Tom ChrisTianAs Education Sabbatical of Kent Union, I represent all students at the University of Kent in all education related matters and work alongside the other Sabbaticals to run the Union.

With hundreds of courses filled by over 14,000 students, Course Reps play a vital role in improving the academic experience for every student at the University. Your job is to bring the concerns

of your Course mates to the attention of your Student-Staff Liaison Committee (SSLC) and to come up with new ideas on how to improve the quality of your education. My job is to support you every step of the way whether it be simply answering a question you may have, overseeing Education Committee and Education Forum, or helping you challenge a particularly large or difficult issue.

Most Course Reps find the experience very rewarding and I will ensure that you are properly recognised by the University and Union for your commitment to improving academic life at Kent. Thank you in advance and I look forward to working with you.

raChel evansHi, as Representation and Campaigns Co-ordinator at Kent Union I am the staff member responsible for

organisingthe Course Rep system, but what does that actually mean?

Across all of the departments there are over 300 Course Reps and it is my role to support you all, whether that be offering advice on how to organise a campaign amongst your course mates or helping you research a topic of academic concern. You will hear from me regularly through the Course Rep newsletter Education Matters and emails which will remind you all of forthcoming meetings or opportunities which you might want to get involved with. Whatever your query, however small, get in touch and I will try and help you out.

Course, DeparTmenT anD FaCulTy rep role DesCripTions

We have developed the Course Rep role description to help guide you all through your responsibilities. Do everything that is on the list and you will be a fantastic rep!

Because there are so many Course Reps across each department and within the three faculties it is important to have Department and Faculty Reps.

Department and Faculty Reps will meet frequently with Tom and report back on the activities of Course Reps. Department reps should organise regular meetings for the Course Reps which they are responsible for in order to ensure that Reps are exchanging information and working as a team. When the Faculty Reps get together they can identify which issues are University wide and need addressing by Tom, and what can be dealt with at the departmental or faculty level.

Course reps are elected at the beginning of each academic year to act as a voice for the student body. As a course rep you will be expected to undertake the following duties and responsibilities:

Ask your lecturer to give you a few minutes either at the beginning or at the end of a lecture so you can explain what your role is and talk about current issues. Do this regularly and you will become a well known face in your department and your peers will know who to come to.

Most departments have notice board space; ask the administrator if you can use this to advertise the issues which you have been raising and any outcomes from action that you have taken.

Most departments are happy to send out emails on behalf of Reps and this is a great way of reaching all of the students on your course. Speak to the department administrator and s/he should be able to arrange this for you.

You could hold ‘surgeries’ where students can drop by somewhere convenient to speak with you about issues that they believe need to be raised; just make sure you publicise your surgery widely!

Use the social network forum on the Kent Union website to engage with course mates and ask them for their views about learning and teaching issues related to their course.

Set up groups on Facebook and Myspace and keep updating members with outcomes of meetings and campaigns.

Ask staff in the department if you can have a page on the website advertising Course Reps. Most departments now have a virtual Learning Forum so get creative on how you can use it!

Produce a newsletter once a term to keep peers informed of what yourself and other Reps are achieving

If you do not have one already ask for a pigeon hole somewhere in the department in order that students can leave you notes in case they are unable to speak to you in person.

Do not under-estimate the nature of informal chats either on coffee breaks or when you are waiting for a lecture to start. It is only natural that issues about your course will crop up.

eDuCaTion CommiTTeeThis committee gives the opportunity for all Department and Faculty Reps to voice concerns regarding learning and teaching issues across campus. The meeting will take place once every three weeks (normally on a Tuesday) and if Reps would like to propose a motion regarding an issue of education concern they can do so (ask Rachel or Tom if you need help with this). You do not have to be a Department or Faculty rep to submit a motion, indeed any student can submit a motion to Education Committee. As well as passing policy the committee is also used as a forum for sharing best practice, ideas generating and problem solving in hope that reps can enhance the learning experience across campus.

eDuCaTion ForumOnce a term all Course Reps are asked to attend the Education Forum to discuss general issues which are affecting students on matters of learning and teaching. The forum provides a good opportunity for Reps to raise any concerns that have regarding an issue in their department or University wide.At each forum Reps have the opportunity to grill the education sabb on what he has been working on, as well as receiving updates from Faculty and Department Reps.

