeting that she work ¾ time as pastor. She would have 2 days off during the week; currently she is only off 1 day per week. The church will cut her salary to ¾ of the current amount, and her pension will

also be cut to ¾ of the current value. The church will continue to provide health insurance and pay for housing and the utilities at the parsonage.

The proposed salary would go from 39,300.00 to 29,475.00 annually. The pension will then be cut from approximately $6,000.00 to $4,600.00. This will be an estimated saving to the congregation of $11,225.00.

This change will not take effect until after the Annual meeting in January. The congregation will need to approve the change to Pastor Marcia’s employment status and pay.

Below are proposed budgets with the cut to Pastor Marcia’s hours and without. At the bottom of the proposed budgets is the required amount monthly to meet the budget.
