Before installing the Operating System, I should always check the system requirements for the Operating System software I am upgrading to. In doing this Mr Smith can check if the installed Hardware he has on his system meets the system Requirements to run the Operating System.

However, if Mr Smith doesn’t have the correct Hardware components, The Operating System is not compatible to run on his PC because of his Hardware components as well as the software.

Mr Smith has sufficient CPU and RAM to run the Operating System on 64-bit Operating System. Mr Smith has sufficient Hard Disk Space to install the software (Provide Pic)

Resources required before installation of Operating System

Before upgrading the Operating System and other Software (Adobe Photoshop, Avast Anti-Virus and Microsoft Office) I should have the following resources on hand before the installation and make sure these are working before upgrading the software.

User Manual The user Manual is a step by step (user friendly) instruction manual and step by step guide for users to follow and guide the user on how to install the software successfully.

Product license product key The product key is a unique 25-mixed digit code consisting of letters and numbers. This product key is legally purchased and not illegally copied and is also your own individual copy.

Receipt of purchase The receipt of purchase is important because if any errors occurred or problems with the software or other problems involving software the receipt of purchase is always needed if an exchange or refund.

Internet Connection A stable wireless or Ethernet connection is required when upgrading the software

Adobe Photoshop CC 2017 Avast Anti-Virus 2016 Microsoft Office 2016 Windows 8 Professional

To make sure the Software installs the key recommended updates needed for the software and that the updates are installed successfully.

External Hard Drive An External Hard Drive is needed to have an alternative backup of Mr Smith’s Data and settings in case a problem occurs with the restore point whilst the restore point is restoring Mr Smith’s files and settings. Alternatively, an External Hard Drive must be on hand as a second source of backup to ensure there is a second backup of Mr Smith’s system settings and Data.

Step 1: Creating a restore point (M3 Part 1)

Before installing and upgrading to a modern or newer Operating System I should create a restore point of Mr Smith’s work and data because, when installing the new OS there is a problem or error I can revert to a previous point in time on Mr Smith’s system to get back his documents and data.

Upgrading the Operating System (Windows 8)

Step1: insert the Operating System Installation disk

I am inserting the Operating System install disk (64 Bit install) into the PC to install Windows 8 Pro.

Step 2: Set languages, time currency and keyboard method

This is the first step into setting up the Operating System. When upgrading Software, you can set the language you want of your preferred choice for the keyboard, time and language once Windows is installed.

The language I am setting: English (United Kingdom)

Time and currency format: English (United Kingdom) Keyboard or input method: United Kingdom

Step 3: Install the OS

This section gives the user (me) the option whether to install the OS (Windows 8) or repair the computer.

The repair computer allows for the user to reset the PC or have advanced options on what to do with the PC for example, reset the PC. There are no problems with Mr Smith’s PC, so I am going to click Install Now.

Step 4: Enter the product Activation license key

I am going to enter the product activation license key.

The product activation key is a 25-unique code formed of letters and numbers. But, is proof that the software (I am installing) is legal and is individually my own copy of the software.

I am fully aware of the license key I am entering is a purchased copy of Windows 8 Professional.

Step 5: Service Level Agreement

This is the Service Level Agreement. The Service Level Agreement is a contract between you and the manufacturer (who you bought the software from) saying you will not commit any offences in software terms for example, you will not manipulate or copy the data. Any doing of this is a breach of the Service Level Agreement.

If you do not accept the Service Level Agreement you will not get access to the software, you are installing.

I have read the Service Level Agreement and am fully aware of the consequences and rules when using and installing the software. I will click the I accept check box and then click next to proceed to the next stage of the installation.

Step 6: Installing necessary files, features and updates

1. Firstly, the OS files are being copied to the Hard Disk Drive ready for them to be installed.2. Secondly the OS files that have been copied are being installed on the HDD3. Thirdly the important and necessary updates are being installed for the OS to run smoothly and to maximum performance4. Fourthly the installation is completed (all files and data within the OS has been installed)

Step 7: Personalisation of colour and PC name

This part of the installation is a personalization part for Mr Smith. It allows Mr Smith to pick which colour best suites his needs for him to see better and not have any problems. Mr Smith is visually impaired so certain colours will not suit Mr Smith as the wrong colour choice may make it more difficult for Mr Smith to get his work done because of the colour.

However, it is not made clear what colours Mr Smith can see, so I am going to select the colour green as it is a basic bright colour and should be ok for Mr Smith.

Furthermore, I will customize the colour and contrast later within the customizations for Mr Smith.

So, for the personalized colour I select Green. And for the PC name I will name it Mr Smith’s PC.

Step 8: Set up Wireless or Ethernet connection

I am setting up the wireless connection for Mr Smith to access the Internet and other services. Mr Smith communicates electronically to his boss, so having a wireless or Ethernet connection is very important for Mr Smith. If Mr Smith doesn’t have an internet connection, Mr Smith will not be able to fulfil part of his job role by communicating to his boss electronically because you need an internet connection to access and send emails.

Step 9 : Create a User Account

This part of the OS installation allows the user to create a User Account for when the login screen appears. I either have the choice to create a local account or a use an existing Microsoft Outlook Account:

Local Account: A local account is an account that you simply create a username and password for when you boot up to the login screen where you enter your chosen password.