union CounCilUnion Council meets every 3 weeks to discuss, debate and pass policy. Any student can attend Union Council or submit a motion. The 3 Faculty Reps all have a place on council and will feedback outcomes on a regular basis as well as asking for your input.

meeTingsDepartments will ask you to sit on various committee meetings throughout your time as a Course Rep. As well as attending SSLC meetings you may be asked to sit on the Learning and Teaching Committee, the Board of Studies, Departmental board, and the list goes on! You may want to share out the responsibilities amongst the Course Reps in your department so one person does not have to attend all of them! It is vital that a Rep sits on all of the different meetings in order to ensure that there is effective representation.

Kent Union website www.kenTunion.Co.uk/Coursereps is regularly updated with useful information regarding national and local matters of an academic nature. As well as using the website for research purposes it will be up-to-date with dates of meetings, deadlines, training opportunities and other activities. If you need to download minutes from meetings, a copy of your KSCV log or other forms these can all be found on the course rep pages.

The Kent Union websiTe allows you to stay in contact with friends and other reps via the social forum. Be sure to make use of this facility as it is a great opportunity for sharing ideas and keeping each other updated. You can use forum as a way of feeding back to your course mates on issues which they asked you to raise.

sabbaTiCal oFFiCers are elected to work full time to represent all students studying at UKC. They can provide you with advice and support on democratic and representational issues and raise issues at University board meetings which they sit on. The Education Sabb, Tom, will be the main point of contact for you and is happy for you to pop by the office any time you want to talk over an issue with him.

The kenT union aDviCe CenTre can support students who wish to make an academic appeal or have to attend a disciplinary hearing with the University. If course mates seek advice from you on issues such as these signpost them to the Advice Centre which is situated in the Mandela building or tell them to phone and make an appointment by calling 01��7 8�4�16.

The represenTaTion anD Campaigns Co-ordinator is available to support all Course, Department and Faculty Reps. If you have a quick question or need some advice on how to tackle an issue or go about fulfilling a responsibility that will be able to help you, or point you in the right direction.

leCTurers- Probably those who you will get to know the most, they are the people who teach you things! If you have a small issue regarding the lectures e.g. the lecturer does not speak loud enough, speak to the lecturer informally about this.

moDule Convenor You may well meet module convenors early into the term, especially at introductory lectures. If students raise issues regarding particular modules it may be worth speaking to the module convenor for clarity or information regarding the matter.

DireCTor oF learning anD TeaChing It may be that not all Reps meet this staff member straight away but Reps should feel able to approach them any time regarding matters of learning and teaching. Many Directors of Learning and Teaching chair SSLC meetings so this may be a good opportunity to speak with them.

heaD oF DeparTmenT With over-arching responsibility for the department this is a key person to make yourself known to. Heads of Departments are fully supportive of the Course Rep scheme and although they may not all attend SSCL meetings they welcome feedback from students.

who is who in The universiTy?You will probably get to know some members of staff in your department really well, but this can take some time and building good relationships can be vital to seeking change for your course mates.

This handy guide explains key roles with the departments/ faculties and the University.

DeparTmenT seCreTary Probably the first person that you should introduce yourself to when you become a Rep. The department secretary will be able to send out emails to the students on your course on your behalf so make sure you are nice to them! Ensure that the secretary has your contact details in order that they can send you agendas and minutes for meetings and other pieces of important information. If you are never sure who to speak to about an issue the department secretary is a good person to check with.

FaCulTy Dean It is likely that only the Faculty Reps and some Department Reps will ever meet the Faculty Deans but they are important people in terms of decision making. Issues of Learning and Teaching which are faculty wide will be brought up at a Faculty Learning and Teaching Board. It may be that an issues which started of at course level was recognised to be a wider University matter which will reach the attention of the Faculty Dean

The Education Sabb has the most contact with David raising issues regarding academic matters University wide.

Top TipsIf you know you want to bring up an issue at an SSLC meting do not wait for the AOB section of the meeting. Ask for the issue to be put on the agenda in order that there is plenty of time to discuss it.

