An update from Matthew Winn, Chief Executive The NHS staff survey results were published this week and for the fourth year in a row, you have rated our organisation incredibly highly. I am very proud of the culture we have all created together, and particularly that in 8 of the 11 areas, you rated us the best in the country compared to our peers. If you’re interested in being involved in developing plans to improve our working lives, please do let Anita Pisani know. On Monday I spent a great day in Luton, kicking off by welcoming a fantastic group of new staff to the Trust at our regular induction event; followed by spending a few hours with Alex Stanton in our safeguarding team understanding what was important to them and culminating in presenting the very excellent Luton Phlebotomy Team (opposite) with their Shine a Light awards. Letting Patients Know About the National Data Opt-Out

We’ve produced a simple guide to the National Data Opt-Out which we need to implement by March 2020. The guide lets patients know how to find out about this NHS scheme and how to exercise their right.

The opt-out applies to secondary use of patient data, i.e. research and planning, not to use for providing health care. The actual scope of its application to the health data we use is limited, but where there is a proposed transfer of patient data e.g. to a local authority for them to do health management analysis, we need to ensure the data of any patient who’s exercised their right to opt out is not sent. This is done by checking on the NHS Spine. TPP have implemented a simple solution to this and a SOP will be developed to explain how the technical steps are complied with.

All patient-facing locations need to display a leaflet making the public aware of their rights and these will be provided to services by the Communications Team at strategic meetings over the next few weeks. Managers should check with their line managers if they haven’t received one by the end of February.

You can find out more about the national data opt-out training from HEE here. In addition you’ll find guidance on becoming compliant from NHS Digital here and help with understanding the national data opt-out here.

Meadows Mail

Quite a lot of mail arrives at The Meadows in St Ives which is just addressed to ‘CCS at Units 7/8’. Please could you ensure that the relevant named person or department is included too as this will help to ensure post is directed to the correct person and/or department as quickly as possible—thank you!

Seasonal Flu Campaign 2019-20

There’s just one week left before the end of our 2019-20 seasonal flu campaign which means there’s still time to receive your flu jab and be entered into our prize draw for an Apple iPad 2019 – 32GB.

The winner will be drawn at random on 28/02/20. All staff who’ve received their flu jab from the Trust or elsewhere (pharmacy, GP, Occupational Health, etc.) will be entered automatically into the draw.

If you’ve been vaccinated elsewhere but haven’t yet informed us, please complete the vaccinated elsewhere form and return it to the seasonal flu team at [email protected].

In addition, every member of staff receiving their flu jab is contributing to a significant donation to Unicef’s ‘Get a Jab – Give a Jab’ campaign.

Our uptake is currently 72% of frontline staff – colleagues who have not been vaccinated yet please email [email protected] and a mobile vaccinator will be arranged.

Survey for all NHS Staff: Time to Get Your Flu Jab Campaign

We’d like to invite you to take part in a survey relating to staff flu vaccinations. Whatever your thoughts on flu vaccinations, whether you’ve had the vaccine or not, and whether you deal directly with patients or not, we’re interested in what you have to say.

The research is being conducted by Kantar, an independent research agency, and will only take around 5 minutes of your time to complete. The answers you give will remain confidential and will in no way be attributed to you. If you’d like to take part, please click on this link to begin the survey. Valuing Our Volunteers Award—Don’t miss the deadline for nominations!

Our volunteers do the most amazing things every day and we want to celebrate the difference they make! Each quarter our Chief Nurse, Julia Curtis, will present a voucher and certificate to a worthy winner. The second award will be made in March 2020 so don’t forget to get your nominations in by 5pm on Monday 2nd March. More details can be found on the intranet here.

Next Generation Healthcare: Genomics for Nurses and Midwives

Nurses and midwives who are interested in genomics are invited to a free event on 10/03/20 from 10am-4pm, which is being held at the Cancer Research UK’s Cambridge Institute at Cambridge University Hospital’s biomedical campus. Find out about the new NHS genomic medicine service and the impact that increased generic and genomic testing will have on patient care. Click here for more details and to register. Reporting Crime

If you've been the victim of a crime or think you have witnessed one, you should report it to the police straight away. Your information could be used to prevent other crimes and help keep other people safe. Find out about the different ways of reporting a crime here.