Microsoft Account: Using a Microsoft Account means you can use your Microsoft Outlook Account (Email account) by simply entering your password for your Microsoft Email Account. The Microsoft email you only enter once.

In Mr Smith’s case I will create him a local Account as I do not know his email or password for his email account.

Step 10: Creating Mr Smith’s User Account

I have created Mr Smith’s Local User Account with his:

Name: Mr Smith

Password: Mr_Smith16

Password Hint: Mr Smith (In case password is forgotten)

I have created Mr Smith’s User Account and have created a strong password with a combination of letters, upper and lowercase letters to ensure Mr Smith’s password is a good length and is not easy to hack. By me creating Mr Smith a longer password consisting of lower and numbers and uppercase letters this will improve the security of his OS.

Step11: The Installation of Mr Smith’s Operating System is completed

The installation of Mr Smith’s Operating System is now completed and has been successfully installed without no problems. Furthermore, I will customize Mr Smith’s new OS so he can use it efficiently and effectively.

1 st Customizations for Mr Smith’s Operating System

Increase in High contrast

One customization I have set for Mr Smith is increased in high contrast. As, Mr Smith is visually impaired high contrast will help Mr Smith carry out his work efficiently and more effectively as the increase in contrast will help Mr Smith see what he is doing more clearly when doing his work (graphic designs, Charts, bar charts)

2 nd Customization: Using Screen Magnifier to enlarge text and other items larger

Magnifier is an accessibility tool which allows Mr Smith to enlarge or make text and other items smaller or bigger such as tile bars.

In Mr Smith’s case, as he is visually impaired he needs to have larger desktop tiles. Having this tool will be a great benefit to Mr Smith because he will be able to see his work and Applications clearly and as the display is zoomed in he will have no problems with also straining his eyes.

3 rd customization: Voice dictation (Narrator)

A 3rd customozation I have done for Mr Smith’s new Operating System (Windows 8 Pro) is Voice Narrator.

Voice Narrator is an accessabillity tool which allows a voice to talk back to you when you for example, are clicking on icons or doing anything on your computer.

I have done this because Mr Smith is visually impaired and the voice narrator will help Mr Smith because it will read back to him what he is clicking on or when he is carrying out his work, So Mr Smith knows what he is doing and what he is clicking on.

Step 1: Upgrade of Application Software (Microsoft Office 2016)

I will be installing Mr Smith a new updated Microsoft update package. The Microroft package I am installing Mr Smith is Microsoft Office 365 Home edition.

Step 2: Agree to Service Level Agreement

This is the Service Level Agreement for Microsoft Office 2016. The Service Level Agreement is a contract between you and the manufacturer (Microsoft) saying you will not commit any offences in software terms for example, you will not manipulate or copy the data. I have read the Service Level Agreement and am fully aware of the consequences and rules when using and installing the software. I will click the I accept the terms of this agreement check box and then click next to proceed to the next stage of the installation of Microsoft Office 2016.

Customization 1: Setting default file location for Mr Smith’s Work

Mr Smith is a Graphic Designer and works on Graphic Designs (CD Front Covers, Logos) and writes reports, Calculates estimates, bar charts, charts and other charts. Mr Smith when working should have a Default file save location when carrying out any of his work (Graphic Designs, Reports, charts, bar charts, estimates)

Customization 2: Setting a Default file location for Mr Smith’s Reports in Microsoft Word

I have set Mr Smith a default file location for when he writes his reports when he goes to save his reports it will by Default save in C:\Users\Mr Smith\Documents\Mr Smith's Reports\ file location. By doing this it will be faster for Mr Smith because he won’t need to keep using Save as all the time and browsing for his folder in his documents; instead when he saves one of his reports it will go to the default file location.

Customization 2: Customizing the ribbon

I can customize the ribbon in Mr Smith’s Applications he uses within his Microsoft Office Package to suit his client needs (Graphic Designer, writes reports, calculates estimates, and charts)

By customizing the ribbon, I can customize the features within the Application Mr Smith uses for example, Mr Smith writes reports. I could customize the ribbon in Microsoft Word and customize what features within Microsoft Word he uses and the ones he doesn’t. This applies to Microsoft Excel (what Mr Smith uses to calculate estimates, charts, bar charts and other charts).

By also, customizing Mr Smith’s Ribbon and the features he uses it will decrease the time it takes for Mr Smith to look for the feature he uses (or wants to use) instead of browsing through different menus within Microsoft Word. Which will in addition, save time for Mr Smith.

Customization 3: Changing colour of office themes (Background colour of Office)

A 3rd Customization for Mr Smith’s Microsoft Office (Word and Excel) would be to change the Office theme colour.

As, Mr Smith is visually impaired he would require a darker colour background theme to help him see better when doing his work (writing reports, Charts, calculating estimates).

Installation of Anti-Virus Software (Avast Anti-Virus 2016)

Customization1: Schedule daily scans

As a customization for Mr Smith’s Anti-Virus Software I will schedule a quick daily scan which will launch on Monday and do a scan each day at a specific time set, and this will continue every day.

By scheduling quick scans. Mr Smith’s Desktop PC will be checked constantly for viruses and Malware on his Desktop PC and to ensure no threats are found. So, Mr Smith’s Desktop PC will be fast and free of viruses or Malware.

