Introduction

This document presents changes, both visible and configurable, included in the April 2, 2018 release ofIBM Kenexa® BrassRing® on Cloud and IBM Kenexa Lead Manager.

The objectives of this document are to:v Present feature enhancements and usability and performance improvements that are introduced in this

release.v Document changes in system requirements, if applicable.

Client RemindersThe Client Reminders section reminds clients of recently distributed important notices and links tocomprehensive documentation and training for the special features recently introduced.

General Data Protection Regulation (GDPR)Notice: Clients are responsible for ensuring their own compliance with various laws and regulations,including the European Union General Data Protection Regulation (GDPR). IBM currently complies with privacy laws around the world. IBM is also preparing to complywith the European Union’s new General Data Protection Regulation (GDPR) that goes into effectin May 2018. IBM has established a global project to prepare for GDPR, both for our internalprocesses and for our commercial offerings.Preparing for GDPR ComplianceAs part of its GDPR project, we are enhancing our privacy by design. IBM is working to embeddata protection principles even more deeply into its business processes, with the objective thattechnical and organizational security measures limit, by default the amount and use of personaldata to what is specifically required. This work also strengthens controls to protect access topersonal data, including with respect to mobile applications that rely on default settings toprevent personal data from being inadvertently shared with others.

Preparing for GDPR ComplianceAs part of its GDPR project, we are enhancing our privacy by design. IBM is working to embeddata protection principles even more deeply into its business processes, with the objective thattechnical and organizational security measures limit, by default the amount and use of personaldata to what is specifically required. This work also strengthens controls to protect access topersonal data, including with respect to mobile applications that rely on default settings toprevent personal data from being inadvertently shared with others.

As part of IBM's GDPR compliance initiative, several Lead Manager enhancements are nowavailable that provide clients with additional configuration options. See GDPR for Lead Manager.

DATE CHANGE - IBM Kenexa SaaS offerings - Discontinuance ofsupport of the TLS 1.0 SSL protocol and SHA-1 ciphers suites:

We are writing as a follow up to a communication sent in November to remind you that IBM KenexaSaaS offerings will discontinue support of the TLS 1.0 SSL protocol and the following SHA-1 cipherssuites:

TLS_RSA_WITH_AES_128_CBC_SHA

TLS_RSA_WITH_3DES_EDE_CBC_SHA

TLS_ECDHE_RSA_WITH_3DES_EDE_CBC_SHA

This move is to align with security recommendations for TLS/SSL, as well as industry-wide decreasedusage and acceptance.

Note: Phase one is now in the Staging environment as of March 8, 2018. Clients can now test theirbrowsers and integrations. Do remember the TLS v1.0 and weak cipher disablement for is scheduled tobe in the Production environment in June 2018. The time period has been extended to allow more timefor clients to complete any required actions.

This will be a phased approach, first implemented in Staging environments March 2018, followed byProduction environments in June 2018. This will be done during each environment's monthlymaintenance window. Select this link to review specific maintenance dates for your data center. Clientscan now test this in their browsers or integrations using their Staging environments. See How do youknow your Browser Supports TLS 1.1 or 1.2?

SHA-Whaaaat?! What are these and how do they interact with my IBM Kenexa product?

TLS 1.0 SSL: TLS (Transport Layer Security) 1.0 SSL and its predecessor, Secure Sockets Layer (SSL), bothfrequently referred to as "SSL", are cryptographic protocols that provide communications security over acomputer network.

SHA-1: SHA-1 (Secure Hash Algorithm) forms part of several widely used security applications andprotocols, including TLS and SSL.

Together, SHA-1 and TLS 1.0 SSL are what makes secure interactions with other systems, (for example,integrations and APIs) possible.

Action May Be Required:

Alert of Change to Supported Browser Versions: Microsoft, Google, Apple, and Mozilla have allannounced that their respective browsers would stop accepting SHA-1 SSL certificates in 2017. Therefore,we are updating our supported browsers and versions accordingly.

If your users are accessing IBM Kenexa SaaS offerings using one of the latest supported web browserversions, there should be no action required.

Customers using the following browser versions and above will not be impacted.v IE 11 (Release Date : 11/2013)v Edge 12 (Release Date : 7/2015)v FF 24 (Release Date : 8/2013)v Chrome 22 (Release Date : 7/2012)v Safari 7 (Release Date :10/2013)

Browser Support differs for Talent Suite and BrassRing products. As a reminder, the most recentversion of the Talent Suite supported browsers are documented here and the most recent version of theIBM Kenexa BrassRing supported browser document is on the Support Portal.