Communication is an integral part of your role, do not forget to feedback outcomes to your course mates or they will not be aware of the hard work you do!

Do not be afraid to ask for help from Kent Union, staff in the department and Department and Faculty Reps, they are really nice!

Keep a record of the issues which students have raised with you and track the progress that has been made in order that you can feedback the correct information.

Stand up in lectures and make announcements; it’s a great way of getting students attention.

Do not be intimidated of talking at meetings with staff members; they want to hear what students think!

Meeting frequently with other Course Reps in your department, and the Department Rep is the most efficient way of ensuring things get done.

Be organised (especially managing all the paperwork you get sent)!

Do not be afraid to pester staff! They are busy people and might need reminding of something which you have asked for!

If you are reading this, then chances are you are already volunteering in one area, but have you thought about expanding your volunteering experiences, maybe through a

community placement, joining a JCC, or organising a tennis tournament?

Kent Union activities are wide reaching and varied, and the level of support you receive is second to none, as evidenced by the fact that we were the first Student Union in the

country to receive IIV status back in February �007.

Kent Union, in partnership with the University of Kent have created the Kent Student Certificate for Volunteering, a recognition scheme for our volunteers. The scheme has been divided into three levels

The sTanDarDrecognises 50 hours of volunteering and personal development reflection

The golDrecognises 100 hours of volunteering, personal development and reflection, completion of two skills training sessions and a presentation on skills gained

The plaTinumis a two year wild module offering academic accreditation through volunteer-based learning

There are two award ceremonies every year, one in November and one in May. Dates will be confirmed on the website later in the year. The deadlines for completed books are as follows:

DemoCraCyKent Union is a democratic organisation, with students at the heart of the decision making. Union Council is the main decision making body, and while elected officers have voting rights; any student can attend and influence the direction of their Union. It meets at 6pm in the Senate Chamber (the strange shaped building in front of the Library) every three weeks, starting the �7th September in term one, 17th January in term � and 8th May in term 3.

The AGM is the forum where any Kent student has the right to vote. Previous motions have included the smoking ban and the coca-cola ban! This year it will be taking place on the �9th January �008.

There are also the October bye-elections and the March elections where any student can stand to be an elected part-time officer or even a full-time Sabbatical Officer! Keep checking the website for more information.

Democracy runs right through every aspect of Kent Union, from Sports Fed Exec to the Course Rep Structure, whether you run for a Union Council position, or cast a vote in the Sabbatical Elections. It’s so easy, if you want to make changes at Kent, get involved!

volunTeering DevelopmenT FunD anD projeCTsWe encourage students to put together their own projects within the local community and on campus. This is a great way to learn even more skills such as managing volunteers, setting and monitoring a budget, advertising and promotional skills, communication, leadership and much much more! There is a pool of money that students can apply to in order to get their own projects up and running as long as they fall within the funds guidelines. Previous applicants have gained funds for art projects, a Summer Salvation project and a clothes drive. Applications go before the Volunteering Committee for approval, and applicants will be expected to attend to answer any questions. Please speak to a Volunteering Co-Ordinator for more information.

Crb CheCksSome placements require Criminal Records Bureau checks. These can be applied for through the Volunteering Department for free. Checks can take up to 6 weeks to clear, so it is important to come in a bit before you want to start volunteering! Please come and speak to a Volunteering Co-Ordinator for more information.

awarDs anD oTher volunTeering reCogniTionKent Union volunteers have always been recognised as truly excelling in their fields! This is why a significant number of them have gained extra recognition through both the Kent Union awards, such as the Student Activities Awards Night, or the Volunteering Awards, and national awards such as the Higher Education Active Community Funds Awards, or Volunteering England Gold Awards schemes.

The Duke oF eDinburgh golD sCheme is run through Canterbury College, and is a structured form of volunteering with five sections, Service, Skills, Physical Recreation, Expeditions and a Residential Project. aGM – annual General MeetinG. The daddy of all meetings, the AGM is your opportunity to question the student officers on their work and to discuss and pass policy for the Union. This year it is taking place on the �9th January �008.