Customization 2: Enable Automatic Updates

Another customization I am carrying out for Mr Smith for his Anti-Virus software is Automatic Updates.

By setting automatic updates. Mr Smith’s programs (Internet explorer, Adobe Flash) will be up to date and the updates will be done automatically instead of him installing the updates for the programs, instead the Anti-Virus software (Avast) will do it for him.

Customization 3: Set Avast clean-up for better Performance

A 3rd customization for Mr Smith’s Anti-Virus is setting automatic weekly cleaning of Mr Smith’s Desktop PC. The clean-up tool will scan Mr Smith’s Desktop PC for junk files, unwanted programs. The clean-up tool will also optimize Mr Smith’s Desktop PC for it to have better performance when starting up and shutting down and overall better performance when browsing and doing his work.

Customizing the toolbar in Adobe Photoshop

I am customizing the main toolbar Mr Smith uses to get his tools to carry out his Graphic Designs (CD Front covers, logos).

By me customizing the toolbar for Mr Smith, it will save him time when looking for a tool he needs when it can be right at his command (in front of him) and disable the tools he uses less so it will save Mr Smith time looking through other menus within the toolbar to find the tool he wants to use.

Customization 2: changing the interface colour

Another customization I have set for Mr Smith is changing the interface colour. I have set the

background colour to Black. As, Mr Smith is visually impaired, by having a darker background he will be able to see better when carrying out his Graphic Designs (Logos, CD front covers, book covers)

Customization 3: Creating Keyboard shortcuts for Mr Smith’s when he uses tools in Photoshop

I am creating Mr Smith Keyboard shortcuts for when he uses his tools to carry out his Graphic Designs within his new Adobe Photoshop CC 2017. The reason I am doing this is because creating desktop shortcuts for Mr Smith will give him faster access to his tools he uses which will be quicker for him instead of clicking around on the main toolbar to find what tool he is looking for.

Instead Mr Smith can have each of his tools on a keyboard shortcut, this will be easier for Mr Smith to access and overall will be much quicker, and save Mr Smith time.

Mr Smith’s new upgraded Operating System (Windows 8 Professional)

How Mr Smith’s new upgraded Operating System is suitable for intended purpose than his previous Operating System in his Desktop PC (Windows XP Professional SP3) is Mr Smith’s new OS will be more up to date and modern and will be compatible with the new versions of the Software he uses (Adobe Photoshop CC 2017, Avast Anti-Virus 2016, Microsoft Office 2016 Word and Excel) and the software Mr Smith uses to carry out his work will be compatible with the latest vital updates (security and Performance updates) which will keep the software he uses is up to date and running efficiently without any problems like lagging or compatibility issues. This is because Mr Smith’s new OS is up to date and is compatible with the new Software versions Mr Smith requires. (Adobe Photoshop CC 2017, Avast Anti-Virus 2016, Microsoft Office 2016 Word and Excel).

Also, how Mr Smith’s new upgraded OS is suitable for the intended Requirements is Mr Smith is visually impaired, and has had customizations for his new Operating System (as well as other software Mr Smith uses) which will help his visual impairment. The customizations that were set for Mr Smith for his new Operating System are:

These customizations will help Mr Smith’s Visual impairment even better compared to Mr Smith’s previous Operating System (Windows XP Professional SP3) because Windows XP professional didn’t have voice dictation software which in Mr Smith’s new OS the voice Narrator dictates Mr Smith’s commands which means Mr Smith will be able to access his files faster and his work.

The customizations help Mr Smith as Increase in High contrast changes the desktop colour to a darker colour (black) this will help Mr Smith with his visual impairment as black is a darker colour and would help Mr Smith see better when he is carrying out his work and will help his visual impairment.

The voice Narrator will help Mr Smith access his files (reports, charts. Budgets, CD Front covers, Logos, book covers) much quicker as voice Narrator will dictate Mr Smith’s commands and instead of Mr Smith manually having to go into his documents he can use the voice Narrator to do it for him.

Also, the screen magnifier will help Mr Smith as, Mr Smith will be able to see better as the display is zoomed in so Mr Smith can see much better when he is carrying out his work (reports, charts. Budgets, CD Front covers, Logos, book covers). As, Mr Smith is visually impaired the screen magnifier will help his visual impairment as the desktop display is zoomed in which will help Mr Smith see better (which will help his visual impairment) whilst he is carrying out his work.

How Mr Smith’s new Microsoft Office package (Microsoft Office 2016) is suitable for the intended purpose to Mr Smith’s original Microsoft Office Package (Microsoft Office 2000) is its more up to date and a more modern version of the Software and has new tools and features for Mr Smith to carry out his Charts, bar charts, budgets, and reports much better than his previous version of the Microsoft Package.

For example, the new Microsoft Office Package has new chart types which will allow Mr Smith to carry out his charts, bar charts and budgets much better as they are more up to date and will allow Mr Smith to have innovative ideas when he is designing his charts and his charts will be much better as he has new tools and features to improve his Charts and budgets. (This will be the same with Microsoft Word, where Mr Smith writes reports).

Also, how Mr Smith’s new upgraded Microsoft Office is suitable for the intended original requirements is Mr Smith calculates budgets, charts in Excel and writes reports in Microsoft Word.