Integrations and API (BrassRing and Onboard only): If you are using any inbound integrations to IBM(such as HR Status Update or Custom PSE Integrations) or calling any published APIs, you will need toensure that the tooling, software, and servers on your side (for example, a client-provided web serviceend point) support TLS 1.1 and/or TLS 1.2. To do so, we recommend working with your technicalcontact and/or any third party provider to make any needed changes within your staging environmentprior to the staging update in March. Once the update is complete, you will then be able to test instaging, as well as reach out to IBM Kenexa to troubleshoot any issues.

How do you know your Browser Supports TLS 1.1 or TLS 1.2 Protocols

To check if your browser can handle TLS v1.1 and v1.2, select https://www.ssllabs.com/ssltest/viewMyClient.html to open the SSL/TLS Capabilities of Your Browser web page.

When the page completes the test, scroll down to the Protocol Features section.v If Yes is displayed next to TLS 1.1 or TLS 1.2, your browser will continue to work as it currently does

with Talent Suite and BrassRing applications.

v If your browser does not support TLS 1.1 and/or TLS 1.2 after the change in Talent Suite andBrassRing, you might see browser messages similar to the following:

Responsive ApplyThe current release includes the following visible changes for Responsive Apply. Visible changes alter theappearance or performance of the product without requiring any configuration. The changes areimmediately visible or available to users.

Privacy Policy - General Data Protection Regulation (GDPR) ComplianceIn the endeavor to support all BrassRing clients in being compliant to GDPR, the followingenhancement is made in the Responsive Talent Gateway login workflow.

Candidates create Talent Gateway profiles using various options that can include logging in usingtheir social media accounts. When a candidate logs in using a social media account for the firsttime, the BrassRing system automatically creates a Talent Gateway profile. In this workflow, theclient's privacy policy is not displayed to candidates. Not displaying the privacy policy does notmeet GDPR compliance rules.

Starting this release, when candidate logs into a Talent Gateway for the first time using socialmedia credentials, a Talent Gateway account creation error screen displays upon authentication.The error message directs the candidate to the create an account workflow.If the client does not have a privacy policy enabled, then the social media workflow proceedswithout any changes. However, if the client does have a privacy policy enabled and it is notdisplayed to the candidate while the candidate logs in using their social media account, a TalentGateway account is not automatically created. Instead, the candidates sees a message in a modalscreen that states You do not yet have TG account > you must create account. Prompting thecandidate in this way, ensures that the privacy policy is presented to the candidate before thecandidate's profile is created on the Talent Gateway.RTC Internal Reference #102824

New User InterfaceThe current release includes the following visible changes for the User Interface. Visible changes alter theappearance or performance of the product without requiring any configuration. The changes areimmediately visible or available to users.

All Grids - Readability EnhancementStarting this release, all grids in the BrassRing New UI, including Req results, Candidate Results,Talent Record Activity log, display contrasting background colors in alternate rows. Changing thedisplay in this manner, helps users' readability of the data when presented in several rows. Thisfeature is available in the grids of the classic interface of BrassRing.

Auto Launch GQ Talent Gateway - Posting PreviewWhen a Talent Gateway is configured with auto-launch Gateway Questionnaire, it is notdisplayed among the list of the Talent Gateways in the Posting Options page. That TalentGateway cannot be displayed in the Job Posting Preview page as well. However, it was observedthat the Talent Gateway configured with auto-launch questionnaire is displayed among the list ofgateways in the Job Posting Preview page. This behavior is adjusted in this build.

Posting Partners - Talent BrewIt was observed that BrassRing users are facing issues when they are trying to post jobs to thethird party job site Talent Brew. In order to resolve this, the link Talent Brew is disabled.However users with appropriate privileges and configuration can still post jobs to this third partyjob board by selecting the pencil icon at the end of the row.

Translations - Portugese MonthsIt was observed that while displaying Portuguese month names, a dot (.) is added after eachmonth's short name. This is incorrect. The translation vendor has been informed about thisinaccuracy and it is being addressed. Starting this release, Portuguese month names are displayedcorrectly while displaying in three letter format without a dot.