If it’s an emergency i.e. someone’s in danger and you need immediate support, you should always call 999. However, did you know you can now report a non-emergency crime including assault, anti-social behaviour, criminal damage, fraud, harassment or theft to police online as an alternative to phoning and receive a response within 24 hours?

Urgent and Emergency Care (UEC) is currently delivered by a range of providers across the Cambridgeshire and Peterborough area. To help deliver improvements for patients and drive innovation, the providers have committed to working closely together as a ‘UEC Collaborative’ to identify ways in which they could deliver a new, more joined up, 24/7 urgent care service, making best use of our limited, highly valued workforce from October 2020. This focuses on the following local urgent care services:

Out of hours GP services (both those who work from a base and those who offer a visiting service)

The Minor Injury Units and Urgent Treatment Centres NHS 111 JET (Joint Emergency Team GP streaming and other urgent care assessment at the front of our hospital emergency departments (ED). Cambridgeshire and Peterborough CCG is keen to hear feedback from health

professionals who deliver or are involved in these services and invite you to share your feedback at one of their forthcoming listening events below. In particular, they’re keen to understand your views and perspectives on the following:

1. How does UEC same day provision in your system currently meet patient needs?

2. What are the local issues? 3. What would you do differently if you had responsibility for improving

UEC services in your area?

Background information on the UEC Collaborative can be found here. To secure your place at one of the events below, please email [email protected].

Friends and Family Test (FFT)

It’s just six weeks until the new FFT question comes into use.

Remember that QR codes and web links will continue to work and can be used as normal but any paper surveys need to be updated with the new questions which are:

Thinking about the service we provide, overall, how was your experience of our service?

Please can you tell us why you gave your answer?

Please tell us about anything that we could have done better.

Meridian Becomes IQVIA

The changeover to IQVIA Connection (new name and look Meridian) will take place on 1

st April.

All your Friends and Family Test data, patient comments, feedback and survey results can be found here using the same link and login details as before.

A video user guide will be available very soon to show you around.

If you need help to get printed copies to get started or have any questions please

email the Patient Experience Team at [email protected].

Awake Behind Closed Eyes

A book written by Alex Jelly, a patient at Oliver Zangwill Centre about her treatment and recovery from a rare and aggressive brain tumour has recently been published. ‘Awake Behind Closed Eyes’: Life after a Rare Brain Tumour and Supplementary Motor Area Syndrome was co-authored by Alex’s consultant neurosurgeon, Adel Helmy, and Barbara Wilson OBE from the Oliver Zangwill Centre for Rehabilitation (pictured with Alex, centre).

The book is available to buy from many different retailers as paperback and also in e-book format.

Alex said: "I hope this book will go some way to both explaining SMA Syndrome in an easy comprehensible way for lay people (patients plus families and friends) and for showing the patient's perspective for medical staff and students. That's why I wrote the book that I wish had been available for my friends, family and care team at the time of my illness."

Barbara Wilson, OZC founder and Alex’s clinician for neuro-rehab said: “This book tells the story of Alex, a professional fundraiser who developed a rare brain tumour, a papillary meningioma, which was successfully removed. She was left with Supplementary Motor Area Syndrome.

“We learn about Alex’s early life and employment, together with the early signs that something was wrong. Her neurosurgeon, Adel Helmy, tells us about the successful surgery and the post operative journey. Alex recalls her early problems including motor and speech impairments and a temporary psychosis. We hear about the neuropsychological rehabilitation she received at the Oliver Zangwill Centre in Ely near Cambridge and her gradual return to health.”

Trust-wide Email and Telephone Directory

We now have a Trust-wide telephone directory which lists contact details for all our services. This is an action from lessons learnt from the Trust’s previous responses to business continuity incidents. It’s been agreed by our EPRR Operational Committee that this document will be reviewed quarterly by each service and any changes will be reported to the EPRR Team at [email protected]. You’ll find the directory on the intranet here.

Oracle

Thank you to all for your patience and understanding during the transition to Oracle. We’ve all faced a number of challenges which has required a huge amount of cooperation from all teams and I’d like to thank everyone for their patience.