The new upgraded Microsoft office package has new tools and features which will help Mr Smith to carry out his charts, budgets and reports in Microsoft Excel and word much better compared to Mr Smith’s original Microsoft Office Package (Microsoft Office 2000).

However, Mr Smith is visually impaired and customizations have been put in place to help Mr Smith with his visual impairment and help him to be much quicker and get his charts, budgets, reports completed quicker. The customizations for Mr Smith’s new upgraded Microsoft Office package are:

The change in office themes (as a customization for Mr Smith) changes the Background colour within Microsoft Office Word and Excel to black. As Mr Smith is visually impaired by having a change in Office theme colour to black will help Mr Smith’s visual impairment and allow Mr Smith to carry out his reports, charts, budgets much better as the colour black is a darker colour and will enable Mr Smith to see much better when he is carrying out his reports, charts, budgets.

The customization of Mr Smith’s Ribbon for Microsoft Office Word and Excel have been customized to the tools and features Mr Smith uses in Microsoft Word and Excel both, so Mr Smith can carry out his charts, budgets and reports much better and faster as he has all the tools on the main toolbar he uses most so he can easily access them when and if Mr Smith requires them.

The default save location have been set for Microsoft Office Word and Excel, so for example, Mr Smith writes reports, Mr Smith will have a folder saved with in his documents. With a Default file save location every time Mr Smith writes a report and saves the document will automatically save in “Mr Smith Reports” folder within Mr Smith’s documents. This saves Mr Smith time because he won’t need to manually save his work in his folders, it will be done for him automatically.

This applies to Mr Smith’s Excel when he works on his charts, budgets he will have a folder called “Mr Smith’s charts and budgets” every time Mr Smith either works on his charts or calculates budgets will automatically save in called “Mr Smith’s charts and budgets” folder by default.

Mr Smith’s new upgraded Anti-Virus Software (Avast Anti-Virus 2016)

How Mr Smith’s new upgraded Anti-Virus (Avast Anti-Virus 2016) is suitable for the intended purpose to Mr Smith’s original Anti-Virus package (AVG Anti-Virus version 5.1) is because the new Avast Anti-Virus 2016 has new tools and features which will help protect Mr Smith’s Desktop PC from viruses and Malware.

Especially as Mr Smith communicates electronically to his boss and clients, the new upgraded Anti-Virus has a web shield which will protect Mr Smith’s Desktop PC from viruses or Malware attacks whilst Mr Smith is communicating electronically to his boss or clients.

Mr Smith has had customizations for his new upgraded Anti-Virus Software (Avast Anti-Virus 2016). Mr Smith’s customizations are:

The scheduling daily scans does a scan of Mr Smith’s desktop PC at a specific day and time and scans Mr Smith’s Desktop PC for Viruses and Malware.

By Mr Smith having scheduled daily scans as a customization, it will save Mr Smith time instead of him manually carrying out a scan of his Desktop PC to check for Viruses and Malware in his Desktop PC, instead Mr Smith can carry out his work (Graphic Designs CD Front covers, Logos, Book covers, reports, budgets, charts) with not having to worry about manually carrying out a virus scan, this saves Mr Smith time.

The automatic updates for Mr Smith’s Software (Adobe Photoshop, Microsoft Office 2016 Word and Excel) will make sure that software is up to date and has the latest updates to keep that software up to date automatically.

The automatic updates are scheduled at a specific day and time and checks to make sure Mr Smith’s software he uses is up to date.

Also, by having the Scheduled performance tool, it will save Mr Smith time because, the performance tool is set to do a daily scan, so instead of Mr Smith carrying out a daily performance scan, he can carry out his work (Graphic Designs CD Front covers, Logos, Book covers, reports, budgets, charts) with not having to worry about manually carrying out a performance scan.

How Mr Smith’s new upgraded Adobe Photoshop is suitable for intended purpose than Mr Smith’s previous Adobe Photoshop package (Adobe Photoshop CS3) is Mr Smith is a Graphic Designer who designs a range of Graphic Designs (CD Front covers, Logos, Book covers). Mr Smith’s new upgraded Photoshop has new tools and features which will enable Mr Smith to carry out his graphic Designs much better than his previous version (Adobe Photoshop CS3) because the new tools and features are newer. However also, the program itself will have better performance and stability as it’s not likely to crash or lag.

Mr Smith has had customizations for his new upgraded Adobe Photoshop CC 2017. Mr Smith’s customizations are:

Customizing the main Toolbar (for Mr Smith’s tools) Changing the interface (Background colour of Photoshop) Keyboard Shortcuts (for Mr Smith to access his tools)

The customization of Mr Smith’s main toolbar where he accesses his tools enables Mr Smith to have all the tools and features he uses on the main toolbar at which he can access them instantly without having to search through menus to find the tool or feature he wants to use, instead his tools are at easy access, this saves Mr Smith time and will enable him to get his Graphic Designs completed faster as he has all the tools and features he needs on his toolbar.

The change in interface for a Customization for Mr Smith’s Adobe Photoshop changes the background colour of Photoshop to the colour black. As, Mr Smith is visually impaired, by having change in interface Mr Smith will be able to see better when he is carrying out his Graphic Designs (CD Front covers, Logos, Book covers), which will help Mr Smith’s Visual impairment, because the colour black is a dark colour and Mr Smith who is visually impaired will be able to see better and helps his Visual Impairment.