Lead ManagerThe current release of Lead Manager includes the following visible changes for Lead Manager. Visiblechanges alter the appearance or performance of the product without requiring any configuration. Thechanges are immediately visible or available to users.

NEW Send CommunicationIn release 18.01.08 (January), the Lead Manager NEW Send Communication feature wasintroduced as an optional configuration.

In this release, 18.04.30, the NEW Send Communication feature is being reintroduced as aVisible Change. Introducing this feature as a Visible Change means that this feature will beenabled for all clients as of April 30, 2018.

On April 30, 2018 when this feature is enabled as a Visible change, all clients sites will beautomatically enabled. In order to prepare for the NEW Send Communication Visible change,clients need to update their communication templates in Watson Campaign Automation (WCA)and become familiar with the NEW Send Communication feature.

Rules Automation Manager - ROI ReportRules Automation Manager - New Report

Rules Automation Manager can now produce a RAM ROI report that provides information aboutthe number of triggers and rules that are processed within a given period of time. Clients can setthe RAM ROI report time period up to a maximum period of one year, but are not restricted tothe current year. Clients can select the current year, or past years, or set specific date ranges up toa one year period.

When a client configures a RAM ROI report, clients can define the parameters of the report. Forexample, a client can configure the report to contain information about a particular trigger,candidate information, or requisition information. Clients can select one or all of the reportingoptions. When the RAM ROI generates, clients can view and download the report from theWorkbench task manager.The RAM ROI columns in the report are:v Trigger Namev Triggers (Active)v Triggers processedv Rulesv Rules processedv Time saved (seconds)v Time saved (Days)v Time saved (weeks/Business Working Days)v Full-Time Employee Time Saved

Generating RAM ROI Reports

The ability to view the RAM ROI Reports action is a visible change within BrassRingWorkbench. However, clients can configure the RAM ROI to collect and display the informationthat they want to see.v For example, a Workbench Administrator browses to Tools > Automation manager > Admin

to open the RAM Triggers page.v Selects RAM Reports.

v Selects the RAM ROI report from the drop-down menu for Report Name.

v Completes the following fields on the RAM Reports page. Clients can select all of the variablesfor their reports or a subset of variables.

– Report name– Trigger information

- Trigger name- Status

– Candidate Information- First name- Last name- Candidate Reference Number

– Req information- Auto Req ID- start Date and End Date

v Selects Run. The report runs and when complete displays this message:

v Browses to Tools > Task Manager > Select the RAM ROI report.v Selects the binoculars icon to view the report and then selects either Open to view the report

or Save to download the report.

When the report opens, the Excel spread sheet has two tabs:v Properties

v RAM ROI Report

The Properties tab displays the Task Name, the environment, the user, when the report wassubmitted and the start and end date that the report encompasses. The RAM ROI Report tabdisplays the number of triggers, the number of rules per trigger, total number of rules, last rundate, total seconds saved, estimated second saved per trigger instance.

Configurable ChangesThe current release of IBM Kenexa BrassRing on Cloud includes the following configurable features forBrassRing and IBM Kenexa Lead Manager. Configurable features must be configured or turned on to bevisible and available to users.

Responsive ApplyThe current release does include a configurable changes for Responsive Apply. Configurable featuresmust be configured or turned on to be visible and available to users.

Responsive Gateway Questionnaires - Standalone Gateway QuestionnaireStarting with Release 18.02.05, clients are able to configure Talent Gateway in such a way thatcandidates do not have to login to apply for jobs. This workflow was made available based onclient requests to meet legal or business needs. As a follow up to that feature, starting thisrelease, clients can now configure Standalone Gateway questionnaires that allow candidates thatare present in the BrassRing system to apply for a job. Dependent on the Talent Gatewayconfiguration, the candidate might either sign-in before applying or might not. The following arethe changes when a stand-alone Gateway Questionnaire is configured for a Responsive TalentGateway:v Based on the Talent Gateway configuration, if Sign-in is required, the full sign-in page is

displayed to the candidates.v Skip sign-in option is NOT AVAILABLE in this release. The skip sign-in option for both

regular full Talent Gateways and Standalone GQ Talent Gateways will be made available in afuture build.

v If the Talent Gateway is configured to skip the sign-in process, the sign-in process is disabled.v The candidate is redirected to a configured Responsive Gateway Questionnaire.v The Talent Gateway Home page or search screen are not displayed to candidates.v While applying for the job, candidates do not see any Job Titles or Page Titles.v The Talent Gateway does not have standard links like Candidate zone, Sign-in, and Job Search.v After completion of job application, the candidates do not see any option to continue. A

message that states Application complete - You have completed the application and may nowclose this browser window. in a modal window within the Talent Gateway and the usersession expires upon closure.