A number of issues have been highlighted by services which have been escalated to the SBS team for swift resolution. George and Varoosha in the Finance Team have also provided support and training and are always available to help anyone who’s having problems so please email [email protected] or telephone 01480 822071/822072

SBS have acknowledged the issues and have put additional processes in place to address the problems we’ve all experienced, which we should start to see the benefits from over the coming weeks. This includes:

Not all current suppliers had been set up on the new system. SBS are in the process of completing a full supplier review to ensure all suppliers previously used on Integra are available on Edge4Health. We review progress weekly.

The new SBS contact centre team have not always provided accurate information. SBS are reviewing the processes at their contact centre to ensure consistent, meaningful messages are being given out. If you’ve not received a helpful response or one that conflicts with known Trust practices, please query directly with SBS and then email the finance inbox at [email protected] with the details, so it can be logged and escalated.

Staff do not feel the training covered all aspects thoroughly - SBS are producing a training and queries guide to help all staff. If you feel your team would benefit from local training, the Finance Team can arrange a session to run through the processes in Oracle. If you’d like more information, please email the finance inbox.

Staff in Luton and Bedfordshire could not use the system due to EPUT network issues - A fix has been implemented in Luton and Bedfordshire which should have corrected this. If you’re still having problems, please contact the finance inbox.

Not all regularly procured items were loaded in the catalogues - SBS have been working to update these and we’re reviewing progress weekly. If you can’t find your item, please email [email protected].

Important Changes to Payroll and Pensions

In last week’s Comms Cascade, we mentioned that our payroll service, which is currently provided by NHS Shared Business Services SBS, will continue to be provided by them under a new service contract from 1 April 2020.

There will be no change to your pay, pay day or payslip, however the way you contact your payroll and pensions provider will change.

So what’s different?

NHS SBS have a new dedicated payroll and pensions service desk to assist you. From 1 April, if you have a query with your payslip, please contact NHS SBS by registering and logging your query on https://nhssbs.microsoftcrmportals.com or alternatively telephone 0303 123 1144. Please note that from 1 April, you will no longer be able to send an email. However, logging your query on the portal will enable you to see the history of your query as well as provide confirmation that it’s been acknowledged.

From 1 April, you’ll have access to FAQs specific to CCS 24 hours a day via the provider’s online portal.

National Health Data Survey - How do you think health data should be used?

CCS are recruiting to a national survey investigating how you think health data should be shared and used. You, your staff, colleagues, family and friends can all complete this survey and we’ll get recognised recruitment within CCS for each completed questionnaire.

The survey takes approximately 20 minutes to complete and can be found here. When asked how you heard about the survey mark Hospital/Clinic/Community setting and select Cambridgeshire Community Services from the drop down.

Have your say on an important issue and recruit for the Trust at the same time! You can read more about the survey here. If you have any questions please email [email protected].

Why Not Nominate An Inspiring Colleague for a HEAT Award?

Nominate someone today for the 2020 HEAT (healthcare education and training) Awards which recognise and celebrate the very best in education, training, leadership and workforce planning across the NHS in England.

It’s easy to nominate an inspiring colleague or team through the Health Education England website and you can hear what it means to win from some of last year's winners—including our very own Training and Development Manager, Sallyann Woodthorpe, in this short film.

Nominations for the awards, which are supported by NHS England and NHS Improvement and NHS X, are open until 27/03/20.

Non-attendance at Face-to-face Training (Resus and Moving and Handling of Patients) Our Trust’s committed to ensuring that all staff have access to training which is essential to their role and that they practice safely for both themselves and for the patient.

We structure our training schedule for a year in advance to give staff the opportunity to schedule around their working rotas, and each session has a maximum number of places available.

During the last year, there’s been a significant number of DNAs (did not attend), and in the majority of cases these were not reported to SBS or the ESR training department. Had they been reported, we could have offered these places to other members of staff on the waiting list.

We understand there are circumstances around non-attendance but we urge you to inform either department by email as soon as possible to [email protected] or [email protected]. Completing Training Already Completed on ESR

To complete training that’s previously been completed on ESR, press the ‘play’ button which can be found on your ESR learner homepage under e-learning enrolments.

You will then be presented with the options below:

Please click on the ‘renew and play’ button. This will then renew your subscription to the certification and the status will show as ‘not attempted’.

If the ‘renew and play’ is not clicked, the training completion date will not be overridden with the new date and we will ask you to

complete the training again.

If you need any further assistance in renewing your training please contact the ESR helpdesk by email [email protected] or telephone 01480 822038.