The keyboard Shortcuts as a customization for Mr Smith’s Adobe Photoshop CC 2017, is keyboard shortcuts which allow Mr Smith to access his tools and features he uses.

For example, if Mr Smith has a tool in Adobe Photoshop, for example a crop tool, which crops out anything in a design or picture you do not want, it snips it out. MR Smith would have a keyboard shortcut for this (CNTRL M) tool.

By Mr Smith having keyboard shortcuts for the tools he uses this will save Mr Smith time when he is working on his Graphic Designs as Mr Smith will have the tools he uses as a keyboard shortcut, so every time Mr Smith wants to use a tool all he must do is enter a Keyboard Shortcut and the tool will appear. I have benefited from my new OS upgrade, because I have overall better performance (opening files, Applications I use Adobe Photoshop and Microsoft Word and Excel) and as I have a more up to date software I can have the latest software that I use (Adobe Photoshop and Microsoft Excel and Word 2017) which gives me up to date features and I can get my work completed faster as I have up to date software which has the latest features and allows me to have the latest software as I have a modern OS (Windows 8 Professional.

Q2: How have you benefitted of your new upgraded Microsoft Office 2017?

The benefit of my new upgraded Microsoft Office package is I have better more up to date features when carrying out my work (Reports, Charts, estimating Budgets). By having the new upgraded Microsoft Office Package it has allowed me to get ,y work completed faster as I have better features to get my reports, charts, bar charts, budgets quicker.

Q3: How have you benefit from Avast Premier Anti-Virus 2017?

How I have benefitted from the new upgraded Anti- Virus software (Avast Premier 2017) is it it’s a more modern up to date version and protect my computer against threats and Viruses. As I communicate electronically the new software has a web shield which will help protect and reduce the chances of my PC from viruses whilst I communicate to my boss or clients by email; Another benefit of the new Anti-Virus is as it is a newer version it will be able to detect the latest virus definitions of all the new computer viruses.

Q4: How have you benefitted from your new Adobe Photoshop CC 2017?

How I have benefitted from the new upgrade of Adobe Photoshop CC 2017 is the software is the latest version and has new features and tools for me to carry out my work better and quicker. As, I am a Graphic Designer and design CD Front covers, logos book covers. And having a new version of Adobe Photoshop will allow me to carry out the Graphic Designs better.

Q5: How will you benefit from your new Keyboard Shortcuts for your tools in Adobe Photoshop CC 2017?

How I have benefitted from my new keyboard shortcuts in Adobe Photoshop CC 2017 is I will be able to access the tools I use in Adobe Photoshop faster and quicker instead of searching for the tools I use to carry out my Graphic Designs (CD Front cover, logo and book covers) on the toolbar. Instead by having the shortcuts on my keyboard for my tools I can access them quicker and easier without browsing on my toolbar, and saves me time so I can get my graphic designs completed quicker.

Q6: How will Microsoft Excel 2017 help you to carry out your charts and estimating budgets better than your previous version (MS Office 2000?)

How Microsoft Excel 2017 has helped me carry out my chats, bar chats and estimating budgets is it has new features and tools, new chart types which will helped me carry out my charts and budgets better and quicker. As I have newer tools and features that will help me get the job done better and faster.

Q7: Has the new increase in high contrast as a customization for your OS help you when doing your work?

The new increase in high contrast has helped me for my OS (and other Applications I use) because as I am visually impaired I find it hard to see certain colours, so by having an increase in high contrast allows me to see what I am doing for example, trying to find the Applications I use (Adobe Photoshop, Microsoft Office Word and Excel) will be easier to find.

Q8: Has screen magnifier (a customisation of your OS) helped you when carrying out your work and why? (Graphic Designs, reports, charts, budgets)

Screen Magnifier has helped me a lot because screen magnifier enlarges the display for me to see the Applications I use (Microsoft Word/Excel and Adobe Photoshop). However, the magnifier isn’t adjusted to right zoomed in display I want. I prefer the magnifier adjusted to 200% for when I am carrying out my work.

Q9: How has Voice Narrator Helped you with your experience of the new OS?

Voice narrator has helped me because, it reads back what I am clicking on back to me for example if I am hovering over a paragraph in my reports in Microsoft Word it will read that paragraph back to me as I hover over each word. This helps me as I am visually impaired, by having voice narrator it helps me hear each thing what I am doing and reads it back to me. However, can you change the voice and speed as the voice Narrator sometimes reads to fast and I find it hard to understand what she is saying.

Q10: How do you find the new Office theme colour change in Microsoft Word and Excel?

The new Microsoft Office theme has helped me a lot. As, I am visually impaired I cannot see certain colours well. So, having a darker colour (Black) helps me to get my work done faster and I am not struggling to see what I am typing or doing when working on my reports, charts, budgets.

Q11: Has the Automatic virus scan helped to keep your PC free of viruses and not make you manually set a scan?

The Automatic Virus scans have helped me, because I do not have to worry about running scans manually myself. Instead the set scans run on a day and time and informs me of any viruses or Malware in my system.