Note: The first page of the Gateway Questionnaire is informational. For Talent Gateways wherethe sign-in is disabled, the application session starts on the second page of the GatewayQuestionnaire.

Note: Depending on whether the candidate is signed in or not, messages are displayed uponsession expiry due to inactivity. For signed in users, a message that states You have been signedout due to inactivity is displayed in a modal above the Home page. For users that skip sign-in, amessage that states Your session has expired due to inactivity

How do clients configure this feature?The Auto-launch Gateway Questionnaire setting is hidden from TG Details for all FullTalent Gateways, both responsive and classic. This setting is not hidden for Basic TalentGateways. The configuration of Auto-launch gateway questionnaire is done in theResponsive layout details page.

A new subsection and settings are added in the Responsive Layout details screen in theGeneral section. The subsection is called Standalone Apply. Under this section, a newsetting that is called Use as standalone Gateway Questionnaire is added with asingle-select drop down. The drop down contains a standard value No (this TG retainssearch functionality), and followed by this value, the list of all gateway questionnairesthat are provided in alphabetical order and filtered by Active, Responsive and then thequestionnaires that have translations available in the current Talent Gateway. By defaultthe first option, No (this TG retains search functionality) is selected in this setting.

When a Workbench administrator selects a Gateway questionnaire, a warning message isdisplayed stating This would disable search and candidate zone features for this TalentGateway; are yo usure you want to proceed?.

Note: This new subsection is not available in Global Talent Gateways. It is available onlyfor single locale Talent Gateways.

Selection of a Gateway Questionnaire in this setting dynamically disables the followingsections in the Responsive Layout details page. Search Page, Search results page / Joblisting, Job Details, Communications, Status categories (for submitted applications). Whena Gateway Questionnaire is selected:

Upon mouse hover, on the disabled settings, a message is displayed stating: Sine this TGis converted to a standalone GQ, most features, including search and candidate aredisabled for candidates.

Since the Auto-launch Gateway Questionnaire setting is hidden, the setting is updated toYes in the backend when one of the Gateway questionnaires is selected.

New User InterfaceThe current release includes the following configurable changes for New User Interface. Configurablefeatures must be configured or turned on to be visible and available to users.

Reqs - Filter ResultsIn the BrassRing New UI, when a user has a req privilege configured with a specific req field,they become a part of the req team of all reqs that match the req privilege value. For example,when the client setting Req privilege based on User Profile option is configured and a user withthis req privilege has a specific req field of United States as Country, this configuration becomespart of their user profile. This user automatically becomes a part of the req team of every req thathas the country field as United States. This user's name is not displayed in the req team of thereq. However, when the req search is filtered by reqs that have United States as country, all usersare displayed in the result. This feature is available only in the New UI and was not available inthe classic UI. Starting this release, this feature is available in the Classic UI.

BrassRing WorkbenchThe current release of IBM Kenexa BrassRing on Cloud includes the following configurable feature forIBM Kenexa BrassRing Workbench. Configurable features must be configured or turned on to be visibleand available to users.

BrassRing Workbench ChangesThis release introduces the following BrassRing Workbench configurable changes.

Workbench Users - Two Factor AuthenticationStarting this release, clients can configure two factor authentication to the Workbenchadministrators with Self Service user type. When two factor authentication is enabled, theWorkbench users are required to answer security questions after their password is authenticatedto login to Workbench.

Client Settings - Google Label UpdatesThe client settings that Workbench administrators configure to provide Google driveauthentication to candidates on the Responsive Talent Gateways are updated. Rules Automation Manager - New HR Status ConditionBased on a client request, starting this release a new HR Status condition is added in the RulesAutomation Manager. A new field called Operation is added with options Equals and NotEquals. The default value for all existing RAM triggers that are configured for HR Status isEquals. The condition Not Equals can be used to run a RAM trigger when the HR status of thecandidate is not same as any of the selected HR statuses in the condition. This new conditionhelps reduce the number of conditions in a trigger and optimize the query.