BuSa – BritiSh uniVerSitieS SportS Association. Many of our sports clubs take part in BUSA, giving you the opportunity to compete against other Universities on your chosen sporting field

Bye-eleCtionSThese elections happen across campus in October, and elect any unfilled positions from the March elections, as well as the representatives who go to NUS conference, the 10 people who have a general remit on Union Council and also the 3 Faculty Representatives within the course representative structure.

eDuCaTion CommiTTeeThe forum for all Department and Faculty Representatives to get together to discuss cross-campus educational concerns and plan attacks to resolve them! It takes place once every three weeks.

eDuCaTion ForumOnce a term all Course Representatives get together tp discuss general educational issues which are affecting students and to grill the Education Sabb on what he has been working on!

FaB – FreSher’S adViCe BureauThe 400 odd energetic bunnies in blue t-shirts who run around madly in the first week of term, making sure all new Fresher’s have a great start to their University career

JCC – Junior ColleGe CoMMitteeEach college and Parkwood has a JCC who provides representation, organises events and much more for you on a college level.

KSCV – Kent Student CertiFiCate For volunTeeringWhether you are volunteering in the community, DJing on CSR or sitting on Union Council you are volunteering your time, and the KSCV scheme recognises that.

V-VolunteerSAimed at volunteers aged 15-�5, this is an external scheme that recognises community volunteering action

nuS – national union oF StudentS.Kent Union is a member of NUS, which provides support for Student’s Unions and representation for students on a national level.

part-tiMe oFFiCerPart-Time Officers are elected in the cross-campus March elections, and any vacancies are elected in the October bye-elections. PTO’s each have an individual remit and are offered support from the Union to form liberation groups or campaign on issues relevant to their remit. There are 10 Officers with liberation remits, such as Women’s, LGBT, and International etc. JCC Presidents, RaG President, Student Trustees and Union Council Officers also come under this bracket.

raG – raiSe and GiVeThis is Kent Union’s fundraising arm, and the RAGgies spend the year organising great events like the Snow Ball in order to raise enormous amounts of money for local and national charities. In �006-7, RaG donated approximately £17900.

SoC Fed – SoCietieS FederationThis meeting takes place twice a term and is attended by all existing societies. Two members from each society have voting rights and it is a chance for all societies to have their say about society policy.

soC FeD Com This is a body of 8 elected member from Soc Fed Com. They meet every � weeks and approve new societies, budgets and oversee the day-to-day running of societies.

SportS Fed – SportS Federation This is the name for the collective body of all the sports clubs here at Kent Union. The Sports Fed is embodied by a Sports Council, who meet three times a year. All clubs and their members are invited to attend sports council, with each club having two members entitled to vote. Sports Council is where decisions and policies are passed to enable the Sports Fed to be as effective as possible.

sporTs FeD exeC This is a group of 8 Sports Fed members who are elected at Sports Council to serve 1 year on the executive committee. The committee meet weekly to discuss issues bought up by the rest of the Sports Fed and to approve Sports Development Fund applications

sabbaTiCalA Sabbatical Officer is a full time elected officer who either takes time out of their studies, or

who works for a year after their degree. The 5 officers are elected in the March cross-campus elections upon a manifesto, and serve one full year of office. They can choose to stand for re-election for any position if they wish, but can only complete two full terms in total. Any registered Kent student can run for Sabbatical.

StV – SinGle tranSFeraBle VoteThis is the voting system we use at Kent. Full details are available on the Kent Union website

TrusTeeA Trustee is someone with overarching responsibility for Kent Union in legal and financial terms. The 5 Sabbatical Officers are trustees, as are two student members who are elected in the cross-campus March elections.

union CounCilThe meeting takes place every three weeks, and any registered University of Kent student can attend, speak and put forward motions, but only the elected Part-Time and Full-Time Officers and other representatives can vote. It dictates the direction on the Union and passes policy.

varsiTyOnce a year we lock horns with our local rivals, Canterbury Christ Church University and play them at every sport under the sun, the prize being bragging rights and the shiny Varsity Cup that sits in Woody’s. Oh yes, we have never lost.

v volunTeering has replaced the old Millennium Volunteers Scheme. It helps people aged 15-�5 with their volunteering placements, and recognises their achievements in the form of a certificate. If you are interested in getting involved speak to a volunteering co-ordinator.