Having this new customization saves me time and doesn’t make me worry about doing a virus scan(manually) when I could be carrying out my work (Graphic Designs, Reports, Budgets, Charts)

Q12: Has your new customized Ribbon allowed you to be faster when carrying out your work (reports, budgets, charts) in Microsoft Excel and Word faster?

My new customized Ribbon has helped me (in Microsoft Word and Excel) because I have all the features and tools I use to carry out my reports right at my finger tips and I am not searching through menus to find the tool I want, instead its right in front of me.

Also, I calculate budgets, design charts. Having a customized Ribbon for Excel has significantly reduced the time it takes for me to do my work and as I have all the tools and features I need to carry out my work I can get the work done quicker.

Q13: Has the Macro I have set you on your form in Microsoft Excel/ Access (to save the document and Print) worked successfully?

The macro you set me for my form to save and print after I finish my document all I should do is a keyboard shortcut (CTRL M) and the form will print automatically once I hit that command. The macro has worked successfully in both Access and Excel. By having this Macro saves me time so I don’t have to manually print or save a document- the macro will do it for me when I enter the Keyboard shortcut which activates the Macro.

Improvement Description

I am going to change the voice of the Voice Narrator and change the Speed for Mr Smith because he finds it difficult to hear and finds it hard to understand what she is saying as she is speaking too fast. I am also going to change the pitch of the Narrator so Mr Smith can hear her better at a higher pitch voice.

Reason for Improvement

To help Mr Smith hear what she is saying much better but at a slower speed so he can understand what she is saying.

I have changed the Speed of the voice Narrator, so Mr Smith can understand what she is saying much better and at a slower pace for him to understand whilst she is reading back to him whatever he is doing for example, his reports.

I have changed the Pitch to a higher pitch so Mr Smith can hear the voice Narrator at a higher pitch instead of hearing her at a lower pitch which might not make him understand what she is saying when she reads things back to him.

As, Mr Smith is visually impaired he needs to be able to hear what the voice narrator is saying when

she is reading what he is doing back to him precisely and clearly.

How Mr Smith’s new upgraded Operating System has met his Client Requirements and purpose is Mr Smith is a Graphic Designer who is visually impaired, Mr Smith uses 3 programs (2 of which he carries out his work and one that is Anti-Virus Software) which helps him to carry out his work as a Graphic Designer and (the Anti-Virus Software) to protect his Desktop PC from Viruses and Malware attacks.

How Mr Smith’s Client Requirements have been met is he is visually impaired and customizations of his new Operating System have been put in place to help with Mr Smith’s Visual Impairment

These customizations will help Mr Smith fulfil his Job role as a Graphic Designer who designs CD Front Covers, book covers and Logos and writes reports, calculates budgets, and charts.

The increase in High contrast changes the display colour to black. As, Mr Smith is visually impaired, black is a darker colour and will help him to see much better when he is carrying out his work or communicating electronically to his boss and clients and carrying out his work. CD Front Covers, book covers and Logos and writes reports, calculates budgets, and charts).

The screen Magnifier will help Mr Smith as he is visually impaired and the screen magnifier zooms in the display, so Mr Smith can see what he is doing and when he is carrying out his work CD Front Covers, book covers and Logos and writes reports, calculates budgets, and charts) which will help his visual impairment

The voice Narrator reads whatever Mr Smith is doing or carrying out on his Desktop PC for example, Mr Smith writes reports, the voice Narrator will repeat any words or tools Mr Smith is clicking on, so Mr Smith is aware what he is doing when he carries out his work. The voice Narrator helps Mr Smith’s visual impairment as it reads back what he is clicking or typing on

How the new upgraded OS (Windows 8 Pro) meets Mr Smith’s purpose is, the OS is a more modern OS and is compatible with the latest software Mr Smith uses to carry out his work (Adobe Photoshop CC 2017, Avast-Anti-Virus 2016 and Microsoft Office 2016). Also, how the upgraded OS meets the purpose is overall the OS will be much faster in performance, have better security and not as likely to crash or have bugs as it has modern updates to improve and stop bugs and lagging and freezing within the OS. Also, how the OS meets the purpose is the customizations Mr Smith had to help with his visual Impairment, is much better than his previous OS as the customizations are more modern and have a much better variety when it comes to accessibility for Mr Smith.

I have had client feedback from Mr Smith about the new Operating System, Mr Smith said his Screen magnifier display needed zooming in to a larger display. This has been successfully carried out and adjusted to the correct zoom 200%. Also, Mr Smith wanted his Voice Narrator voice, pitch and speed of the Narrator adjusted as he found it difficult to understand what the Voice Narrator was reading back to him. I have adjusted the pitch, speed and Voice of the Narrator, which was successful.

How Mr Smith’s Client Requirements have been met and purpose for Mr Smith’s upgraded Anti-Virus Software (Avast Anti-Virus 2016)

How Mr Smith’s upgraded new Anti-Virus (Avast Anti-Virus 2016) has met his Client Requirements and purpose is Mr Smith’s Anti-Virus will be more modern and up to date and will have the latest updates to protect Mr Smith’s Desktop PC from viruses and Malware. Especially as Mr Smith communicates electronically to his boss and clients, when communicating to his boss and clients over email Mr Smith’s Desktop PC is more vulnerable to Viruses and Malware.

Which is why Mr Smith has a “web shield” activated as part of a customization for Mr Smith’s Anti-Virus Software to ensure when Mr Smith communicates electronically to his boss and clients, his Desktop PC is less vulnerable to being infected with viruses and Malware, as the web shield offers a stronger protection to Mr Smith’s Desktop PC whilst he is communicating electronically to reduce the likely hood of Mr Smith’s Desktop PC becoming infected with a Virus or Malware.

Other customizations have been put in place (including the web shield as mentioned above) for Mr Smith to make sure he can carry out his work instead of him manually maintaining his Anti-Virus and carrying out Virus scans, performance cleaner and Automatic updates. Mr Smith’s other customizations for his Anti-Virus are:

These two customizations will help Mr Smith not have to worry about carrying out a daily scan and performance clear manually

Instead Mr Smith can carry out his work CD Front Covers, book covers and Logos and writes reports, calculates budgets, and charts).

Mr Smith’s Automatic Updates automatically checks Mr Smith’s Desktop PC for Software that needs updating. The new Microsoft Office Package has new tools and features which will allow Mr Smith to carry out his work much better as he has the new tools and features to carry them out.

Mr Smith has had customizations which will enable help him access his tools and features he uses to carry out his reports, charts, and budgets much quicker and help with his visual impairment whilst Mr Smith is carrying out his charts, budgets and reports. Mr Smith’s customizations for his upgraded Microsoft Office are:

The customized Ribbon, is a main toolbar where all Mr Smith’s tools and features he uses in Microsoft Word and Excel are displayed, so when Mr Smith wants to use a tool or feature he uses regularly, he can access it instantly without having to search through menus and trying to find the tool or feature he wants to use within Microsoft Word and Excel as the tools and features he uses will be there displayed at the top in front of him, which saves Mr Smith time.

The default file save location (as a customization for Mr Smith’s Microsoft Office Package) saves Mr Smith’s work which he carries out in Microsoft Word and Excel. For example, Mr Smith works on a report and saves the document, when Mr Smith saves that document it will go into a folder called “reports” this is the same with Microsoft Excel where Mr Smith carries out his budgets and charts, when Mr Smith saves his budgets the budgets documents will go in a budgets folder in Mr Smith’s documents, this is the same with Mr Smith charts

By Mr Smith having a customized toolbar it will enable him to access his tools faster and quicker without having to search through menus or parts of Adobe Photoshop, which means Mr Smith can access his tools and features quicker as they are at access to access quicker on the main toolbar which will save Mr Smith time and he can get his Graphic Designs completed quicker.

I have had Client Feedback from Mr Smith about how he finds the new Adobe Photoshop and how he finds the customizations that have been put in place. Mr Smith said he was happy with the customizations and help him access his tools quicker and help with his Visual impairment.

Overall Mr Smith is very happy with his Modified Technology System, it fulfils his Client Requirements as a Graphic Designer and helps with his Visual Impairment (Customizations) which enables Mr Smith to get his work completed.

Constraints

Constraints of Mr Smith’s modified Technology System was when we were installing the Software an stable, fast internet connection was always needed to install the Software and updates, otherwise without an internet connection, the Software wouldn’t install or any updates and during the installations internet connection wasn’t as strong so the installation of the Software took longer as the internet was slow.

An improvement to solve this issue would be to plug an Ethernet cable, as an Ethernet cable holds a stronger stable connection when installing the Software.

Another constraint of Mr Smith’s modified Technology System is Mr Smith will need Training to be more familiar and confident when using the new Software that has been installed so it can get him used to the new features and tools within the Software and customizations. (Adobe Photoshop CC 2017, Avast Anti-Virus 2016, Windows 8 Professional and Microsoft Office 2016)

Evaluation of initial plan against the Modified Technology System

From looking at Feedback from Mr Smith, I have created a Macro for Mr Smith’s Microsoft Excel where Mr Smith calculates budgets, charts, bar charts. So, when Mr Smith hits a Keyboard Shortcut (CTRL M) the document he is working on (either his budgets, charts, bar charts) will save and the document will automatically print.

Looking at the initial plan, I did not intend of inserting a Macro or form for Mr Smith for his Excel, or not even in the customization, this was because Mr Smith had enough customizations set for his Microsoft Office to help with his visual impairment and making it easier and faster for Mr Smith to carry out his budgets and charts.

However, as an improvement in Microsoft Excel, I have inserted a Macro for Mr Smith’s new upgraded Microsoft Office Package where Mr Smith carry out his charts and budgets.

The Macro I have set for Mr Smith automatically once he finishes his work, he enters a keyboard shortcut CNTRL M to activate the Macro which will print out and save the document he is working on (either his charts or budgets)

By Mr Smith having a Macro this will increase productivity as Mr Smith will be able to complete his work faster and quicker as the Macro saves him time manually saving his work he does in Microsoft Excel and printing the document manually.

This means by Mr Smith having a Macro inserted into Microsoft Excel, he will be able to also carry out more charts and budgets, as it takes him less time finish his charts or budgets as the Macro makes it faster and saving him time by printing and saving his charts and budgets.

Mr Smith has also had a form inserted into Microsoft Access. A form is a tool within Database Software that allows you to enter data for a specific purpose for example Mr Smith could keep a track when he carried out his work (Graphic Designs, reports, Charts and budgets)

In Mr Smith’s case, he doesn’t use Database Software and wasn’t in the initial plan, however, as Mr Smith calculates budgets and carry out charts he could also use Database to keep a record of the budgets and charts, which would make it easier for him.

The reason I have created Mr Smith a Form in Microsoft Access is so he could keep track of his Graphic Designs, CD Front covers, Book Covers, Logos, reports, charts, bar charts and budgets so he can keep a track of when he carried them out. I have considered Mr Smith’s Feedback on the Macro and form and have made sure the Macro and form fully work properly. Mr Smith is happy with the Macro and form that I have created for him.

My initial Plans for Mr Smith’s Modified Technology System was to upgrade to following Software in Mr Smith’s Desktop PC;

Windows 8 Professional Microsoft Office 2016 Avast Anti-Virus 2016 Adobe Photoshop CC 2017

This was my initial plan, and no changes were made to the plan in terms to change the Software to an equivalent version (Alternative ideas)

The reason why I chose Windows 8 as an OS was because it’s a more modern version type of Software and is compatible with newer versions of the other Software (Adobe Photoshop CC 2017, Microsoft Office 2016) that Mr Smith uses to carry out his Work (charts, budgets, reports, logos, CD Front covers and book covers).

Also, why I chose Windows 8 was because the customizations were much better and more modern and had much more accessibility features for Mr Smith.

However, there were changes to the customizations (adjustments) Mr Smith wanted to increase the screen magnifier to a more magnified zoom 200%. This adjustment was carried out and the screen magnifier zoom was zoomed in to 200% as requested by Mr Smith.

My initial plan for the upgraded Anti-Virus stayed the same and the customizations. The reason I chose Avast Anti-Virus was because it had extra features which would protect Mr Smith’s Desktop PC and help him not manually having to carry out scans of his Desktop PC for Viruses and Malware but, more importantly protect Mr Smith’s Desktop PC as he communicates electronically to his boss and clients using a “Web Shield” which will significantly reduce the likelihood of Mr Smith’s Desktop PC being infected with a Virus or Malware.

The initial plan for Mr Smith’s Microsoft Office stayed the same and the customizations. The reason I picked Microsoft Office 2016 is because Mr Smith calculates budgets, charts, reports and with Microsoft Office even though it’s quite expensive it has all the best tools and features for Mr Smith to carry that work out better, and the customizations are very straight forward to setup and are very straight forward for Mr Smith to have a good benefit whilst he is carrying out his work.

The initial plan for Mr Smith’s Adobe Photoshop CC 2017 has stayed the same and the customizations. The reason I chose Adobe Photoshop CC 2017 because it’s a high end professional Software with the tools and features that a Professional Graphic Designer would use- like Mr Smith.

As, Mr Smith is a Graphic Designer (and visually impaired) Adobe Photoshop has the best features and customizations for Mr Smith to carry out his Graphic Designs better and to help his Visual Impairment.

Problems faced

There were no major problems faced when upgrading Mr Smith’s Software, however, having to wait a long time for the installations, this was due to poor wireless internet speeds. To improve this next time, I should plug an Ethernet cable when the software is installing to give it a more stable internet connection, so the connection doesn’t drop in and out.

Improvement 1

An improvement I would make to Mr Smith’s modified Technology System (Desktop PC) is the make sure the programs Mr Smith uses to carry out his work and his documents folder where all his work is to start up automatically when Mr Smith logs in to his computer (Adobe Photoshop CC 2017, Microsoft Office 2016).

For example, every time Mr Smith logs on to his computer the Software he uses to carry out his work will when he has logged in will open automatically without him clicking or doing anything. By doing this Mr Smith will have better access to the Software he uses to carry out his work faster and will significantly reduce the time it takes for Mr Smith to carry out his work as when he logs in all the Applications and his work in his documents will open

automatically when he logs in which gives Mr Smith faster access when accessing his work and the programs he uses. (Adobe Photoshop CC 2017, Microsoft Office 2016).

Improvement 2

Another improvement I would improve in Mr Smith’s modified Technology System which I didn’t do as a customization for Mr Smith’s new OS (Windows 8 Pro) is Desktop Shortcuts on his Desktop and his bottom Taskbar. By Mr Smith having Desktop Shortcuts for the Software he uses to carry out his work will enhance Mr Smith’s speed and accuracy when accessing the Software, he uses to carry out his work. The Desktop Shortcuts will also save Mr Smith time as he won’t need to search or find the Software he uses to carry out his work as it will be in front of him and at easy access which saves Mr Smith time and he can get his work completed quicker.

A 3rd improvement I would make for Mr Smith’s Modified Technology System is having Shortcut keys for the Programs Mr Smith uses to carry out his work. (Adobe Photoshop CC 2017, Microsoft Office 2016). By having Shortcut Keys Mr Smith will be able to access his Software he uses through Keyboard Shortcuts which will significantly reduce the time it takes for Mr Smith to click and access the Software he uses, instead he can enter a shortcut key for whichever program he wants to open and it will open instantly, this will save Mr Smith time when accessing his Software he uses and he will be able to get his work completed quicker as he can access his programs faster without wasting time finding and clicking to open the programs he uses to carry out his work (Adobe Photoshop CC 2017, Microsoft Office 2016)
